AI Voice Agent Services

An AI voice agent should actually complete the task on the call, not just sound like a real person.

We'll reply with a written proposal: the work, what we need from you and an estimated timeline.

The hidden problems once calls go live

A convincing voice demo can still mishear the caller, do the same action twice or fail to hand the call to a person.

Before we call the agent ready for real customers, we check the purpose of each call, the phone carrier and audio path, exact details like names and dates, whether the caller is allowed to do what they ask, what each connected system did, the route to a person, recordings of real test calls and the final result in your business system.

  • The voice sounds right but does the wrong job

The agent answers naturally, but nobody has decided which calls, customers, markets, actions and failure situations it is allowed to handle on its own.

  • Exact customer details get mangled

Names, dates, phone numbers, emails, addresses, amounts and order numbers are accepted without spelling them out, reading them back, checking them or offering the phone keypad as a backup.

  • Knowing the caller's number is mistaken for permission

Caller ID, a familiar voice or simply having the phone is treated as permission to reveal account details or take an important action.

  • Outgoing-call and recording rules sit outside the call flow

Where consent came from, which business is calling and why, quiet hours, do-not-call lists, opt-outs, recording choices, removing private details and how long data is kept are all checked by hand or too late.

  • Retries create double bookings and duplicates

Repeated system messages (webhooks), dropped and reconnected calls and slow tools create a second booking, contact, task or change, because what happened on the call and what's in your business system no longer match.

  • Text-only tests hide real audio problems

Perfect scripts pass testing, while accents, people talking in the background, two people speaking at once, silence, callers interrupting, voicemail, poor connections and transfers to staff fail once real calls start.

What you can hire us to do

Our AI voice agent services: seven areas of work that take one clearly limited type of call from consent planning to a tested launch.

An AI voice agent is software that answers or makes phone calls and talks with callers in a natural voice. Softscotch helps you build one for a clearly limited set of calls. It explains who it is and why it's calling, handles approved questions and tasks, and passes the caller to a person when the task or the risk calls for it. You get a planned call flow with consent steps, approved scripts and clear limits on what the agent knows, tested connections to your systems, proof from realistic test calls and transfers, controls that stop calls to people who opted out, a plan for handling problems and a careful, step-by-step decision on going live.

Your proposal names whether calls come in or go out and why, the countries, languages, opening hours, how the agent introduces your business, what it knows, which actions it may take, how callers prove who they are, your recording choices, where calls are transferred, expected call volumes and when staff are available. Each area of work produces something you can use, and we say clearly what it depends on from you or from a provider.

Call purpose, fit and starting results

We sort incoming and outgoing call types, customers, markets, languages, risks, approved actions and calls the agent should not handle, then check today's call results against your real business results.

Live voice, phone and audio setup

We choose between a speech-to-speech model (one AI that listens and speaks directly) and a chained setup (separate steps that turn speech into text, decide what to say and turn text back into speech). Then we design phone numbers, regular phone network or SIP connections, audio streams, regions, audio formats, system messages, how many calls can run at once and backup providers.

Conversation, taking turns and exact details

We plan how the conversation and the task move forward, tune how the agent handles silence and interruptions, and check names, dates, numbers, addresses, ID numbers and other details that must be exactly right by reading them back and using keypad entry (DTMF tones) where needed.

{}

Knowledge, caller identity, actions and results

We connect approved information sources and actions with identity checks, permission checks, strict rules for each tool, protection against doing an action twice, safe retries, confirmation with the caller and a check that your business system shows the right result.

Handoff to people and accessible options

We design transfers when the caller asks for a person or when the risk is too high, warm transfers (passing the call with a short summary), and what happens when no one is free, including callbacks and voicemail. We also add keypad, text or other practical options for people who can't easily use voice.

Consent, recording and private-data controls

We build in the approved rules for who may be called, DNC (do-not-call) lists and blocked numbers, opt-outs and withdrawn consent, recording choices, removing private details, how long data is kept, and separate secure paths for payments or identity checks.

Audio testing, monitoring and reliable operations

We test realistic audio and deliberate attempts to trick the agent, link phone, AI, tool and business events together, and set up quality checks, alerts, call capacity, cost tracking, backup systems, a way to undo changes and an emergency off switch.

Staff training and step-by-step guides

We train the staff who take transferred calls, review call records and update what the agent knows. You get simple step-by-step guides for everyday changes, common problems and switching the agent off, so your team can run it without relying on us.

Why Softscotch

Every conversation stays linked to what happened on the phone line, an allowed action and a confirmed result.

We connect the voice experience with caller identity, your systems, consent, accessibility, call quality, your staff and the real records in your business systems, instead of only making the voice sound natural.

We confirm the task was done in your real records

A spoken confirmation or an AI-written call summary doesn't count until the calendar, CRM, support case, order or other approved system confirms the intended result.

The setup follows what's at stake on the call

We compare speech-to-speech and chained setups on response speed, control over transcripts, language, tools, ease of finding problems, privacy, reliability and cost, rather than picking one because it looked good in a demo.

Knowing who's calling is kept apart from permission to act

The caller's phone number can help route a call, but private data and important actions need the approved identity check, permission check and a clear request from the caller.

Consent and data rules run inside the call flow

Who may be called, quiet hours, do-not-call lists, recording choices, removing private details, how long data is kept and secure handling of sensitive details become steps in the system that we can test.

Testing uses what callers and systems really experience

Our tests cover real audio conditions, turn-taking, phone line quality, tool results, transfers to people and the results in your business systems, not just a written transcript.

The setup stays easy to change and easy to watch

AI models, voices, phone carriers and platforms can change. Clear written rules, dated versions, detailed call records, tests before each update and backup options keep your business running, though switching providers is never completely free.

Basic to advanced

What goes into an AI voice agent that is ready for real customers.

These 36 parts cover call planning, live audio, phone systems, what the agent knows, connected tools, caller identity, consent, data protection, backup to a person, testing, monitoring, costs and some advanced voice work we only do when it fits.

Call planning, starting point and setup
Which calls fit and which don'tName the task, customer, call direction, purpose, market, what's at stake, approved actions, route to a person and calls that are left out, before choosing a voice.
Call types and what callers wantSeparate incoming, outgoing, information-only, sales and mixed calls, and allow for the purpose of a call changing partway through the conversation.
Starting point for calls and resultsLink calls received, connected, missed, abandoned, transferred and corrected to confirmed results in your business systems, with clear totals behind each rate.
Consent rules by regionSet out the consent, caller identity, disclosure, calling hours, do-not-call, recording and data-keeping rules you approve for each call purpose and market.
Phone and data limitsMap phone numbers, carriers, SIP and audio routes, regions, audio formats, types of data, languages, provider limits, call volumes and how many staff are available.
Written record of the setup decisionCompare speech-to-speech with a chained setup (speech-to-text, then the AI agent, then text-to-speech) on control over the task, speed, evidence, keeping failures contained, privacy and cost.
Conversation and what the caller hears
Conversation and task progressTrack the phone connection, the conversation and the business task separately, so corrections, reconnections, transfers and final results all stay consistent.
Confirming exact detailsPut names, dates, phone numbers, emails, addresses, amounts and ID numbers into a standard format and check them, using spelling, reading back and keypad entry as a backup.
Taking turns and interruptionsTune VAD (how the system detects when someone has stopped talking), silence, interruptions, people talking over each other and background voices, and record what the caller actually heard before a reply was cut off.
Languages and ways of speakingSet which languages, accents, specialist terms, switches between languages and speech patterns are supported, with a qualified person or a non-voice option as backup.
Knowledge, caller identity and business actions
Approved knowledge onlyGive the agent only approved public or account information needed for the call's purpose, with its source, freshness, access checks, private details removed and a way to handle conflicting facts.
Rules for each actionDefine which tools are allowed, the exact details each needs, what must be true first, confirmation, who has permission, protection against doing it twice, handling calls at the same time, retries and a check after the action.
Checking callers and their permissionsTreat the caller's phone number (ANI), a familiar-sounding voice and caller ID verification signals as background information, then require the approved identity check and a clear request for each level of risk.
Matching call results to your CRMKeep hard facts separate from AI-written summaries, avoid duplicate records and check that the booking, case, order or task the agent claims to have made really exists in your system.
Your staff and accessibility
When a person must approveRequire a qualified person for high-risk, unclear, permanent or out-of-policy actions, and keep a record of exactly what they reviewed and approved.
Warm transfer and no-one-available backupTest transfers, the short summary passed to staff, the call queue, what the caller is told, callbacks, voicemail and how calls end, for every way a call can finish.
Accessible alternativesOffer a practical route through a person, the keypad, text or another supported option, with slower timing, simple ways to recover from mistakes and the same key results where it applies.
Rules for voicemail and callbacksHandle a live answer, an answering machine, silence, a busy line and no answer with an approved message, an opt-out, a limit on how often we call and one callback that someone owns.
Safety, consent and private data
Protection against tricks and data leaksTest spoken instructions meant to trick the agent (prompt injection), including ones in the background, pretending to be someone else, repeated probing and attempts to pull out data, against the limits on knowledge, tools and permissions.
Consent and do-not-call checks for outgoing callsCheck the contact, which business is calling, the purpose, consent, the person's local time, do-not-call lists, your own blocked list, opt-outs and withdrawn consent right before every approved outgoing call.
Rules for recordings and transcriptsCollect as little as possible and manage notices or consent, refusals, pausing, removing private details, who has access, how long it's kept, deletion, legal holds and copies held in other systems.
Keeping payments and private data separateTake card details, passwords and other high-risk information outside the AI model, transcripts, logs and normal recordings, and pass back only a short approved status such as "paid".
Testing and careful launch
Test scenarios and re-testsRun dated, start-to-finish tests across tasks, audio conditions, exact details, tools, transfers, failures and safety before every significant update goes live.
Library of real-world and tricky audioCover accents, speech differences, switching between languages, noise, people talking over each other, silence, interruptions, voicemail, poor connections and harmful background speech.
Checks each version must passLink each version of the prompt, AI model, voice, tools, call flow and rules to minimum standards for tasks, safety, speed, quality, cost and when to roll back.
Replaying and fixing problemsRebuild what happened on a call from allowed records of turns, tools, transfers and results, contain the problem and add each confirmed fault to the re-test list.
Phone operations and measurement
Secure system messages from the phone providerCheck provider signatures on webhooks (automatic messages between systems) and changing fields, reject repeated old messages and sort out duplicate or out-of-order call and audio events.
Carrier and audio qualityLink the delay before ringing, reasons for failed or dropped calls, lost audio, choppy audio, delays, silence and region to the call affected.
Actions that happen exactly onceUse a fixed ID for each action, locks or holds, a set number of retries, checks in your business system and a queue with an owner for unclear or half-finished results.
Quality, speed and cost trackingReport how long callers wait for each reply, accuracy of exact details, tasks, tools, transfers, phone line issues, staff corrections and the full cost per result, showing typical, slow and slowest calls (p50, p95 and p99) where useful.
Capacity, backup and emergency off switchTest busy call volumes and staff queues, decide how the service scales back safely when something fails, set up backup providers and systems, and practice undoing changes, recovering and an approved shutdown.
Improvements and advanced work only when it fits
Improving conversations based on call recordsFind out whether the audio, turn detection, knowledge search, AI model, prompt, tool, phone line or a later business step caused a problem before changing one clearly defined part.
Testing changes to call routingTest changes to routing or replies only within approved call types, with fair comparison groups, safety limits and agreed definitions of a result in your business systems.
Custom voices, only with consentCreate or use a custom voice only with confirmed identity, consent and rights from the voice owner, a provider that allows it, a limited purpose, secure storage of the voice files and a way to remove it.
Keeping key details right across languagesUse live translation between languages only in special cases, when names, dates, amounts and the approved meaning can be checked for accuracy, with a qualified person ready as backup.
Upkeep and handling changesWatch for changes to platforms, AI models, carriers, regions, prices, rules, knowledge, connected systems and call volumes, and re-run the right tests and approvals when they happen.
Phone and AI tools we use

Platforms carry the call. Clear operating rules decide whether the task is safe and actually done.

We choose the phone carrier, SIP connection (the internet link that carries phone calls), speech, AI model, knowledge search, booking, CRM, identity and monitoring tools to fit your calls. Naming a tool doesn't mean we are partners with it or certified by it, that it works in every region or that a given AI model will be used forever.

Look inside the call

Seven checks that show where things go wrong, from dialing to a confirmed result.

Each check keeps the current evidence, what it depends on, the safeguard, how we confirm it works, who owns it and its limits. A smooth transcript or a call summary written by AI does not prove the task on the call was actually done.

Check 01 · Agree which calls are allowed

Use case, customers, local rules and your current call results

We start by deciding which calls and actions are a good fit for automation, before any platform or voice is chosen.

Incoming and outgoing calls, information and sales calls, and general and account-specific calls are not the same. Any combination where the legal or business answer is unknown stays switched off.

Call purpose purposeSort calls by reason, direction, customer, intended result and how the purpose can change during a conversation.
Calls that don't fit limitsKeep emergencies, advice the agent can't give, high-risk decisions, vulnerable callers and tasks needing staff who aren't available out of automatic handling.
How calls flow today routeMap phone numbers, queues, hours, transfers, missed calls, abandoned calls, callbacks and who runs each part.
Real results resultCheck call outcomes and claimed completions against calendars, your CRM, support cases, orders or another approved system.
Rules by region policyRecord the consent, caller identity, disclosure, calling time, do-not-call, recording and data-keeping rules you approve for each purpose and market.
Launch owner ownerName who approves which calls are allowed, business facts, staff cover, the risk that remains, trial call volumes and final expansion.
Check 02 · Build the call path

Live voice setup, phone numbers, SIP lines, audio and provider limits

How the voice sounds and responds depends on the phone signals, the audio, the distance to servers, audio formats and the state of the software, before the AI even hears the caller.

Speech-to-speech can cut out steps and reply faster, while a chained setup can show the text in between and give more control over each part. The right choice depends on the task.

Setup choice structureCompare speech-to-speech with a chained setup (speech-to-text, AI agent, text-to-speech) for control over the task, evidence, speed, language, keeping failures contained and cost.
Number and carrier numberConfirm rights to each number, incoming and outgoing routes, countries, how your business shows on caller ID, caller ID verification and number reputation (whether carriers flag it as spam).
SIP and call signals signalsTest answering, rejecting, transferring, hanging up, calling back and disconnecting on every approved part of the call.
Audio path audioChoose regions, audio formats, sound quality settings, stream direction and network settings, and look for avoidable format conversions and delays caused by distance.
Trusted system messages messagesCheck signed webhooks, changing fields, retries, repeated old messages, duplicates and out-of-order events using the provider's supported methods.
Capacity and backup capacityWrite down limits on calls at the same time, queues, providers and regions, and the safe route when the carrier, AI model or software slows down or fails.
Check 03 · Design what callers experience

Conversation progress, exact details, taking turns and supported languages

Natural, friendly phrasing only helps when the caller can easily correct the agent and the task keeps the exact, structured details your business needs.

The call record should show the difference between audio the AI created and audio the caller actually heard before an interruption or a dropped call.

Task progress progressTrack the conversation, the phone connection and the business record separately through corrections, reconnections, transfers, timeouts and final results.
Exact details detailsSet the format, spelling, lookup, hiding of private parts, reading back and confirmation for names, dates, numbers, addresses, money and ID numbers.
Keypad backup keypadOffer keypad entry (DTMF) or another secure route when speech is unclear, private or not suitable for that detail.
Knowing when the caller is done turnTune how the system detects the end of a caller's turn, silence and reply timing for each use, rather than one setting for everything.
Interruptions interruptStop speaking, record what was heard and keep the task on track when the caller interrupts or people talk over each other.
Supported languages languageTest languages, accents, specialist terms, switching between languages and speech differences, and route unsupported or uncertain calls the right way.
Check 04 · Control data and actions

Approved knowledge, caller permissions, tools and results in your systems

A voice agent needs less data and narrower actions than a human administrator, and clear proof before any important action is accepted.

The caller's number (ANI), caller ID, a similar-sounding voice and STIR/SHAKEN (the system carriers use to verify caller ID) can help judge risk or route a call. On their own, they don't give permission to open an account or take an action.

Approved knowledge knowledgeKeep the source, freshness, audience, market and any conflicts for policies, products, services, locations and account details.
Identity check matchRequire the identity check you approved and a clear request that fit the risk of the action, with limits on attempts and fraud controls.
Tool rules toolsLimit actions and the details they accept, and check business rules, permissions, what must be true first and the current state of the system.
Confirmation confirmConfirm purchases, cancellations, payments, refunds, changes and other actions that can't be undone, at the right point in the call.
Exactly once onceUse protection against doing an action twice, locks or holds, a set number of retries, checks after each action and a clean-up process for duplicate or half-finished results.
Record quality recordKeep AI-written summaries separate from hard facts, avoid duplicate CRM records and link every result to the call, the action and the ID in your business system.
Check 05 · Keep a person within reach

Passing calls to staff, transfers, callbacks, voicemail and accessible options

The agent must know when to stop and hand over, and how to look after the caller, the details and the task when no person is available.

Keeping a call away from staff is not a success when the caller asked for a person, couldn't use speech or needed permission the system didn't have.

Asking for a person humanOffer a clear phrase or key to reach a person, without forcing the caller through repeated menus or trying to talk them out of it.
Risk triggers riskPass the call on when the agent is unsure, the identity check fails, the caller is distressed, there's a dispute, a policy exception, a high-stakes action or a request it can't handle.
Warm transfer transferSend the call to the right team member who is on duty, with an accurate, short summary that leaves out private data they don't need.
No one available backupTell the caller honestly about the queue or staffing, and offer one callback that someone owns, voicemail or another way to get in touch.
Answering machines voicemailHandle voicemail, silence, busy lines and no answer with approved messages, limits on how often we call and a recorded outcome.
Accessible route accessSupport keypad, text, relay services for people with hearing or speech differences or other practical options, slower timing and simple ways to recover from errors where it applies.
Check 06 · Test everyday and unsafe failures

Realistic audio, attempts to trick the agent, recording and private data

Proof that the agent is ready must include the sound, security, privacy and system conditions that perfect scripted transcripts leave out.

No set of tests can prove something is completely safe. The aim is to test most where the stakes are highest, see blocked attempts clearly and have someone own the decision about the risk that remains.

Audio coverage audioTest accents, speech differences, switching languages, background noise, people talking over each other, silence, hold music, voicemail, audio formats and poor connections.
Attempts to trick the agent attackTest direct and background instructions, pretending to be someone else, false urgency, repeated probing, attacks on tools and attempts to reveal data.
Recording choice recordingConfirm the notice or consent, refusal, pause, restart, removal of private details, access, how long it's kept and deletion across every copy of the data.
Keeping private data apart privateKeep card details, passwords and other high-risk information out of the AI model, transcripts, logs and normal recordings.
Checks before each update re-testLink minimum standards for tasks, exact details, tools, handoffs, safety, speed and cost to each version of the prompt, AI model, voice, call flow and rules.
Fixing problems incidentKeep the call records we are allowed to keep, contain the issue, give it an owner and turn each confirmed failure into a new test case.
Check 07 · Run the live service

Linked call data, business results, running costs and reliability

The final check shows whether people reached the agent, got the right task done and had an acceptable experience at a cost you can sustain.

We don't promise any completion rate, share of calls handled without staff, answer rate, savings or revenue figure without your starting numbers, an agreed way to count and proof from your business systems.

Connection connectionReport calls received, connected, answered, failed, abandoned, sent to voicemail and hung up, by call purpose and route.
Conversation qualityReport how long callers wait for replies (typical and slowest), interruptions, corrections to exact details, repeated questions and how each language performs.
Phone line quality call dataLink lost or choppy audio, delays, the wait before ringing, why calls dropped, region and allowed listening checks to each call.
Confirmed task taskSeparate calls that qualified, tasks attempted, tasks completed in your system, tasks wrongly marked complete, duplicates stopped, corrections, transfers and unresolved calls.
Cost per result costsInclude carrier, phone number, speech and AI model, recording, storage, connected systems, transfers, review and call capacity costs for each confirmed result.
Reliability reliabilityTest busy call volumes and queues, and practice switching to a backup AI model, carrier, tool or person, recovering, undoing changes and using the approved emergency off switch.
What changes

From an unclear call flow to a tested agent, a reliable handoff to people and a launch you can watch closely.

Before

Your team has a voice demo, but the call purpose, how the agent identifies itself, consent, allowed actions, recording, staff cover and handling of failures haven't been agreed together.

  • The purpose of the call is unclearSupport calls, appointments, sales, reminders and outgoing calls all share one script, with no rules for each country, customer type or consent.
  • Permissions and disclosures are assumed, not setHow the agent identifies itself, saying it's AI, recording choices, identity checks, private data, opt-outs, do-not-call lists and approved actions have no tested checkpoints.
  • The demo avoids real call conditionsBackground noise, interruptions, accents, slow speech, voicemail, wrong numbers, carrier failures and busy staff have never been tested.
Changes

The approved call journey becomes a tested first version of the agent, with a clear introduction, narrow actions, a safe backup and a reliable route to a person.

  • Every call starts with the right checksCall direction, purpose, how the agent identifies itself, disclosure, consent, recording choice, country, customer and route to a person are all settled before the call moves on.
  • Business actions have clear limitsIdentity checks, confirmation, narrow tools, protection against duplicates, retries and matching records protect your calendars, CRM and support case records.
  • Realistic calls are testedNormal, noisy, interrupted, unclear, voicemail, opt-out, transfer, failure and private-data calls are run through from start to finish.
After

A careful, monitored launch records call quality, blocked calls, transfers, the truth in your business systems, problems and the next decision, with an owner for each.

  • Calls and business records matchThe conversation, the call outcome and the approved action agree with the calendar, CRM or support case system, or go into one exceptions queue that someone owns.
  • Consent and do-not-call rules stay switched onOpt-outs, wrong numbers, recording choices, do-not-call rules and problems reach the right person before another call is allowed.
  • Each next update is a deliberate decisionCaller experience, tasks completed, staff workload, errors, cost and approved results support a decision to revise, expand, pause or stop.

  • Provide and approve business facts, policies, system rules, how the agent identifies itself, types of private data, source records and who keeps them up to date
  • Approve consent, do-not-call lists, quiet hours, opt-outs, withdrawn consent, recording, removing private details, data keeping, deletion and any custom voice decisions
  • Provide access to the phone carrier, numbers, systems, identity tools, test accounts, analytics and results, plus qualified staff queues and schedules
  • Review high-risk scenarios, the security and accessibility risk that remains, how problems are handled, promises made when no one is available, launch call volumes and the checks for expanding
  • Accept the final scope, what we depend on, the limits, build costs and provider costs, ongoing support, the schedule and our fee
How the voice system fits together

How an AI voice agent works: nine linked records that trace each call from the ringing phone to a confirmed result.

What happened on the phone line, in the audio, in the conversation, in a connected system, in an approval, in a transfer and in your business records can drift apart. Shared ID numbers and clear rules between systems make those differences easy to find and fix.

The connected growth engine

Appointment Booking Automation

Handles calendar availability, service and resource rules, confirmations, reminders, rescheduling, cancellations and no-show follow-up once a call turns into a booking.

CRM and Pipeline Automation

Handles contact and sales opportunity records, removing duplicates, sales stages, tasks, team follow-up and workflows in your systems once the call result is confirmed.

API Integration Services

Handles reusable connections between systems (APIs), automatic messages, logins, events and wider system design, where the voice agent is just one user of a bigger setup.

Lead Scoring and Qualification

Handles how leads are rated, the evidence used, routing thresholds and learning from results, when judging a lead goes beyond the live phone conversation.

Conversion Tracking and Attribution

Handles analytics that respect consent, call and source IDs, linking calls to later results and the limits of crediting sales, beyond the day-to-day voice agent report.

AI-powered Tools & Agents

Handles your wider AI agent plan, shared workflows, tools used across channels and the rules for running them, when the voice agent is one part of a bigger AI agent system.

One connected scope. AI Voice Agent Services is coordinated with the strategy, creative, experience, data and reporting it depends on, so responsibilities and handoffs stay visible in one written plan.

What to expect

How long an AI voice agent takes to build, and the full growth plan.

The AI Voice Agent work moves from one clearly limited task and a set of test calls to a small, controlled trial with real calls. We only expand once quality, permissions, recovery from problems and the ability for staff to step in have been proven. Complex data, connections between systems or higher risk can make the trial take longer. The work is part of the six-month Softscotch growth plan shown below.

AI Voice Agent, from discovery to a limited trial

Week 1

Agree the call plan

Confirm the purpose, call direction, customer, market, language, risk, allowed actions, calls that don't fit, what you get and who makes the final call.

KPI Plan agreed
Weeks 1–2

Approve the rules and data limits

Record your current decisions on consent, disclosure, calling hours, do-not-call lists, recording, data keeping, private data, regions and industry rules.

KPI Rules set
Weeks 2–4

Connect knowledge, identity checks and tools

Build in approved knowledge, identity checks, permissions for actions, clearly defined tools, confirmation, protection against duplicates, retries and record matching.

KPI Connected
Weeks 4–6

Run audio and trick-attempt tests

Test realistic sound, language, accessibility, tool, transfer, carrier, outage and attack situations from start to finish.

KPI Tested
Weeks 6–10

Trial with a limited number of real calls

Go live with an approved group of calls, with linked call records, quality spot checks, alerts, owners for problems, enough capacity and a tested emergency off switch.

KPI Trial live
Months 3–4

Decide on expanding and upkeep

Approve, revise, hold or stop each type of call, and assign updates, re-tests, rules, knowledge, capacity, backup and how often things are reviewed.

KPI Decision

Our full growth plan (all services together), month by month

Month 1

Foundation and review

We review your whole website, where you rank and your competitors, agree how the site should be organized, and set up hosting, analytics (visitor tracking) and your GoHighLevel lead system. The first agreed pages start going live.

KPI pages live
Month 2

Build and launch

The site is built or rebuilt. Main, service and industry pages go live with on-page SEO, website labels and technical fixes. Your Google Business Profile is improved and lead follow-up automations are switched on.

KPI pages in Google
Month 3

Early rankings, paid ads start

More pages built from templates (programmatic pages) start going live, paid ads and email follow-ups are switched on for early leads, and Google adds your pages to its results as the first rankings usually appear.

KPI search terms ranking
Month 4

Momentum builds

Rankings often start climbing, visits from free search begin to rise, ad spending is tuned to the return it brings (ROAS, return on ad spend), and groups of related articles and links from other sites build your reputation with Google.

KPI visits from search
Month 5

Results start to show

Main search terms can move closer to page one, the first leads from free search often arrive, AI tools may begin to mention you, and testing improvements to your pages (CRO, conversion rate optimization) helps more visitors get in touch.

KPI leads from search
Month 6

Growth builds on itself

Pages that are working are protected and improved, template pages bring in visitors searching for very specific terms, and SEO, ads, email and automation work together to bring steadier leads and sales. Timing varies by market and competition, and no ranking is guaranteed.

How we compare

How we compare: an AI voice agent is a real call system, not just a voice attached to an AI prompt.

The difference is a clear, written link between which calls are allowed, what the caller actually hears, who is allowed to do what, actions that complete exactly once, backup to a person, phone line quality, business results, cost and ongoing control.

The risk of using a different agency for everything
  • Starts with a voice and a prompt before deciding which call tasks are allowed and which calls don't fit
  • Uses one setup for every task without comparing the pros and cons of speech-to-speech and chained setups
  • Treats a smooth conversation and an AI-written summary as proof the task was done
  • Accepts names, dates, emails, addresses, amounts and ID numbers without reading them back or checking them
  • Treats caller ID or a familiar voice as enough permission for account actions
  • Connects tools without fixed action IDs, protection against duplicates, handling of calls at the same time or matching results to records
  • Adds transfers to staff without testing the summary passed on, the queue or what happens when no one is available
  • Keeps consent, recording, private-data and payment rules in policy documents instead of inside the call flow
  • Checks written transcripts and average response speed while ignoring audio, phone line and slowest-call failures
  • Quotes a price per AI minute while leaving out phone numbers, carrier, storage, connected systems, transfers, quality checks, call capacity and recovery
vs
Softscotch
  • Agrees the call purpose, direction, customer, local rules, approved actions, exclusions and staff-only calls first
  • Chooses speech-to-speech or a chained setup based on the task, control, evidence, speed, language, privacy and cost
  • Checks every claimed booking, case, order, contact or task against the system it belongs in
  • Uses set formats, spelling, reading back, lookups, hiding private parts and keypad or other secure backup for exact details
  • Keeps phone number signals apart from approved identity checks, permission to act and a clear request from the caller
  • Builds clearly defined tools, checks before acting, confirmation, protection against duplicates, locks, retries, ways to reverse actions and record matching
  • Tests transfers the caller asks for and risk-based ones, short summaries, the right team, queue events, callbacks, voicemail and other options
  • Runs call eligibility, do-not-call lists, recording choice, removing private details, data keeping and separate handling of sensitive details as part of the system
  • Tests realistic audio and reports turn, tool, phone line, transfer and result evidence, including typical and slowest calls
  • Works out full cost per result, call volumes and staff capacity, safe scaling back, backup systems, undoing changes, recovery and the emergency off switch

Ethical, transparent, always on

One accountable team, strictly white-hat (only methods search engines and platforms allow), no shortcuts and no surprises. Support whenever you need it.

One plan, full-stack access

One Softscotch plan gives you access to the full service stack, coordinated around your priorities.

You do not need a separate agency or retainer for every channel. Your plan can draw from search, paid media, web, ecommerce, outreach, automation, lead generation, messaging, content, creative and operations. The agreed scope sets what is active, in what order and at what capacity.

Pricing approach

One price for everything, not a stack of separate retainers.

You get one price for your whole marketing, not a separate retainer for every service. SEO, paid ads, your website, automations, cold email and newsletters, we run all of it as a single scope, so you get the most result for what you pay. Agencies sell each of these on its own, so the invoice climbs whether or not that line drives a single lead.

Bought separately, service by service

A different agency or retainer for each service. The bill stacks up fast, and keeps climbing whether or not each one moves a single lead.

Questions, answered

AI voice agent FAQs: more than natural speech and answering the phone 24/7.

These answers cover what's included, incoming and outgoing calls, how the system is built, phone setup, caller identity, exact details, connected tools, handing calls to staff, accessibility, consent, recording, payments, testing, languages, custom voices, reliability, guarantees, timing and pricing.

Filter
What is included in AI Voice Agent Services?

The scope can include planning call purposes and your starting point, live voice and phone setup, conversation design, approved knowledge, identity checks, booking and CRM tools, handoff to staff, consent and recording controls, audio testing, monitoring, results reporting, staff training and step-by-step operating guides. Your proposal names the exact calls, markets, languages, systems, actions and what's left out.

Can you build AI voice agents for both incoming and outgoing calls?

Yes, when the use is appropriate. Answering incoming calls and taking account-specific actions still need identity, recording and risk controls. Outgoing calls also need an approved purpose, a current decision on consent (or a legal exception) that applies, a clear business name and number, quiet hours, do-not-call checks, opt-outs, a way to withdraw consent and a known source for the call list before any call can be made.

Do you use speech-to-speech AI or separate speech-to-text, AI and text-to-speech?

We choose based on the call task. Speech-to-speech can simplify the live back-and-forth and reply faster. A chained setup can show the text in between, let us choose each part and give more predictable control over rules and transcripts. We test realistic calls and write down the pros and cons for control, language, evidence, failures, privacy, speed and cost, instead of locking you into one model forever.

Which phone, voice and AI platforms do you support?

The setup can use suitable programmable phone or SIP services, live speech, transcription, voice generation, AI model, calendar, CRM, helpdesk, identity and monitoring platforms. The choice depends on regions, languages, data controls, phone routes, tools, call volumes, support and cost. Platform names are examples, not claims of partnership or certification.

Is caller ID enough to confirm who is calling?

No. The caller's number (ANI), caller ID, a familiar voice and STIR/SHAKEN (the system carriers use to verify caller ID) can help with routing or judging risk, but they don't prove the caller is allowed to act on an account. We match each piece of data and each action to the identity check you approve, a permission level and clear confirmation, with an extra check or a transfer to a person when the requirement isn't met.

How do you prevent mistakes in names, dates, phone numbers and order numbers?

We set formats and local rules (such as date order), put the captured detail into a standard format, check it against business rules or your system, spell out or read back the right parts and ask the caller to correct it before acting. Keypad entry (DTMF) or another secure route can be used where speech is unclear or unsuitable. Private details are partly hidden and not repeated more than needed.

How do you stop double bookings or duplicate CRM records?

Each important action gets a fixed ID, clearly defined details, checks on what must be true first, a check of the current state, confirmation and protection against doing it twice. Retries are limited. The agent checks the result in your system, and timeouts or half-finished results go into a clean-up process instead of being reported as done.

Can callers always ask for a person?

Wherever a staffed route is part of the service, we design a clear way for callers to ask for a person. Risk, uncertainty, failed identity checks, disputes and requests the agent can't handle can also trigger a transfer automatically. We test the transfer, the short summary passed on, the right queue and what happens when no one is free, which may be a callback, voicemail or another approved way to get in touch.

How do you make a voice agent accessible?

We avoid making speech the only way through where another option is practical. We offer access to a person or the keypad, and connect to text, web or other supported channels when included. Prompts let callers correct mistakes and give them enough time to reply, and we test slow speech, repetition and a range of speech differences. We make the accessibility scope and any legal duties that apply clear.

Are AI outbound calls legal?

It depends on the country or region, the purpose of the call, rules on artificial voices, the type of number being called, consent or a legal exception, which business is calling, where the call list came from and the current rules. In the United States, the FCC has confirmed that AI-generated voices count as "artificial or prerecorded voice" calls under the TCPA (the Telephone Consumer Protection Act), and sales calls covered by the FTC's telemarketing rules have further requirements. You and a qualified lawyer approve the rules for each region where calls go live; we build and test those approved controls.

Do you tell callers they are speaking with AI?

We build in the identity and AI disclosure you approve for each call purpose and market. Current laws and proposed laws differ from place to place, so we don't claim there is one wording that works everywhere. Where required, the call also names your organization and the purpose of the call, and the caller can always stop or switch to another way of getting in touch.

Can calls be recorded and transcribed?

Only under the approved purpose and the rules for where each person on the call is located. We design notices or consent, refusals, pausing, removing private details, role-based access, how long data is kept, deletion and handling of copies in other systems. Recordings and transcripts are kept to a minimum rather than switched on by default, and sensitive parts of a call may need a separate path with recording and transcription turned off.

Can the AI voice agent take payments?

It can pass the caller to an approved, separate secure payment step when that is in scope. Card security codes and other sensitive payment details should not pass through the AI model, transcripts, logs or recordings. The agent receives only the small approved result it needs to carry on, such as "payment complete". A provider's feature does not on its own make the whole setup compliant with payment card rules.

How do you test an AI voice agent before launch?

We run complete calls with realistic tasks, accents, specialist terms, noise, silence, interruptions, people talking over each other, voicemail, switching languages, speech differences, phone line conditions, tool errors, failed transfers and background speech meant to trick the agent. We score what the caller heard on each turn, exact details, actions, handoffs and results in your systems, and keep a fixed set of tests to re-run before every update.

Can the agent support several languages or live translation?

Conversations in several languages are possible where current providers and realistic test results meet the standard the task needs. Live translation is a separate, higher risk, because names, dates, amounts, consent wording and regulated meaning can change in translation. We define which language pairs are supported, which details must stay exact, qualified review and backup to a person, rather than advertising one big number of languages.

Can you create a custom or cloned voice?

Only as extra work when there is a sound reason, a provider that allows it, and confirmed identity, consent, rights and an agreed purpose from the person whose voice it is. Use, access, disclosure, proof of where the voice came from (where supported), withdrawing consent and deletion must all be managed. We do not offer copying someone's voice without their consent or unlimited voice cloning.

What happens when the carrier, AI model, CRM or calendar is down?

The design names each thing that could fail and the safe behavior for each type of call. Depending on the task, that may mean using another route, giving a limited reply, transferring to a person, offering a callback or voicemail, or stopping new automated calls. Before scaling up, we test call capacity, add automatic cut-outs when a system keeps failing, match records, and practice undoing changes, recovering and using the approved emergency off switch.

How long does an AI voice agent take to build, and how is it priced?

Timing and price depend on the types of calls, countries and phone numbers, languages, phone and live voice setup, connections for knowledge, identity and tools, consent and recording review, audio and security testing, staff queues, call volumes, calls at the same time, reporting and support. Your proposal states the discovery, build, trial, what we depend on, provider costs, ongoing support, schedule and fee before work begins.
