Email and SMS Marketing Services

Send email and SMS based on what each customer needs right now, not on which calendar has space.

We'll reply with a written proposal: the work, what we need from you and an estimated timeline.

The hidden problems

Using two channels can still leave one customer confused and annoyed.

Before suggesting more campaigns or automated messages, we check customer records, permission, where each customer is, what each channel is for, how many messages people get, personalized data, send records and measurement.

  • One customer becomes several records

Email, phone, online store, CRM (customer database) and device IDs split one person into several records or wrongly join different people, so permission, history, message load and purchases get applied to the wrong record.

  • Every campaign and flow thinks it's the only one

Welcome, abandoned cart, promotion, after-purchase, service and win-back messages each follow their own rules, while the customer gets too many messages or messages that contradict each other.

  • Joining a series is mistaken for permission to get every message

A person joins a series for a valid reason, then buys, unsubscribes, changes stage, joins another series or reaches an offer that has expired before the delayed message goes out.

  • Permission is reduced to one "subscribed" box

Permission records for channel, purpose, sender, country or state, proof, notice version, preferences and opt-outs don't match across forms, your online store, CRM, email platform and texting providers.

  • Personalization is only tested with perfect data

Missing names, duplicate actions, out-of-stock products, old prices, expired coupons, wrong currencies, long translations and broken links reach real customers.

  • Platform-credited revenue is taken as proof

The platform credits sales that happen within a set time after a message to email or SMS, while cancellations, returns, profit, other marketing running at the same time and what would have happened with no message stay hidden.

Scope

What our Email and SMS Marketing Services cover.

Make email and SMS (text messages) work as one customer program, instead of two separate calendars fighting for attention. Softscotch maps where each customer is in their journey with you and what they have agreed to receive on each channel. We set rules for which message matters most and how often people hear from you, build the agreed campaigns (one-off sends) and flows (automated message series), test who is really allowed to receive each message, and send the first priorities with a clear report on results. You get a starting-point review, a permission and audience plan, a campaign and flow roadmap, a carefully controlled first send and a record of what was measured. Platform and message fees, sender registration, deep inbox-delivery repair, building new systems, buying or growing lists and legal advice are priced separately.

The eight cards describe the joined-up email and SMS work, including regular reviews with your team. Your proposal picks the platforms, campaigns, automated flows, markets, amount of content, tests, message costs and who runs things day to day.

Starting-point review and priority roadmap

Review channels, customer stages, campaigns, automated flows, calendars, audiences, permission, templates, sender names, platforms, data, delivery, reporting, costs, problems, owners and what the service covers.

Customer records, permission and customer groups

Define trusted customer IDs, rules for joining records, what tracked actions mean, resent data, permission for each channel, preferences, opt-outs, customer groups that update themselves, overlap, who can be messaged right now and monitoring.

Customer journeys across both channels

Map customer stages, what each channel is for, what starts each series, filters, waits, branches, exits, re-entry, clashes, purpose, priority, one overall limit on contact, local time, urgency and expiry.

Campaign calendar, copy and content

Plan your campaigns and produce approved briefs, audiences, subject lines and preview text, email and SMS messages, offers, templates, product and language versions, links and images.

Building automated flows on your platform

Build or fix the agreed welcome, abandoned cart, after-purchase, reorder, review, renewal, win-back and other journeys, with saved versions of the rules and test data.

Quality checks, sending and delivery

Check customer records, permission, final audiences, exclusions, personalized details, sender names, quiet hours, links, tracking, landing pages and provider signals, and keep clear ways to pause, fix and handle problems.

Testing, measurement and handover

Run useful tests of messages, journeys, how often you send, timing or hold-back groups; write down the limits of how sales are credited and what they are really worth; and hand over accounts, definitions, step-by-step guides, reports and day-to-day ownership.

Regular reviews and planning with your team

We meet with your team on an agreed schedule to review recent sends, sales, opt-out trends and upcoming promotions or stock and service changes, then adjust the calendar and priorities together so both channels stay in step with your business.

Why Softscotch

We link your send calendar to where each customer really is in their journey.

Customer records, permission, who can be messaged, the purpose of each channel, message load, content, sending, measurement and trained owners stay connected from the first review to day-to-day running.

The customer's stage comes before the send calendar

Each message is tied to a clear customer need, a business decision, a purpose, the job of the channel, whether the person can be messaged right now and an expiry date, rather than an empty slot in the weekly calendar.

Reliable customer records and data come before sending

Trusted customer IDs, duplicates, time stamps, fixed action IDs, resent data, late data and old data loads are tested before any journey relies on them.

Permission stays specific to each channel and purpose

Where permission came from, its proof, notice version, preferences, opt-outs, asking again and checks just before sending stay visible across all connected systems.

Campaigns and flows share one limit on contact

Purpose, priority, recent contact, active journeys, local time, urgency, expiry, preferences and essential exceptions decide which message goes out when several compete.

Tests separate platform credit from real cause and effect

How sales are credited, hold-back groups, safety limits, tests mixing, good-quality sales, returns, cost, margin and uncertainty all stay part of the decision.

The program keeps working when platforms and teams change

Accounts you own, versions, definitions, test data, send records, alerts, problem logs, step-by-step guides, training and AI limits are handed over with named owners.

Basic to advanced

Everything needed to run two channels around one customer decision.

These 36 parts cover defining the program, customer records, permission, journeys, audiences, content, sending, testing, money, handling problems and safe choices about which channel to use.

Program groundwork and ownership
Is this the right service?Decide whether the work needs email and SMS run together as one program, an email-only or SMS-only program, one set series of messages, fixing inbox delivery, wider automation across systems or setting up a specific named platform.
Starting point and everything in your accountList campaigns, automated flows, sign-up forms, audiences, content, templates, sender names, platforms, data, production, delivery, tests, money, problems, owners and how old the evidence is.
What customer records and actions meanSet rules for customer records, permission, details of tracked actions, time stamps, product IDs and which source wins before any automated flow relies on them, including duplicates, resent data, old data loads and unclear cases.
Permission, preference and purpose rulesDefine the channel, sender, topic, purpose, country or state, source, proof, notice version, preferences, opt-outs, asking again, legal owner and the final check on who can be messaged.
Platform, sender and access readinessCheck that you own the accounts, and check plans, user roles, account recovery, sender identity and registration, supported countries, sending speed limits, billing, test modes, APIs (secure links between software systems) and support before we agree the scope.
Measurement and working rulesAgree in writing on what each number means, how sales are credited, value and cost figures, how often we review, approvals, service levels, who can act when problems happen, upkeep, handover and the limits on results.
Customer journeys and how they're built
Map of customer stages and moves between themShow prospect, subscriber, customer, active, needing service, renewal, returning, at-risk, lapsed and other important stages, with clear moves between them, owners and cases still unclear.
Start rules versus live checksKeep what starts a series separate from the eligibility check made before each message, so people can be skipped after they buy, unsubscribe, change status, reach an expiry date or join another journey.
What each channel is for and handoff rulesChoose email, SMS, both, another channel or no message based on the customer's need, the purpose, urgency, how much detail is needed, how intrusive it is, cost, whether a reply is expected and where the link goes.
Clashing journeys, re-entry and changesTest campaigns and flows running at the same time, waits, purchases, cancellations, re-entry, expiry, old data loads, pausing, letting people finish, replacing, rolling back and moving people to a new version.
Audiences, permission and message load
Rules for self-updating customer groupsSave versions of what each group means in plain words, the exact platform rules, data fields, permission, exclusions, update delay, overlap, how many people it reaches, what happens if it is empty, proof and who reviews it.
Contact limits across channelsCoordinate email, SMS and other messages using purpose, urgency, preferences, frequency, recent contact, customer stage, local time, expiry, team capacity and essential exceptions.
Keeping preferences and opt-outs in syncMatch topics, frequency, channel choice, unsubscribing from everything, unsubscribes, spam complaints, bounces, STOP replies, phone numbers given to someone new and manual blocks across every connected system.
Matching records and stopping duplicatesUse an agreed order of trusted IDs, rules for when records are joined or kept apart, handling of shared contacts, anonymous visitors who later sign up, review of unclear cases and fixes that can be undone.
Campaign content and personalized details
Campaign calendar and changesPlan the purpose, audience, channel, overlap with journeys, offer, content, dependencies, review, lock date, send date, expiry and decision across all your campaigns.
Where copy, offers and claims come fromTrace subject lines, preview text, email and SMS copy, proof, prices, promotions, deadlines, legal wording, call-to-action buttons and landing pages back to current approved sources.
Backup text for personalized detailsTest missing names, products, images, prices, coupons and translations before a live send, including blank, badly formatted, out-of-date, very long, zero and too-big values.
Product, catalog and language detailsCheck product IDs, stock, price, currency, margin, who qualifies for an offer, expiry, image, link, language, reading direction and whether to use backup text or stop the message.
Sending, delivery and problem controls
Email and SMS pre-send checksCheck the final audience who can be messaged, exclusions, message purpose, copy, personalized test data, links, preferences, how opt-outs work, tracking, sender, schedule and approvals.
Keeping marketing and transactional messages apartLabel each message's purpose and protect expected service and transactional messages (receipts, order and account updates) from promotional content, contact limits and mixed-up reporting.
SMS sender, keyword and quiet-hours controlsSet up the registration details your platform supports, sender identity, proof of permission, automatic STOP and HELP replies, local-time and quiet-hours settings and how to escalate with the provider.
Delivery problems and how they're handledWatch provider acceptance, bounces, delays, filtering, failures, spam complaints and opt-outs; rate how serious a problem is, pause sends, keep the evidence, fix it and confirm it's recovered.
Testing and improvement
Test ideas and test planRank ideas to test for messages, offers, channels, timing, frequency and journeys by the value of the decision, risk to customers, how many people we can reach, the size of effect that would matter, cost and other tests running.
Hold-back groups for automated flowsMeasure the true extra effect where possible, instead of giving automation credit for every sale after a message, with agreed exclusions, sales you may give up, length of time and stop rules.
Tests of send time, frequency and preferred channelCheck what the platform needs first, then compare a set approach against a control group, while respecting permission, quiet hours, urgency, expiry and limits that protect customers from harm.
Tests mixing and decision rulesSet in advance how people are randomly split, the main measure, safety limits, exposure, the smallest effect worth acting on, how journeys could mix up results, how sure we need to be and what we'll do after the test.
Measurement, money and monitoring
Checking the quality of revenueAccount for cancellations, returns, discounts, margin and repeat buying when reading revenue the platform credits, while being clear about missing data and the limits of the estimate.
How sales are credited and what each number meansRecord each channel's time window for crediting sales, which clicks or opens count, exclusions for bots and privacy features, where sales data comes from, customer records, time stamps, what each rate is divided by, later corrections and how each report is used.
True extra results and group comparisonsCompare people who got messages with a control group or another fair group where possible, and report the actual and percentage effect, uncertainty, safety limits, any mixing and where the result applies.
Cost, profit and message fatigueBring together message and platform costs, discounts, fulfillment, support effort, total and net value, opt-outs, complaints and future reach, without boiling customer value down to one ratio.
Journey health and spotting unusual changesWatch record conflicts, data delays, changes in customer groups, message load, people waiting, skipped messages, duplicate entries, delivery, opt-outs, sales, how fresh product data is, spend and flows drifting from their approved version.
Advanced work and newer methods
Reliable data and protection from repeatsUse fixed action IDs, time stamps, data format checks, rules for resends and removing duplicates, a policy for late data, labels for old data loads, a process for corrections and checks you can see.
Rule-based choice of the next channelSuggest email, SMS, waiting or no message, within limits, based on approved customer stage, permission, purpose, message load, urgency, cost and expiry, under fixed rules and after testing quietly in the background first.
Controlled AI help with customer groups and copyUse AI drafts only with approved inputs, banned claims, review of sensitive fields, privacy limits, fixed rule-based checks, human approval, a record of where content came from, monitoring and a way to undo.
Testing journeys with made-up dataCreate a set of made-up customer, permission, action, product, offer, language and clash cases to test the rules, while keeping fixed expected results and having a person review what is covered.
Versions, small first sends, roll-back and handoverSave versions of customer groups, journeys, content, data rules and decisions; roll out risky changes to a small group first where practical; and hand over the assets you own, step-by-step guides, evidence, access and exit controls.
Platforms and proof

Platforms can change. Permission, customer stage and sign-off still need proof.

Klaviyo, Braze, Customer.io, HubSpot, Attentive, Twilio and other tools offer different controls. We check your live account, link each tool to the decision it supports and say clearly what the platform can't prove.

Program review

Seven checks show what is holding back your campaigns and automated messages.

Each check joins customer stage, data, permission, channel decisions, production, live results, money and a named person to follow up.

Check 01 | Your starting point

Review of your current program, whether this service fits and how the work gets done

We define what decisions customers face, what each channel is for and where the gaps are before sending more messages.

An account full of messages can still be a program nobody really owns. We connect campaigns, automated flows, calendars, people, platforms, costs, problems and measurement to one agreed starting point and a clear line on what this service covers.

Customer and sales stages stagesMap each stage that matters, such as prospect, subscriber, first purchase, active customer, due to reorder, due to renew, at risk, lapsed and needing service, to what the customer needs and what the business must decide.
Everything already in your account inventoryList every live, draft, paused and retired campaign and flow, plus templates, sign-up forms, customer groups, lists, sender names, reports, tests and anything scheduled that depends on them.
What each channel is for rolesWrite down which jobs belong to email, to SMS, to both, to another channel or to no message at all, with the purpose, urgency, cost, how intrusive it is and the value expected for the customer.
How messages get made processWatch how the work really happens: briefs, the calendar, writing, design, data, reviews, building, choosing who gets it, testing, sending, watching results, reporting and change requests.
Starting-point numbers proveRecord how many messages go out, how many people you can legally reach, how often they hear from you, delivery, complaints, unsubscribes, sales, the revenue the platform credits to messages, costs, errors and the limits of each number, without making up history that isn't there.
Fit and limits limitsSeparate a joined-up email and SMS program from email-only campaigns, SMS-only campaigns, fixing inbox delivery, platform setup projects, buying or growing lists and automation that links many systems.
Check 02 | Customer records and actions

Review of customer records, what tracked actions mean and how reliable the data is

We prove who each customer record really belongs to and what each tracked action means before any message relies on it.

Email addresses, phone numbers, devices, customer numbers and IDs from other systems can create separate records for one person, or wrongly join two people together. Data that is sent twice, arrives late or is loaded in bulk from the past can repeat or block actions unless the rules for that data are clear.

How records are linked matchTrace email, phone, customer number, IDs from other systems, device, anonymous visitor, online store, CRM (customer database) and platform record IDs, with where each comes from, which one wins and when records should or should not be joined.
Duplicate and shared contacts duplicatesTest test addresses, phone numbers that have been given to someone new, shared phone numbers, households, typos, anonymous visitors who later sign up, conflicting details and records where it is unclear who the person is.
List of tracked actions actionsDefine for each tracked action (such as "placed order"): its name, purpose, source, when it happened, when it was received, its unique ID, which customer it belongs to, its details, data types, currency, value and what happens when it is updated or deleted.
Repeated data repeatsCheck that each action has a fixed ID from its source, that resends are handled, that duplicates are caught, how delayed confirmations work, and that one real action only enters the program once.
Late, corrected and old data old dataSet rules for the order of events, expiry, corrections, cancellations, re-runs and loading old history, so past data doesn't suddenly start today's automated messages.
Watching the data monitoringWatch when data arrives, how much arrives, its format, blank values, duplicates, delays, record conflicts and changes at the source, with a named owner and a clear way to raise problems.
Check 03 | Permission and who can be messaged

Review of channel permission, preferences, opt-outs and checks at the moment of sending

We keep each person's permission and their current right to receive a message attached to every audience and send decision.

Permission to email someone does not give you permission to text them, and a person who started an automated series can stop being eligible before the next message. We test how permission is collected, stored, passed between systems, withdrawn and checked one last time just before each send.

Permission record consentMap the channel, purpose, sender, topic, country or state, source, date and time, version of the notice shown, proof, current status, expiry and rules for asking again.
Where people sign up sign-upInspect forms, checkout, text-to-join keywords, landing pages, imports, offline sources and account pages for a clear channel choice, clear wording, confirmation and saved proof.
Preference choices preferencesTest choices for topic, how often, channel, language and unsubscribing from everything, plus the confirmation, error and re-subscribe screens and what happens when a page is hard to use or unavailable.
Opt-outs reaching every system opt-outsMake sure unsubscribes, spam complaints, hard bounces (addresses that no longer work), STOP replies, phone numbers given to someone new, do-not-contact requests and manual blocks reach every connected system within an agreed time.
Who can be messaged right now eligibilityCheck permission, customer stage, recent purchases, stock, service status, rules, how recently they were contacted and any exclusions again just before each campaign or automated message goes out.
Legal and policy limits legalRecord who on your side owns legal, privacy, compliance, phone carrier, provider and regulated-content decisions, without treating a platform setting as proof that you are legally compliant.
Check 04 | Journeys and message load

Review of customer stages, clashing message series and how much contact each person gets across channels

We plan campaigns and automated flows around one customer, instead of letting every automation act on its own.

The built-in "how often" limits on each channel don't always control the combined number of emails and texts one person gets. We map active journeys, which message wins, urgency, expiry and the reason to send, delay, switch channel or hold back each message.

Customer stage map stagesDefine clear, trackable stages, such as joining, active, buying, needing service, canceling, returning, lapsing and renewing, plus how people move between them and cases still unclear.
Journey map journeysSpell out what starts each series, who is filtered out, the branches, waits, the purpose of each message, what counts as success, when people leave or re-enter, when it expires, when a person steps in and what happens next.
Messages that clash clashesSimulate what one person gets when broadcasts, welcome, abandoned cart, after-purchase, reorder, win-back, order and service messages all run at the same time.
Purpose and priority prioritySort messages into marketing, customer journey, service and transactional (receipts, order updates), with a priority for the customer and the business, plus a few tightly approved exceptions.
Total message load loadCombine recent contact on each channel, active journeys, local time, preferences, urgency, expiry, tiredness of hearing from you, cost and capacity in one rule set that sits above each channel's own limits.
Reasons on record reasonsKeep a record of why each allowed message was sent, delayed, switched to another channel, skipped or let through as an exception, and which rule or person made that call.
Check 05 | Content and production

Review of the calendar, customer groups, content, offers and personalized details

We make every send traceable to a current audience, a message approved against real sources and a full plan for what happens when data is missing or wrong.

Sending lots of campaigns fast is no excuse for out-of-date customer groups, expired offers or broken personalization (details like a first name or product filled in for each person). Our production check links each brief to working audience rules, approved content, realistic test data and the final pages people land on.

Aa
Calendar and plan calendarMap each campaign's purpose, audience, channel, message type, offer, what it depends on, owner, review, lock date, send date and clashes across the whole planning period.
Customer group rules groupsWrite down what each group means in plain words, the exact rules the platform uses, the data fields, permission, exclusions, how fast it updates, overlap with other groups, how many people it can reach, what happens if it is empty and when to review it.
Where the words and claims come from copyTrace the subject line, preview text, body, text message, call-to-action button, proof, product, price, discount, deadline and legal wording back to approved sources and owners.
Fitting each channel fitKeep one idea for the customer, but adjust the order, length, links, images, urgency, replies and how much it interrupts to what email and SMS each do well and badly.
Testing personalized details data casesTest what happens when customer, action, product, offer, language and link details are missing, blank, badly formatted, very long, out of date, expired, zero, one, normal, at the maximum or too big to fit.
Production handover handoverSave versions of the brief, audience, copy, images, templates, test data, approvals, links, tracking, send settings and changes, rather than rebuilding everything from old chat messages.
Check 06 | Sending and results

Review of checks before sending, live delivery, problems and measurement

We look at who was really allowed to receive each message, what was sent, what was delivered and what was measured, using clearly named definitions.

Preview screenshots and platform revenue reports can both look reassuring while hiding the wrong audience, old data, messages refused by the provider, unsubscribes that didn't work or sales credit that is only estimated. The final proof must link what was sent to real, good-quality results.

Audience changes audienceCompare the planned audience with those currently allowed, blocked, excluded, waiting, duplicated, unreachable and finally sent to, with counts for each reason and any unexpected shifts.
Pre-send check pre-checkCheck the sender, purpose, copy, personalized details, links, landing pages, tracking, preferences, unsubscribe link, STOP and HELP replies for texts, local send time and how it looks on common devices.
Controlled sending go liveName who can approve a send, the lock date, schedule, sending to a small group first where practical, the point at which we pause, how to undo or correct, when it expires and how we watch results after sending.
Provider and customer signals signalsWatch accepted, delivered, bounced, delayed, filtered, failed, spam complaint, unsubscribe, SMS opt-out, click, reply and sale signals, noting what each platform can and can't report.
Clear definitions definitionsKeep visible where each number comes from, its time stamp, which customers it covers, what it is divided by, how long after a message a sale is credited, what is left out, later corrections and adjustments from total sales to what you really keep.
Problems and recovery problemsRate how serious a problem is, find the people and messages affected, stop further sends, keep the evidence, fix the data or content, tell the owners, confirm the fix worked and record how to prevent it next time.
Check 07 | Testing and rules

Review of testing, true extra sales, prediction features and AI rules

We only use fine-tuning when the program can explain the decision, the risk and the evidence behind it.

A winning subject line, a platform revenue report or a tool's recommendation doesn't on its own prove you made extra profit you wouldn't have made anyway. We review how test groups are randomly picked, whether tests mix with each other, safety limits, what prediction tools need and a way to switch things back.

List of tests testsRank test ideas by the customer and business decision they inform, what we don't yet know, how many people we can reach, the size of effect that would matter, the cost to produce, how they affect other tests and the risk of putting them in place.
Test plan planBefore launch, define who or what is being tested, the group, the versions, how people are split, the main measure, safety limits, exposure, the smallest effect worth acting on, when to stop, how tests could mix and what we will decide.
Hold-back groups holdoutHold back a message, flow, channel or all messages from a small group only when you accept the audience, the length of time, the sales you may give up, which essential messages are never held back and how to read the result.
Quality of revenue costsCheck the sales the platform credits against cancellations, returns, discounts, tax, shipping, cost, profit margin, support effort and repeat buying, where the data you allow us to use makes this possible.
Checking prediction features predictionBefore switching on prediction tools (like "likely to buy soon"), check your plan and data qualify, which customers the tool learned from, what it is really predicting, delays, missing predictions, sensitive fields or stand-ins for them, changes over time and whether it actually helps.
AI and automatic adjustment limits AILimit AI help with customer groups, copy, quality checks and choosing the next channel to approved inputs, policy limits, fixed rule-based checks, human approval, a record of where content came from, monitoring and ways to undo, withdraw or switch it off.
What changes

From competing calendars to one joined-up program built around each customer.

Before

Email campaigns, SMS sends and automated flows each follow their own rules, so the same customer can get messages that contradict each other, even after their permission or situation has changed.

  • Every message approves itselfA campaign or automated flow can pass its own checks while the same person is in another series, inside quiet hours or no longer a good fit for the offer.
  • Only the perfect customer gets testedDuplicate records, late data, missing products, expired discounts, permission conflicts and slow opt-out updates never show up in the preview.
  • The platform dashboard becomes the business caseThe platform credits sales that happen within a set time after a message, without proving the message changed sales, profit, repeat buying or the customer's experience.
Changes

Softscotch maps customer stages and the separate permission for each channel, sorts out campaigns and flows that compete, tests who can really be messaged and sends the first priorities with a clear way to pause.

  • The channel follows the purpose and the customer's stageEmail, SMS, waiting or sending nothing is chosen based on permission, urgency, recent contact, preferences, expiry, cost and value to the customer.
  • Things that could go wrong are tested before sendingUnclear customer records, duplicate actions, missing data, out-of-date products, permission conflicts and audience changes are tested before anything is approved.
  • Reports separate what happened from what is estimatedDelivery, customer responses, sales credited by the platform, good-quality value, test results and limits are shown as different measures.
After

Your business has one joined-up program, with clear permission, message load, customer-stage decisions, a record of every send, good-quality results and named owners who can keep it going or stop it.

  • Live automated series have change controlsHow people enter, wait, re-enter, cancel, pause, get moved to a new version or get rolled back stays visible after launch.
  • Improvements have safety limitsTests and prediction tools keep a clear decision, checks that customers aren't harmed, a review of overlap, an agreed level of uncertainty and a named owner.
  • You can carry on with us or without usAccounts, definitions, briefs, audiences, journeys, test cases, sends, reports, step-by-step guides and rights are handed over to you, so you never depend on an agency forever.
How your business works

Email and SMS strategy changes with each customer's stage, what's at stake in each message and the data you really have.

Clear ownership

We run the agreed program. Your team keeps the final say over customers, data and risk.

These lists separate customer messaging from deep inbox-delivery work, wider automation, building new systems, platform and phone carrier decisions and the legal, privacy and business approvals that stay with you.

We do the work

The agreed email and SMS customer program, and the records that show how it runs.

  • Review campaigns, automated flows, channels, audiences, permission, content, platforms, data, delivery, reporting, costs, problems, owners and what the service covers
  • Map the customer IDs we can rely on, rules for tracked actions and customer groups, permission and opt-out data, live filters, exclusions, overlap and what happens when data fails
  • Design customer stages, the role of each campaign and flow, what starts each series, branches, waits, exits, re-entry, purpose, priority, local time, message load and how clashes are settled
  • Plan the calendar, briefs, copy, offers, personalized content, templates, audiences, platform builds, test data, approvals and send packages named in your proposal
  • Check the current audience, permission, data, content, links, landing pages, tracking, send settings and provider response, and keep records of every pause, fix and recovery
  • Run approved tests, hold-back groups and checks against your sales data where they make sense, publish definitions and limits, and hand over platform assets, step-by-step guides and ownership
We coordinate

Outside work that affects the program but needs a different person in charge.

  • Coordinate our Email Deliverability Services for your sending setup, SPF, DKIM and DMARC (email security records that prove you are the real sender), sender reputation, infrastructure, warm-up (slowly raising send volume) and deep repair
  • Coordinate our Marketing Automation Services for workflows across many systems, CRM actions, lead routing, lead scoring, queues, APIs (secure links between software systems) and automation outside messaging
  • Coordinate email designers and creative specialists for reusable email code (HTML), tricky display issues, photography, illustration, animation and wider brand work
  • Coordinate your online store, product, CRM and data engineering owners for customer records, tracked actions, product catalogs, stock, prices, offers, account status, APIs and fixes in live systems
  • Coordinate accessibility, privacy, security and legal specialists for approved goals, interpretations, regulated content, sensitive data and formal sign-off
  • Coordinate platform and phone carrier support for account approval, plans, sender registration, sending speed limits, phone number type, which countries are supported, problems and billing
You review and sign off

Your organization keeps the final say over customers, data, content, risk and money.

  • Approve customer stages, what each channel is for, what customers get in return for signing up, offers, urgency, priorities, essential exceptions and anything you won't do
  • Approve which countries or states apply, sign-up wording, proof of permission, how preferences and withdrawals work, quiet hours, regulated content and the risk you accept
  • Own customer IDs, rules for joining records, what tracked actions mean, customer and product data, permissions, corrections, how long data is kept and access to live systems
  • Approve copy, claims, prices, promotions, deadlines, stock, legal wording, landing pages, translations and whether your team can handle the response before anything is sent
  • Name the people who can approve, delay, pause, correct, notify, restore and retire campaigns, flows, sender names, data sources and platform access
  • Approve how sales are credited, the sales you may give up with hold-back tests, value and margin figures, success targets, budgets, contract terms and choices for the next round
How it fits together

Joined-up customer messaging connects records, permission, decisions and proof.

The system links customer stages, tracked actions, permission, customer groups, message load, journeys, content, sending, delivery, testing, money, problems and handover.

The connected growth engine

Email Campaign Management Services

Runs an email-only set of campaigns, with briefs, audiences, copy, offers, a production calendar, sending and lessons learned, when you don't need email and SMS run together.

SMS Campaigns and Broadcasts

Runs a set SMS-only campaign or broadcast program, while this service runs joined-up email and SMS journeys, calendars and decisions about how much contact each person gets.

Drip Sequence Services

Builds one set automated series of messages, with detailed rules for what starts it, waits, branches, exits and handoffs, when you need a single journey rather than the wider program.

Email Deliverability Services

Handles your sender identity, email security records, how inbox providers respond, sender reputation, infrastructure, warm-up and repair beyond the routine delivery checks in this service.

Marketing Automation and platform services

Handles wider workflows across many systems, or setting up a named platform, when the automation design or the platform itself is what you mainly need.

Your legal, data and business owners

Own permission, correct customer and product details, claims, customer policy, legal requirements, accepting risk, value figures, budgets and the final say on what gets sent.

One connected scope. Email and SMS Marketing Services is coordinated with the strategy, creative, experience, data and reporting it depends on, so responsibilities and handoffs stay visible in one written plan.

What to expect

Your email and SMS timeline, and the full growth plan.

Email and SMS Marketing sets the rules for data and permission first. Then we aim to send one priority campaign or journey in the first two weeks, once system connections and content are ready. Learning and adding more journeys follow from live results. This program sits inside the six-month Softscotch growth plan below.

Email and SMS Marketing, from groundwork to first customer journeys

Days 1–3

Program review and priority brief

List your channels, accounts, sender names, campaigns, flows, sign-up forms, audiences, templates, how work gets made, reports, costs, problems and owners, then choose the first priority that will make a real difference.

KPI Priority brief
Days 3–5

Channel permission and audience plan

Trace how email and SMS permission is collected, its purpose, proof, notice version, preferences, unsubscribes, STOP and HELP replies, opt-outs, asking again, how changes reach every system and who owns the legal side.

KPI Approved permission plan
Week 1

Campaign and flow roadmap

Plan the first campaign and automated flow priorities, briefs, what each channel is for, copy, offers, claims, personalized fields, products, languages, templates, links and approvals.

KPI Approved production roadmap
Weeks 1–2

Carefully controlled first sends

Send the approved work, check provider and customer signals, compare the final audiences who were allowed to receive it, watch alerts, contain any errors and test that pausing, fixing and recovering all work.

KPI Checked send record
Weeks 2–4

Customer and value report

Run only tests or hold-back groups that can give a usable answer, write down how the platform credits sales, and compare channel activity with good-quality sales and the value you really keep, where the data you allow us to use makes this possible.

KPI Program decision report
Months 2–3

Handover to you and next priorities

Hand over accounts, calendars, briefs, audiences, journeys, test cases, versions, dashboards, definitions, problem logs, step-by-step guides, training, service levels and the next priorities.

Our full growth plan (all services together), month by month

Month 1

Foundation and review

We review your whole website, where you rank and your competitors, agree how the site should be organized, and set up hosting, analytics (visitor tracking) and your GoHighLevel lead system. The first agreed pages start going live.

KPI pages live
Month 2

Build and launch

The site is built or rebuilt. Main, service and industry pages go live with on-page SEO, website labels and technical fixes. Your Google Business Profile is improved and lead follow-up automations are switched on.

KPI pages in Google
Month 3

Early rankings, paid ads start

More pages built from templates (programmatic pages) start going live, paid ads and email follow-ups are switched on for early leads, and Google adds your pages to its results as the first rankings usually appear.

KPI search terms ranking
Month 4

Momentum builds

Rankings often start climbing, visits from free search begin to rise, ad spending is tuned to the return it brings (ROAS, return on ad spend), and groups of related articles and links from other sites build your reputation with Google.

KPI visits from search
Month 5

Results start to show

Main search terms can move closer to page one, the first leads from free search often arrive, AI tools may begin to mention you, and testing improvements to your pages (CRO, conversion rate optimization) helps more visitors get in touch.

KPI leads from search
Month 6

Growth builds on itself

Pages that are working are protected and improved, template pages bring in visitors searching for very specific terms, and SEO, ads, email and automation work together to bring steadier leads and sales. Timing varies by market and competition, and no ranking is guaranteed.

KPI leads and sales
How we compare

Advanced customer messaging explains who should get what, on which channel, when and why.

The difference shows up in clear rules for customer records and tracked actions, separate permission for each channel, checks just before sending, one overall limit on contact, testing of personalized details, send records, hold-back groups, checking what sales are really worth and automation you can undo.

The risk of using a different agency for everything
  • Sells a fixed number of emails and texts without defining customer stages or what each channel is for
  • Assumes your email and phone records already add up to one accurate customer record
  • Treats joining an automated series as permission to send every later step, without checking again
  • Treats each platform's separate email and SMS frequency limits as one overall limit on contact
  • Builds customer groups from whatever data fields exist, without checking the source, permission, update delays, overlap or what happens if a group is empty
  • Previews one perfect customer while missing products, expired offers and translation problems stay hidden
  • Approves a campaign from a screenshot, without checking the final audience, opt-outs, links and send record
  • Calls an A/B test winner (the better of two versions) a strategy, without a decision agreed in advance, safety limits or a check that tests didn't mix
  • Reports all revenue the platform credits as revenue the program created, without looking at returns or profit
  • Adds AI-made customer groups or copy without approved sources, checks, a record of where it came from or a way to stop it
vs
Softscotch
  • Starts from customer and sales stages, the purpose of each message and the job of each channel
  • Maps trusted customer IDs, duplicates, what tracked actions mean, resent data, old data loads and unclear cases before any journey relies on them
  • Keeps joining a series separate from permission, customer stage and eligibility, which are checked again before every message
  • Settles clashes between campaigns and flows with one overall rule set for purpose, priority, message load, local time and expiry
  • Saves versions of what each customer group means, its exact rules, data fields, exclusions, update delay, overlap, how many people it reaches and its owner
  • Tests missing, out-of-date, badly formatted, very long and too-big data, plus language, product, offer and landing page problems
  • Connects the final audience changes, opt-outs, message, links, tracking, schedule, provider response and who owns any problem
  • Uses written test and hold-back plans with random splitting, a main measure, safety limits, checks for mixing, stop rules and decisions
  • Keeps the platform's sales-credit settings visible and checks good-quality value, cost, returns, margin and true extra sales where the data allows
  • Keeps AI and automatic decisions within approved data, policies, fixed rule-based checks, human authority, monitoring and an off switch

Ethical, transparent, always on

One accountable team, strictly white-hat (only methods search engines and platforms allow), no shortcuts and no surprises. Support whenever you need it.

One plan, full-stack access

One Softscotch plan gives you access to the full service stack, coordinated around your priorities.

You do not need a separate agency or retainer for every channel. Your plan can draw from search, paid media, web, ecommerce, outreach, automation, lead generation, messaging, content, creative and operations. The agreed scope sets what is active, in what order and at what capacity.

Pricing approach

One price for everything, not a stack of separate retainers.

You get one price for your whole marketing, not a separate retainer for every service. SEO, paid ads, your website, automations, cold email and newsletters, we run all of it as a single scope, so you get the most result for what you pay. Agencies sell each of these on its own, so the invoice climbs whether or not that line drives a single lead.

Bought separately, service by service

A different agency or retainer for each service. The bill stacks up fast, and keeps climbing whether or not each one moves a single lead.

All of it, one scope

We run your whole marketing as one engagement, so you get the most result for what you pay, not a pile of disconnected invoices.

Questions, answered

Email and SMS marketing agency FAQs: what to know before you hire.

These answers cover what's included, related services, platforms, campaigns, automated flows, permission, growing your list, SMS rules, message load, personalization, inbox delivery, testing, how sales are credited, AI, ownership, timing, pricing and the limits on results.

Filter
What is included in Email and SMS Marketing Services?

The work can include a review of your program and platforms, a strategy for customer journeys and channels, a check of customer records and tracked actions, getting permission and preferences ready, customer groups, rules for how often people hear from you across email and SMS, a campaign calendar, the design of automated flows, writing and creative work, platform builds, quality checks on personalized content, sending, tests, reporting, regular review meetings with your team, step-by-step guides and handover. Your proposal names the channels, platforms, number of messages, journeys, markets, outside dependencies and who runs things afterwards.

How is this different from Email Campaign Management Services?

Email Campaign Management Services runs an email-only set of campaigns, including briefs, audiences, copy, offers, the calendar, production, sending and lessons learned. This service runs one joined-up program across email and SMS, including automated customer journeys, what each channel is for, the different permission rules for each channel, how much contact each person gets across both, clashing messages and combined measurement. Your proposal can include both without paying twice for the same work.

How is this different from Marketing Automation Services?

Marketing Automation Services handles the wider process around your messages, such as CRM (customer database) actions, lead scoring, lead routing, queues, APIs (secure links between software systems) and workflows that connect many systems. Email and SMS Marketing Services handles the customer-facing side: journey strategy, campaigns, automated flows, content, audience decisions, coordinating the two channels and running the sends. A complex program may need both, but every piece of work has one clear owner.

Which platforms can you manage for email and SMS?

We can work in tools such as Klaviyo, Braze, Customer.io, HubSpot, Attentive, Twilio, Mailchimp and other suitable email service providers (ESPs) or messaging tools. Features, plans, supported countries, sender types, sending speed limits, APIs, permission settings and reporting all change over time. We check your current account and the official documentation before promising that a feature will work. Naming a platform here does not mean we are its official partner or certified by it.

Do you manage both campaigns and automated flows?

Yes, when both are part of the agreed work. Campaigns are one-off sends to an approved audience at a planned time. Flows are automated series that keep running, with something that starts them, live filters, waits, branches, exits, re-entry rules and the risk that comes with changing versions. We plan them together so a scheduled broadcast doesn't accidentally clash with welcome, abandoned cart, after-purchase, reorder, service or win-back messages.

Does email consent allow us to send SMS?

No. Permission for email and permission for SMS are separate. We map the channel, purpose, sender, source, date and time, notice version, proof, opt-outs and whether you need to ask again, and we check that each person can still be messaged before anything is sent. Legal requirements differ by country, state and type of message. Your own legal and privacy advisers approve the sign-up wording, how the rules are read and the risk you accept; Softscotch does not give legal advice.

Do you grow the email and SMS lists?

We can improve approved sign-up forms, preference pages, landing pages, sign-ups at checkout and journeys that invite email subscribers to join SMS, when these are included. Stand-alone SMS list-building programs, paid advertising for sign-ups, giveaways, buying leads and custom form building can be separate services. We never buy scraped lists, assume SMS permission because someone gave email permission, or treat a bigger list as better without good permission, real reach and value to customers.

Do you handle SMS registration, quiet hours, STOP and HELP responses?

We can review and set up the sender registration details your platform supports, automatic replies to keywords like STOP and HELP, local-time and quiet-hour settings, permission records, opt-outs and pre-send checks in the agreed platform. You provide true details about your business and how you will use texting, and you keep the legal sign-off. Phone carrier, provider, country and state rules change, and platform settings can't certify that you are fully compliant or guarantee that messages are delivered.

How do you prevent email and SMS from over-messaging the same person?

We create one overall rule set that sits above each channel's own frequency limits. It looks at the purpose of the message, its priority for the customer and the business, permission, preferred channel, recent contact, active journeys, local time, urgency, expiry, cost, how tired people are of hearing from you and essential exceptions. The result can be to send, wait, switch channel, hold the message back or ask a person to review it, and the reason stays on record.

Can you personalize messages with customer and product data?

Yes, when the data is current, you are allowed to use it and it is set up correctly for the message. We define the source, type, freshness, who qualifies, expiry and the backup text for customer, action, product, price, currency, stock, offer, image, link and language details. Tests cover missing, badly formatted, very long, out-of-date, zero and too-big values. If there is no approved backup, the safe choice can be to leave the detail out or stop the message.

Is deliverability (getting messages into the inbox) included?

Routine checks before and after sending can include choosing the sender, opt-outs, bounces, spam complaints, unsubscribes, how providers respond and how often you send. A deep review of your sending setup, SPF, DKIM and DMARC (email security records that prove you are the real sender), domain alignment, sender reputation, infrastructure, warm-up (slowly raising send volume) and repair belong to Email Deliverability Services, unless both are clearly combined. Neither service can guarantee that emails land in the inbox or that phone carriers deliver every text.

Do you run A/B tests and hold-back tests on customer journeys?

Yes, when the audience size, length of time, risk to customers and platform support mean the result can be trusted. We set the test idea in advance, how people are randomly split, the group, the versions, the main measure and safety measures, the smallest effect worth acting on, exposure, checks for tests mixing, when to stop and what we will decide. Holdouts (holding messages back from a small group) can show the true extra effect, but they also hold back useful messages, so essential messages and the sales you may give up are agreed openly.

How do you measure revenue from email and SMS?

We keep a record of how the platform credits sales: the time windows, which clicks or opens count, exclusions for bots or privacy features, where each number comes from and when figures are later corrected. Where the data you allow us to use makes it possible, we compare total order value with cancellations, returns, discounts, tax, shipping, cost, margin, messaging costs and repeat buying. Revenue credited by the platform is reported as an estimate, not automatic proof that the program caused the sale.

Can AI choose segments, write messages or select the channel?

AI can help, within limits, with customer group rules, copy versions, sorting messages, quality checks or suggesting a channel. We use approved inputs, rules about claims that are not allowed, privacy limits, fixed rule-based checks, human approval, a record of where content came from, monitoring and ways to undo or switch it off. Prediction and automatic adjustment features also need enough realistic data and a safe way to test them. We don't suggest that AI will send live messages on its own or that it guarantees better results.

Who owns the platform accounts, data and finished program?

You keep control of accounts, domains, sender registrations, phone numbers, customer and product data, source systems and the approved work. Your proposal lists any third-party licenses, access roles, storage locations, templates, customer groups, flows, reports and limits on exporting. We hand over up-to-date documents and access. We don't claim to have our own Softscotch platform, and we don't make you depend on us forever.

How long does the first email and SMS marketing cycle take?

When platform access, campaign and flow records, proof of channel permission, customer-stage data, current content and decision makers are ready, the first useful delivery is a program review and priority brief within three business days. The channel permission and audience plan usually follows by day five, with an approved roadmap in week one and carefully controlled first sends in weeks one to two. Sender registration, fixing customer records, new tracked actions, several markets, regulated reviews and a large amount of content make it take longer.

How are Email and SMS Marketing Services priced?

Pricing depends on the platforms, markets, sender names, audience size, number of campaigns and flows, how much content is produced, copy and creative, personalized and product details, customer record and tracked action work, permission controls, connections to other systems, quality checks, tests, reporting, how much review is needed and the service levels you want. Platform, message, phone number, email display testing, data, translation, legal, security and specialist costs are kept separate unless your proposal clearly includes them.

Can you guarantee revenue, retention or lifetime-value improvement?

No. Customer demand, product quality, pricing, stock, market conditions, platform and phone carrier decisions, data, permission, your website and other channels all affect results. We can be accountable for the agreed research, building, quality checks, sending, testing and reporting. We show what changed, how each number is defined, what the evidence supports and where there is still uncertainty.
