Sales Funnel Design and Build

Build one connected path from your offer to a lead your team has accepted.

We'll reply with a written proposal: the work, what we need from you and an estimated timeline.

The hidden problems

Where a polished funnel still loses valuable leads

Funnels often fail after the landing page: the offer is vague, proof comes too late, forms create duplicate records, errors wipe what people typed, nobody confirms the lead was received and the reporting stops at form sign-ups.

  • The promise changes between the ad and the page

The ad or source message, page headline, proof, what the form asks for and the follow-up all describe different value, audiences or terms.

  • Proof doesn't answer the buyer's next doubt

Testimonials and features appear without backing for the claims, without context or in an order that has nothing to do with what worries the buyer.

  • The form creates a record, not a real lead

A "thank you" message in the browser hides invalid fields, duplicates, spam, failed saves to the CRM or missing consent details.

  • Errors make people start again

Form checks wipe what people typed, move the cursor to the wrong place or give vague messages that block people using a keyboard or assistive technology such as screen readers.

  • Routing stops at a name in the owner field

No one checks that the lead was assigned, the alert was sent, someone was available, the agreed response time was met, the lead was passed on when needed or failures were fixed.

  • Reporting stops at form sign-ups

Visits and form submissions are improved without tracking accepted leads, contact, qualification, bookings, pipeline, revenue or refunds.

Exactly what's included

One connected path from your offer to a confirmed result

A sales funnel is the path a potential customer follows from first seeing your offer to becoming a lead or a sale. We turn your approved offer into one connected path that a prospect can understand and your team can act on. We line up what the ad or source promised, the page, the proof, the form or booking step, the record in your CRM (customer database), how leads are qualified and assigned, the follow-up and the results reporting, so a sent form never disappears in a hidden handover.

Eight areas of work connect your offer and path plan, proof, writing the page and messages, building pages and forms, lead records, routing, follow-up, response and sales measurement.

Funnel, audience and offer check

We define what people wanted when they came from each source, your audience, their problem, your promise, proof, terms, the action you want them to take, later stages and where related channels begin and end.

Offer and path plan

We map the shortest believable path from the source promise through proof, answers to doubts, the action, confirmation and the next step.

Landing page and form experience

We build the approved page or funnel steps with a clear layout on every screen size, accessible use, fast loading and a message that matches the source.

Lead records and routing rules

We define form checks, how each lead is uniquely identified, duplicates, consent, source IDs, how the CRM record is created, who owns it, alerts, agreed response times and how failures are fixed.

Step-by-step questions and follow-up

We ask only for details that help a decision (progressive profiling: collecting more information over time), keep the source and connect approved email, SMS, call or booking steps without adding hidden extra steps.

Spam, errors and recovery

We add server-side checks and spam controls in layers, while keeping what people typed, giving clear feedback, making sure repeated clicks don't repeat actions and providing queues and manual fixes.

Response speed and revenue report

We measure where leads drop out, response time, contact, qualification, bookings, pipeline and confirmed revenue, while being clear about the limits of giving credit (attribution) and proving real extra results.

Writing the page and follow-up messages

We write the headline, page sections, proof, form wording, confirmation message and approved follow-up emails or texts. Everything uses plain language that matches the source promise and your brand voice.

Why Softscotch

Built around the buyer and the team that responds

Every step keeps its promise, what it collects, how the lead moves on, who owns it, proof of success and failure, the agreed response time and how later stages are defined.

The source promise stays intact

The campaign message, page, proof, form, confirmation and follow-up share the same approved audience, value and terms.

Proof follows the buyer's doubts

Claims, demos, comparisons and guarantees that remove risk (such as refunds) appear where they help with the next decision.

A successful submission is checked

The browser, the server, the CRM, the routing, the alert and the confirmation must all reach an accepted state.

Errors don't lose people's progress

Labels, instructions, cursor focus, typed values and ways to fix mistakes are tested with typical assistive technology.

Owners and response times are visible

Assignment, alerts, responses, passing leads on and stuck leads all keep timestamps and agreed response times.

Revenue reports show their gaps

The report shows drop-off, delays, duplicates, qualification, credit and results we couldn't link, instead of one conversion total.

Funnel decisions

Everything needed to make the path work from start to finish

The funnel plan covers what your audience wants, an honest offer, the order of proof, accessible forms, lead records, CRM routing, follow-up, spam controls, response time, tests and the business results you agree count.

Basics and limits
Is a sales funnel right and who owns whatConfirm the offer has a source of traffic, and name the owners for the page, CRM, response, revenue and launches.
Defining the audience, offer and business resultDefine who the path serves, what is promised and which confirmed result matters to your business.
What each traffic source promisesRecord what each traffic source promises, so the landing page can carry that promise on accurately.
Funnel stages and what counts as a resultName the stages from visit to qualified result, including duplicate, rejected and stuck leads.
Rules for measurement, credit and uncertaintyAgree what each tracked action means, credit settings, how business data is linked and the uncertainty the report must show.
Who launches, responds and handles problemsName who launches, answers leads, fixes failures and pauses the path when the team runs out of capacity or trust is at risk.
Information and proof
Lead records and routing rulesDefine how a form submission becomes one contactable CRM record with a named owner who has accepted it.
Asking for details step by stepAsk only what the current step needs, and leave fields your business can collect later until later.
Proof that answers each doubtPlace relevant proof and conditions just before the doubt or decision they need to settle.
Spam and fake lead controlsCut down automated abuse and invalid records without blocking real people or hiding real leads wrongly marked as spam.
Structure and definitions
Easy error fixing for all usersKeep typed values, move focus to the problem and explain how to fix each field that failed.
Fast response and its costsMatch response time targets to your staffing, lead value, opening hours and ability to pass leads on.
Matching the source and ad message to the pageCarry the same audience, claim, offer and next step from the source into the page.
Claims, offer terms and end dates listTrack proof, price, who qualifies, important terms and end dates for every promise people can see.
Making the changes
Page purpose and content orderOrder the problem, value, proof, terms and action around the buyer's decision.
Form fields, checks and permissionJustify each field, check it in an accessible way and show the approved notice and permission choice.
One ID for each form submissionGive each attempt a fixed ID so retries can't trigger the same follow-on actions twice.
Removing CRM duplicates and confirming recordsMerge or flag duplicates while keeping the source, the latest details and the reason the record was accepted.
Safety checks
Assigning leads by area, capacity and ownerAssign valid leads by market, product, availability and the team's live capacity, with a backup owner.
Alerts, responses and passing leads onConfirm alerts are delivered, seen and acted on, and pass overdue leads to someone else, instead of assuming an alert led to action.
Booking and payment statusTell apart bookings or payments that were started, confirmed, failed, canceled, refunded or fixed by hand.
Full test from ad link to CRMTest the full path from the campaign link through CRM ownership to the customer's confirmation message.
Testing and improving
Finding why forms aren't finishedTell apart unnecessary fields, confusing wording, form check bugs, device problems and visitors who just weren't that interested.
Response time and lead quality groupsCompare contact and qualification rates by how fast leads were answered, without treating a link between them as proof of cause.
Improving sources and offers by real valuePrioritize changes by the real value of good leads after the form, not by form completion rate alone.
Fair tests and safety limitsShow each visitor the same version every time, and set safety limits for lead quality, errors and how many leads sales can handle.
Advanced work
Protecting system actions from doublesCheck that messages from outside tools are genuine, and stop CRM, messaging, booking and payment actions from running twice.
Recovering failed and stuck submissionsShow work that is stuck or failed, and retry it safely without losing or repeating the lead.
Hidden source data and collecting only what's neededRecord where hidden form values (such as the ad that sent the visitor) came from, and collect no more than the approved purpose needs.
Carrying consent and opt-outs forwardCarry current email, SMS, call and advertising permissions into every follow-up action.
Limits of tracking across devices and visitsState clearly where a journey can't be reliably linked across different browsers, devices or shared IDs.
Rules, upkeep and growth
Watching for old and stuck leadsFlag unassigned, uncontacted and stuck records before their value fades without anyone noticing.
CRM fixes and returning leadsHandle corrected contact details, recycled leads and people who come back later without wiping their earlier history.
Separating credit, real extra results and overlapSeparate the credit a channel is given from the extra results it really caused, and from exposure shared with other channels.
Margin, refunds and true valueAdjust revenue figures for refunds, cancellations, delivery costs and your agreed definition of profit margin.
Log of changes, bugs and upkeepRecord important funnel changes, unfixed bugs, owners and the next review dates.
Research and implementation tools

Choose tools that fit the path and the team running it

The platforms we name are current examples of what we use. Before relying on any of them, we check your access, plan, region and how each feature works today.

Look under the hood

Seven checks before the funnel takes real leads

These checks settle the offer, the buyer's path, how forms behave, how the CRM accepts leads, who owns follow-up, how failures are fixed and how results are defined, all before launch.

Check 01 · Funnel, audience and offer check

Funnel, audience and offer check: who it's for and what you promise

We define what people want from each source, your audience, their problem, your promise, proof, terms, the action you want, later stages and where related channels begin and end.

Each check follows sample people through normal, invalid, duplicate, inaccessible, failed and recovered paths, with time-stamped evidence.

Proof proveConfirm the target audience, traffic assumptions, offer, approved claims, proof, result, team capacity and responsible owners.
Rules defineDefine the buyer's problem, the source promise, important terms, the action you want and the business result you accept.
Build buildMap the current path from traffic source through page, form, CRM and response to the business result.
What can go wrong riskFlag unsupported claims, traffic that doesn't match, weak proof, not enough sales capacity and no clear definition of a qualified lead.
Final check sign-offReview sample prospects and paths with your marketing, sales, operations and approval owners.
Next step decideApprove the funnel plan, or write down which offer, proof or capacity gap has to be fixed first.
Check 02 · Offer and path plan

Offer and path plan: the shortest believable route

We map the shortest believable path from the source promise through proof, answers to doubts, the action, confirmation and the next step.

Each check follows sample people through normal, invalid, duplicate, inaccessible, failed and recovered paths, with time-stamped evidence.

Proof proveList source messages, offer versions, proof, conditions, pages, forms, bookings and the owners of later steps.
Rules defineChoose the shortest believable path and define each stage, decision, exit and owner.
Build buildCarry the audience, offer terms and source data into the next relevant page or action.
What can go wrong riskGive safe exits for buyers who don't qualify, are undecided, can't get a slot, are duplicates or need something you don't offer.
Final check sign-offWalk mobile and desktop journeys from each named source to the confirmation and the assigned follow-up.
Next step decideApprove the path, the content it depends on and any separate build work before building starts.
Check 03 · Landing page and form experience

Landing page and form experience that works for everyone

We build the approved page or funnel steps with a clear layout on every screen size, accessible use, fast loading and a message that matches the source.

Each check follows sample people through normal, invalid, duplicate, inaccessible, failed and recovered paths, with time-stamped evidence.

Proof proveReview page layout, proof, fields, notices, how it works on each device, errors, success messages and page speed.
Rules defineSpell out the message order, what the form is for, required details, the permission choice and what happens when it's sent.
Build buildBuild the page for every screen size and keep what people typed when a form check or connection error happens.
What can go wrong riskClearly handle invalid entries, lost connections, expired offers, unavailable booking slots and the server failing to accept the form.
Final check sign-offTest keyboard use, focus, zoom, screen readers, screen widths, slow connections and real acceptance into the CRM.
Next step decideFix any bugs that block sign-ups, then approve the final claims, form and confirmation experience.
Check 04 · Lead records and routing rules

Lead records and routing rules: every lead reaches the right person

We define form checks, how each lead is uniquely identified, duplicates, consent, source IDs, how the CRM record is created, who owns it, alerts, agreed response times and how failures are fixed.

Each check follows sample people through normal, invalid, duplicate, inaccessible, failed and recovered paths, with time-stamped evidence.

Proof proveTrace submission IDs, contact details, hidden source data, CRM matches, area rules, team capacity and who owns each lead today.
Rules defineDefine rules for unique records, handling duplicates, accepted statuses, assignment, confirming receipt and when to pass leads on.
Build buildCreate or update the right CRM record once, and confirm that a suitable owner has accepted it.
What can go wrong riskQueue unclear identities, wrong areas, missing owners and outside tool failures without losing the submission.
Final check sign-offTest paths for new, existing, duplicate, shared-email, out-of-hours and team-at-capacity leads.
Next step decideSet overdue alerts and name who fixes records, passes leads on and changes routing rules.
Check 05 · Step-by-step questions and follow-up

Step-by-step questions and follow-up that respect permission

We ask only for details that help a decision, keep the source and connect approved email, SMS, call or booking steps without adding hidden extra steps.

Each check follows sample people through normal, invalid, duplicate, inaccessible, failed and recovered paths, with time-stamped evidence.

Proof proveList what each field is for, what your CRM already knows, permissions for each channel, opt-outs, qualifying questions and current follow-up.
Rules defineDecide what to ask now, what can wait until later and which approved channel may handle the next step.
Build buildStore only approved details, and pass the current permission, source and intent into follow-up.
What can go wrong riskBlock contact without permission, avoid overwriting better CRM data and flag qualifying answers that contradict each other.
Final check sign-offTest first-time, returning, already known, opted-out and half-finished prospects across each named channel.
Next step decideApprove fewer fields and who owns follow-up, without assuming automation replaces your sales team's judgment.
Check 06 · Spam, errors and recovery

Spam, errors and recovery when things go wrong

We add server-side checks and spam controls in layers, while keeping what people typed, giving clear feedback, making sure repeated clicks don't repeat actions and providing queues and manual fixes.

Each check follows sample people through normal, invalid, duplicate, inaccessible, failed and recovered paths, with time-stamped evidence.

Proof proveReview spam patterns, duplicate attempts, form check failures, outside tool timeouts, stuck tasks and past manual fixes.
Rules defineSet layered spam checks, fixed IDs for each action, retry rules, customer messages and who owns recovery.
Build buildKeep the user's confirmation message separate from confirmed server, CRM, alert, booking and payment results.
What can go wrong riskTry out bots, repeated clicks, slow connections, badly filled fields, CRM outages and follow-on steps that only half work.
Final check sign-offCheck that real people can recover, while failed follow-on actions stay visible and can be safely run again.
Next step decideAgree alert limits, manual queues and who pauses the path if many leads are lost or duplicated.
Check 07 · Response speed and revenue report

Response speed and revenue: what really happened to your leads

We measure where leads drop out, response time, contact, qualification, bookings, pipeline and confirmed revenue, while being clear about the limits of credit and of proving real extra results.

Each check follows sample people through normal, invalid, duplicate, inaccessible, failed and recovered paths, with time-stamped evidence.

Proof proveTake a fixed snapshot of visits, attempts, accepted submissions, CRM records, assignment, contact, qualification, bookings, sales, refunds and source settings.
Rules defineDefine the total each rate is based on, response time bands, accepted lead, sales opportunity, sale and how true value is calculated.
Build buildLink path stages to CRM results, while keeping unmatched, duplicate, rejected and still-open records in view.
What can go wrong riskShow overlapping credit, patchy CRM use, slow-arriving revenue, small samples and changes in sales capacity as limits.
Final check sign-offCheck a sample from the first click through to the final business result with your marketing and sales owners.
Next step decideChoose the next offer, page, routing or follow-up improvement, without promising traffic or revenue.

How we compare

A connected path to sales, not just a landing page

The difference is a tested handover from what the ad promised to an accepted lead with a named person responding, not a polished page followed by work nobody can see.

The risk of using a different agency for everything
  • Starts with page sections
  • Loosely copies the ad headline
  • Puts proof near the bottom of the page
  • Tracks the button click
  • Trusts form checks in the browser only
  • Creates duplicate CRM records
  • Assigns every lead to a default owner
  • Sends follow-up on every submission
  • Reports form sign-ups as success
  • Says credited revenue was caused by the funnel
vs
Softscotch
  • Starts with the result and the stages to reach it
  • Keeps the source message and page matched
  • Orders proof by the buyer's doubts
  • Tracks results the server has accepted
  • Tests accessible error fixing
  • Uses fixed IDs and duplicate rules
  • Checks routing and response times
  • Carries consent and opt-outs forward
  • Reports drop-off from lead to value
  • Separates credit from real extra results

Ethical, transparent, always on

One accountable team, strictly white-hat (only methods search engines and platforms allow), no shortcuts and no surprises. Support whenever you need it.

One plan, full-stack access

One Softscotch plan gives you access to the full service stack, coordinated around your priorities.

You do not need a separate agency or retainer for every channel. Your plan can draw from search, paid media, web, ecommerce, outreach, automation, lead generation, messaging, content, creative and operations. The agreed scope sets what is active, in what order and at what capacity.

Pricing approach

One price for everything, not a stack of separate retainers.

You get one price for your whole marketing, not a separate retainer for every service. SEO, paid ads, your website, automations, cold email and newsletters, we run all of it as a single scope, so you get the most result for what you pay. Agencies sell each of these on its own, so the invoice climbs whether or not that line drives a single lead.

Bought separately, service by service

A different agency or retainer for each service. The bill stacks up fast, and keeps climbing whether or not each one moves a single lead.

All of it, one scope

We run your whole marketing as one engagement, so you get the most result for what you pay, not a pile of disconnected invoices.

What shapes your quote
Site sizePage count, templates and how much of the site actually needs work.
Market competitionHow hard the terms you want to win are, and who you are up against.
Content needsHow much new writing, rewriting and production the plan calls for.
Build complexityYour website platform (CMS, the system you edit your site in), your other tools and how involved the changes are to make.
Final pricing comes after the audit, once we have seen the four things above on your actual site. You get a written scope and a fixed quote before any work begins: no lock-in, no surprise line items, and no upfront number that ignores your market.

Questions, answered

Sales funnel FAQs: questions to ask before you start

These answers explain scope, traffic assumptions, building, CRM work, who responds to leads, timing, costs and the limits on results, all before launch.

Filter
What is included in your sales funnel service?

The agreed scope can include a funnel, audience and offer check, an offer and path plan, writing the page and follow-up messages, the landing page and form experience, lead records and routing rules, step-by-step questions and follow-up, spam, errors and recovery, and a response speed and revenue report. Your proposal names what we need from you, the evidence, the owners, what you get and the checks that show it works.

When is a sales funnel build the right service?

It fits when several pages, forms, CRM rules and follow-up steps need to become one tested path, from what your ads or other sources promise to a qualified business result.

What access and information do you need?

We need your audience and offer, approved claims and terms, traffic sources, access to pages and forms, CRM records and how leads are uniquely identified, routing and response rules, follow-up decisions, analytics, results data and the names of the people who will review the work.

What evidence do you look at?

We look at source messages, page and form states, claims, what each field is for, consent, server responses, submission IDs, CRM records, assignments, alerts, response timestamps, changes in customer stage and how revenue data is linked.

How do you set the starting point for comparison?

We take a fixed snapshot of current source messages, page versions, fields, how forms behave, CRM rules, owner coverage, follow-up, tracking versions, credit settings and how later stages are defined.

How do you separate what we see from real business value?

We keep apart page sign-ups from submissions the server accepted, accepted records from leads you can contact and qualify, credited revenue from real extra sales (lift), and missing links in the data from zero value.

Can you run fair repeat tests?

Yes, when who sees which version, the versions themselves, the main result, safety limits, the sample size needed and a stable sales team are agreed before launch.

Do platform-credited results prove the funnel made a difference?

No. Attribution (how a tool gives credit for a sale) follows that tool's own counting method. Proving real extra results needs a fair comparison group, enough data and a clear statement of how uncertain the result is.

Do automatic suggestions decide the plan of work?

No. Automatic reports and platform suggestions are dated inputs. A named reviewer checks their evidence, limits and relevance to your business before approving any work.

Do you change live systems while you're still investigating?

Only after the offer, page, fields, consent, routing and measurement are approved. Live launches use sample path tests, monitoring and a named person with the power to roll back.

Can you guarantee platform approval or that tools will work as expected?

No. Ad, CRM, messaging and payment platforms control their own features and how they enforce their rules. We check how they work today, but we can't promise approval, message delivery or acceptance.

Who makes legal, privacy and rights decisions?

You keep the final say on legal, privacy, usage rights, claims, confidentiality and required notices. Softscotch writes down how these decisions feed into the work and only carries out instructions you've approved.

What does the reporting keep separate?

Reporting keeps these apart: visits, form starts, valid submissions, accepted CRM records, duplicates, routing, responses, contacts, qualification, bookings, sales opportunities, revenue and data we couldn't link.

What can the evidence not prove?

A button click doesn't prove a form was sent, a sent form doesn't prove a unique lead, a lead doesn't prove it's qualified, and credited revenue doesn't prove the funnel created the demand.

What work is not part of this service?

Full paid ad management, large CRM overhauls, long-term nurture emails, running your sales team, pricing strategy and legal advice are separate unless named in your proposal.

Can you guarantee results from a sales funnel build?

No. Softscotch is responsible for the agreed research, building, checks and reporting. Platforms, your data, customer demand, competitors, how your business runs and market conditions also affect results.

How long does the first round of work take?

Once we have everything we need, we usually aim to deliver a funnel map and requirements summary in two to five business days. A sample connected path usually takes one to two weeks once wording, design, development and integrations are ready. A careful launch usually takes two to four weeks, or longer when approvals, content, CRM work or payment steps are large. These are planning ranges, not guarantees.

How is a sales funnel build priced?

Pricing depends on the number of traffic sources and offer versions, page steps, forms, CRM records, how complex routing is, follow-up setup, accessibility, spam controls, integrations, tests and reporting.
