WooCommerce Setup and Store Build

Build a WooCommerce store that takes orders correctly and keeps working after handover.

We'll reply with a written proposal: the work, what we need from you and an estimated timeline.

The hidden problems

Why a finished-looking WooCommerce store can still lose orders

Before we call a store ready, we look at the WordPress setup and server, the product catalog, the checkout, how plugins depend on each other and proof from day-to-day running.

  • The server was left out of the plan

An outdated version of PHP (the programming language WordPress runs on), too little memory, unreliable scheduled tasks (cron), broken store emails or an over-broad caching rule can undo store settings that are otherwise correct.

  • Product imports don't add up

Products can arrive with duplicate SKUs (stock codes), options with no parent product, missing images or clashing stock levels when no one counts and compares what went in with what came out.

  • Plugins clash behind the scenes

A theme, payment plugin or other plugin may rely on outdated code hooks, load the same scripts twice or not confirm that it works with HPOS (the newer order storage) and the new block-based Cart and Checkout.

  • Checkout is tested only once

One successful order on a desktop computer doesn't cover shipping zone edges, stock levels, discounts, declined cards, refunds, customer emails, consent choices or shopping by phone or keyboard only.

  • Background failures go unnoticed

Delayed scheduled tasks (Scheduled Actions), WP-Cron failures, payment logs and webhook errors (failed automatic messages between systems) can interrupt payments, renewals, product feeds and emails after launch.

  • Updates have no way back

Changing the live store without a realistic test copy (staging), a tested backup of files and database, proof that nothing else broke and clear rules for undoing the change turns routine upkeep into an emergency.

Exactly what's included

What our WooCommerce setup services include

WooCommerce is the free online store add-on for WordPress websites. Softscotch connects your shop front to all the systems that make each order work behind the scenes. We check the WordPress setup and server your store runs on, make sure every product and product option (such as size or color) arrives correctly, set up the payment, shipping and tax settings you approve, test your plugins and every checkout situation, protect each customer's personal details and hand over a store your team can run day to day.

Eight areas of work cover the live server setup, product data, shop front, payment and shipping rules, plugins, speed, tracking, testing of real buying situations, redirects from old web addresses, the switch to the new store and handover.

WooCommerce systems check

Record your WordPress, WooCommerce, PHP, database, host, security certificate (TLS, the "https" padlock), email, scheduled tasks, caching, theme, plugins, logs and launch needs before any build work.

Products and moving data

Define product and option data, categories, attributes (such as size or color), stock and images, then run test imports and match up the records that were accepted, rejected or set aside for checking.

Theme and store setup

Set up approved page layouts, shop pages, menus, account pages and policies, while spotting outdated theme changes and anything that needs custom design work.

Orders, payments and delivery

Set up the approved payment provider, shipping, tax, coupon, stock, order status, refund, email and delivery rules, and check how they work together.

Order storage, plugins and automation

Check HPOS (the newer order storage) and new block checkout compatibility, why each plugin is there and who owns it, scheduled background tasks (Scheduled Actions and WP-Cron), and extra features such as subscriptions or selling in more countries where needed.

Speed, security and tracking

Set safe caching limits, fix the slow spots we actually measure, review access and backups, and match sales tracking that respects visitors' consent choices against real orders and refunds.

Launch, testing and handover

Run tests of real buying situations, ordered by risk, check the final list of launch changes, launch with clear rules for undoing it, watch closely in the first weeks after launch and hand over the store's operating guide.

Redirects and search settings

If you are moving from another store or website, we match old product and page addresses to the new ones, set up redirects (automatic forwarding) and check page titles, sitemaps and search settings, so customers and Google can still find your pages.

Why Softscotch

Make sure products, checkout, orders and your back-office team all agree

Softscotch connects the business rules you approve to the live store, tests what happens when things fail and keeps the proof and named owners you need after launch.

We look at the facts first

WooCommerce's System Status report, logs, the hosting setup, the code that is actually running and real buying journeys shape the plan before any more plugins or settings are added.

Product changes stay traceable

A named owner for each data field, fixed product IDs, import lists, record counts and lists of problem records show what happened to each group of products.

Compatibility is tested, not assumed

We check what each plugin says it supports, then run the most important tests for HPOS, the block checkout, your theme, payment plugins and other plugins in the setup you'll actually use.

Each shopper sees their own details

Speed work keeps the Cart, Checkout and My Account pages live and personal, never cached for everyone, and re-tests the buying journey after any caching, script or server change.

Real orders are the check on marketing data

Orders, payments, refunds and stock stay the true reference, while the limits of analytics and ad platform data stay visible.

The store keeps working after handover

Notes on each change, proof that backups can be restored, lists of open issues, owners, alert levels and removal of old access all stay usable after launch.

Research and implementation tools

WooCommerce tools we use: they show the facts, but they don't replace expert judgment

We use the WooCommerce, WordPress, hosting, payment provider, browser and analytics data that suits your store, then keep a record of every test and decision.

Look under the hood

Our WooCommerce audit: seven checks that show what could hold back your launch

Each check links what we looked at, the decision on what to build, a check that it works, the person responsible and any limit that remains.

Check 01 · Server and setup check

Can your WordPress setup and server support the store?

We use system reports and hosting data to find limits and weak spots before changing any store settings.

What we hand over names the evidence, how serious each issue is, who owns it, how we'll check it's fixed and anything that depends on an outside provider.

Versions and support startRecord the exact WordPress, WooCommerce, PHP, database, theme and plugin versions, whether each is still supported and anything that makes changes unsafe.
Server limits inputCompare live limits on memory, processing time, upload size, storage and database with the load from your products, imports, images, checkout and backups.
Scheduled tasks and queues controlCheck WP-Cron and Scheduled Actions by age, status, task name and the plugin that owns them, so background failures can be linked to their effect on the business.
Error logs and theme changes proveReview serious errors, payment logs and outdated theme template changes against the buying journeys they could interrupt.
Security certificate, email and domain outside providerConfirm https is working, store emails (such as order confirmations) are delivered, the sender name and reply address are right, and the domain settings (DNS) your chosen services need are in place.
Caching and recovery go liveRecord every layer of caching, every backup copy, how long backups are kept and every login, then check that the agreed way to restore the store actually works.
Check 02 · Products and moving data

Can every product and option be traced from its source to the store?

We agree the rules for your product data, then check test imports and any problem records.

We never make up an ID, a product fact or a tax setting just to get an import through.

Who owns each field inputGive every SKU, attribute, option, price, tax class, stock level, size, image and product claim a trusted source and an owner on your team.
Products and options structure structureDecide which details belong to the main product and which to each option, and how each product type, bundle or link between products is set up.
Categories and filters scopeCheck categories, shared attributes, their values, visibility and filters against how customers and staff need to find products.
Import trial run testBack up the current store and import a sample group of products that includes the trickiest types of product in your catalog.
Matching the counts proveMatch the counts of records sent, created, updated, skipped, rejected and set aside before the full data move is accepted.
Re-running failed records go liveFix and re-import only the records that failed, keeping fixed IDs, links to the source data and the history of decisions.
Check 03 · Checkout and daily running

Do payments, orders, stock and emails all agree?

We test how payment providers, shipping, tax, stock, order status, refunds and emails work together.

You and your advisers approve the business and tax rules; Softscotch sets them up and checks that they work.

Payment outcomes testTest approved, declined, extra-security-check, captured (where the provider supports it), canceled and refunded payments, and the order status each one leaves.
Shipping rates structureTest shipping zones from most specific to most general, methods, classes, packages, free-shipping thresholds and addresses that should get no shipping rate at all.
Tax situations controlCompare the results you or your adviser expect with the tax worked out on products, shipping, coupons and refunds across a range of typical carts.
Orders and stock staying in step proveFollow each order status through holding stock, reducing it, releasing it, restocking, delivery and cancellation, without assuming any step happened.
Order emails outside providerCheck every customer and staff email: what triggers it, its content, the sender, the reply address and whether we can see that it was delivered.
Who handles daily issues ownerName who handles carts with no shipping rate, failed or disputed payments, refunds, stock differences, delivery problems and customer contact.
Check 04 · Plugins and compatibility

Does every plugin you keep earn its place?

We review each plugin's business purpose, the data it can reach, its effect on your code, compatibility and how it will be maintained, before adding or updating it.

A plugin's listing on a marketplace doesn't prove that it works with everything else your store runs.

Purpose and owner scopeGive every plugin you keep one clear business purpose, a license owner, a support contact and a reason it can't be removed.
Data and permissions controlRecord which customer, order, product and login data each plugin can reach, including data sent elsewhere, scripts it loads and any admin-level powers.
HPOS compatibility structureCheck whether each plugin says it supports HPOS, then repeat the most important order creation, update, refund and reporting steps with the chosen order storage.
Block checkout compatibility testTest required form fields, payment providers, shipping methods, coupons and any custom behavior in the exact Cart and Checkout setup you'll use.
Speed and failure proveMeasure each plugin's effect on page speed and the database, and decide what customers should safely see if the plugin or its maker stops working.
Updating and removing go liveKeep update tests run on a test copy, proof of backups and undo steps, a data export and a written way to remove each plugin.
Check 05 · Reliability and security

Will customer details, background tasks and recovery all work as they should?

We treat caching, task queues, access, backups and updates as key parts of selling online, not as small maintenance notes.

The result records what we checked, and what stays the responsibility of your host, a plugin maker or your business.

Caching limits for personal pages controlKeep Cart, Checkout, My Account, active sessions and the right cookies out of caching rules that could show one customer's details to another or show out-of-date details.
Measured speed proveMeasure server response, page size, how fast the page appears and how quickly it reacts, before and after each speed change, while repeating the checkout tests.
Task queue health watchTrace old waiting and failed Scheduled Actions back to the payment, email, feed, import or plugin task your business relies on.
Access review securityRemove old user accounts and API keys, cut back unnecessary powers and record who keeps admin, payment, hosting and password access.
Proof that restores work testRestore the needed files and database through the agreed process, and record the result, how long it took and any limits that remain.
Update guide go liveMove WordPress, theme and plugin changes through a test copy, a compatibility review, re-tests of buying situations, a signed-off release and clear rules for undoing it.
Check 06 · Tracking and product feeds

Do your store facts and reported results match up?

We compare store records, analytics, hidden product labels and product feeds for other channels, without overstating which channel gets credit for a sale.

Data we observe from platforms is labeled as observation only; we never present it as proof of cause and effect.

Tracking plan inputDefine add-to-cart, checkout, purchase and refund events with fixed IDs, values, currency, consent status and rules for corrections.
Stopping double counting controlFind sales events counted twice across theme code, plugins, server-side tracking and tag managers before trusting any report.
Matching revenue proveCompare WooCommerce orders and refunds with payment provider and analytics totals, using one shared definition of time period, order status and currency.
Hidden product labels match qualityCheck that the hidden Product labels for Google (structured data) match the visible product and option IDs, price, stock status and other supported details.
Product feeds match qualityMatch IDs, price, stock status, shipping and return details between your store and each important product feed (such as Google Shopping).
Decision report decideTurn data gaps, totals that don't match and money limits into a tracking, store or reporting decision that has a named owner.
Check 07 · Launch and handover

Can your team launch, spot problems and run the store?

We use a dated switch-over plan, quick checks after launch, a close-watch period and a record of owners, instead of an informal go-live.

The timeline changes with the number of products, providers, connections to other systems, risk and how quickly approvals come back.

Change freeze and last-minute changes inputFreeze the approved list of changes and bring across any product, customer or order changes made while the switch-over was being prepared.
Backup and undo plan controlConfirm the backup of files and database taken just before launch, and agree clear, measurable reasons to undo the launch instead of guessing on the day.
Quick store checks after launch testRun quick launch checks on browsing, product pages, cart, checkout, payment, orders, emails, refunds and analytics on the live store.
Warning signs in the first weeks watchWatch for serious errors, declined or missing payments, carts with no shipping rate, backed-up task queues, email delivery and customer support problems.
Store operating guide ownerHand over how to handle daily orders, stock, refunds, delivery, updates, checks on connected systems, open issue lists and who to call when something goes wrong.
Handing over access handoverMove the accounts your business owns over to you and remove old Softscotch or contractor users, keys and passwords at the agreed point.
What changes

From software that's just installed to a store that's tested and ready to trade

Before

The shop looks ready, but the server setup, product catalog, checkout rules and who handles recovery are still unproven.

  • Store health is assumedVersions, hosting limits, errors, background task queues, caching of personal pages and the ability to restore from backup haven't been checked together.
  • No one knows if all products arrivedProducts and options have no count from source to store, no map of fixed IDs and no list of problem records with an owner.
  • One order is the only testA single purchase on a desktop computer hides problems with payments, shipping zones, tax settings, stock, refunds, emails, consent and accessibility.
After the agreed build

The most important buying journeys are set up, checked against your data and tested against the business rules you approved.

  • Signed-off store planDecisions on the server, products, checkout, providers, plugins and ownership are written down, along with their limits.
  • Tested order journeysProducts, shipping, tax settings, payment, orders, stock, emails, refunds and tracking each have test results from real buying situations.
  • Careful launchThe backup point, reasons to undo the launch, quick checks, open issues, warning signs to watch and owners are all recorded.
After handover

Named owners use store health checks, changes tested on a test copy and matching of records to keep orders dependable as your plugins and software change.

  • Every add-on has an ownerTheme, plugin, WooCommerce, hosting and provider changes follow an agreed process for checking compatibility and going live.
  • Store problems stay visibleOrders, payments, background task queues, errors, product feeds and differences in analytics each keep their source and a named person to respond.
  • Recovery can still be testedBackup coverage, proof from sample restores, reasons to undo changes and emergency contacts are reviewed on the agreed schedule.

What to expect

From store requirements to a fully rehearsed launch

A new store with a modest number of products can often be set up and tested in 6 to 10 weeks, once products, rules, accounts, content and approvals are ready. Large data moves, custom plugins, selling in several countries and waiting on outside providers can stretch the plan to 10 to 12 weeks.

KPI Store live

Our full growth plan (all services together), month by month

Month 1

Foundation and review

We review your whole website, where you rank and your competitors, agree how the site should be organized, and set up hosting, analytics (visitor tracking) and your GoHighLevel lead system. The first agreed pages start going live.

KPI pages live
Month 2

Build and launch

The site is built or rebuilt. Main, service and industry pages go live with on-page SEO, website labels and technical fixes. Your Google Business Profile is improved and lead follow-up automations are switched on.

KPI pages in Google
Month 3

More pages built from templates (programmatic pages) start going live, paid ads and email follow-ups are switched on for early leads, and Google adds your pages to its results as the first rankings usually appear.

KPI search terms ranking
Month 4

Momentum builds

Rankings often start climbing, visits from free search begin to rise, ad spending is tuned to the return it brings (ROAS, return on ad spend), and groups of related articles and links from other sites build your reputation with Google.

KPI visits from search
Month 5

Results start to show

Main search terms can move closer to page one, the first leads from free search often arrive, AI tools may begin to mention you, and testing improvements to your pages (CRO, conversion rate optimization) helps more visitors get in touch.

How we compare

A dependable store is more than WooCommerce, a theme and some plugins

The difference is a written link between your business rules, how the platform is set up, the build, test results from real buying situations and who owns what afterwards.

The risk of using a different agency for everything
  • Installs WooCommerce before agreeing the business and order rules
  • Treats the host, PHP, database, scheduled tasks and email as someone else's problem

Ethical, transparent, always on

One accountable team, strictly white-hat (only methods search engines and platforms allow), no shortcuts and no surprises. Support whenever you need it.

One plan, full-stack access

One Softscotch plan gives you access to the full service stack, coordinated around your priorities.

You do not need a separate agency or retainer for every channel. Your plan can draw from search, paid media, web, ecommerce, outreach, automation, lead generation, messaging, content, creative and operations. The agreed scope sets what is active, in what order and at what capacity.

Pricing approach

One price for everything, not a stack of separate retainers.

You get one price for your whole marketing, not a separate retainer for every service. SEO, paid ads, your website, automations, cold email and newsletters, we run all of it as a single scope, so you get the most result for what you pay. Agencies sell each of these on its own, so the invoice climbs whether or not that line drives a single lead.

Bought separately, service by service

A different agency or retainer for each service. The bill stacks up fast, and keeps climbing whether or not each one moves a single lead.

All of it, one scope

We run your whole marketing as one engagement, so you get the most result for what you pay, not a pile of disconnected invoices.

What shapes your quote
Site sizePage count, templates and how much of the site actually needs work.
Market competitionHow hard the terms you want to win are, and who you are up against.
Content needsHow much new writing, rewriting and production the plan calls for.
Build complexityYour website platform (CMS, the system you edit your site in), your other tools and how involved the changes are to make.
Final pricing comes after the audit, once we have seen the four things above on your actual site. You get a written scope and a fixed quote before any work begins: no lock-in, no surprise line items, and no upfront number that ignores your market.

Questions, answered

WooCommerce setup questions to ask before you commit

These answers cover moving data, HPOS (WooCommerce's newer way of storing orders), checkout compatibility, plugins, tax, security, speed, connections to other systems, launch and ownership.

Filter
What is included in your WooCommerce setup service?

Your proposal can include a check of your live WordPress site and hosting, product structure and data move, redirects from old web addresses, shop front setup, the payment, shipping and tax settings you approve, orders and emails, HPOS and checkout compatibility, speed, access controls, sales tracking, testing of real buying situations, launch and handover.

Can you fix an existing WooCommerce store instead of rebuilding it?

Yes. We first look at your live server setup, products, theme, plugins, errors, background task queues, checkout and how your team runs the store. The plan that comes out of this separates safe fixes from work that depends on your host or plugin makers, a redesign, a data move or custom development.

How do you move products without losing options or stock?

We map every product and option field, set fixed IDs and name who owns each data source, take the agreed backup, test a sample group of products and match every record sent in with its result (created, updated, rejected or set aside), before re-importing only the fixed problem records.

Do you set up payment providers and shipping?

Yes, using accounts your business owns and rules you approve. We test approved, declined, extra-security-check and refunded payments, plus typical shipping zones, classes, packages and carts with no shipping rate. Provider approval, when money reaches your account, carrier data and provider uptime stay outside our control.

Do you decide which tax rates we should charge?

No. Your business and a qualified adviser decide tax registrations, which regions you collect in, rates, how prices are shown and what you must file. Softscotch sets up the approved settings and compares the tax on typical products, shipping, coupons and refunds with the results you expect.

What is HPOS, and should an existing store switch it on?

HPOS (High-Performance Order Storage) keeps orders in their own dedicated WooCommerce database tables instead of mixing them in with your posts and pages. It has been the default for new WooCommerce installations since version 8.2, but existing stores must switch it on themselves. Before an existing store switches, its plugins and custom code must confirm and pass tests for compatibility, old and new order data must be kept in sync, and there must be a tested plan for checking the change and a written way to switch back.

Will all plugins work with the block-based Cart and Checkout?

Not automatically. The block-based Cart and Checkout (the default for new WooCommerce installations since version 8.3) let plugins add features in a different way from the older classic checkout, which relied on shortcode hooks. We check the actual form fields, payment providers, shipping methods, coupons and custom behavior your checkout needs in the setup you choose.

How do you choose WooCommerce plugins?

Every plugin you keep needs a real purpose, acceptable data access and scripts, compatibility with your chosen store setup, a license and support owner, a plan for what happens if it fails, a way to update it safely on a test copy first and a removal plan. How popular a plugin is, or how many you have, is not how we decide.

Can caching break a WooCommerce store?

Yes. Caching stores copies of pages to make them load faster, but Cart, Checkout and My Account show each customer's own details and must be kept out of it. We map which pages, sessions and cookies must never be cached, measure what is really slowing the store down and repeat the buying tests after every speed change.

Why do Scheduled Actions and WP-Cron matter?

Scheduled Actions and WP-Cron run tasks in the background. Payments, renewals, emails, product feeds, imports and other plugin work can depend on them. We look at each task's age, name, owner, errors and effect on the business, so an old waiting or failed task is treated as a real warning sign, not just a number on a dashboard.

Do you secure and back up the store?

The scope can cover a review of access and software, protecting passwords and keys, supported updates, backup coverage and a test restore of a typical backup. No amount of security work can guarantee perfect security, and your business and host keep recovery access, the final say during emergencies and long-term ownership.

Do you set up GA4 and advertising pixels?

Yes, when it's listed in your proposal. We set up sales tracking events in GA4 (Google Analytics 4) and ad pixels (small tracking codes from ad platforms), follow each visitor's consent choice, cut out obvious double counting and match purchases and refunds with WooCommerce using fixed definitions. Analytics data is always incomplete and only shows what happened; it does not prove that a channel caused an order.

Can you connect WooCommerce to an ERP, CRM, PIM or delivery system?

We can review and plan the connection to your ERP (business management system), CRM (customer records), PIM (product information system) or delivery system. Standard settings may fit within the store project, while custom connections, checking automatic messages are genuine, retries, protection against double processing, data conversions and keeping systems in step need a separate, itemized connection project.

Do you support subscriptions, memberships, bookings or marketplaces?

Yes, case by case. Subscriptions, memberships, bookings and marketplaces add renewals, access rights, availability, sellers, payouts and recovery steps. We check the business rules and which plugins work together, then say what fits the build and what needs a specialist to look after it long term.

Can you build a headless WooCommerce store?

A headless WooCommerce store, where a custom-built front end sits separately from WordPress, is a different design choice. WooCommerce's Store API (its built-in connection for carts and checkout) can support cart and checkout work, but front-end development, logins, caching, getting plugins to work the same way, security, ownership of updates and wider testing change the proposal a lot.

Can you guarantee sales, rankings or a specific speed score?

No. Softscotch is responsible for the agreed setup, data move, build, tests and reporting. We can't guarantee that providers will approve you, that the store will never go down, perfect security, that your tax is correct, speed scores, search rankings, conversion rate (the share of visitors who buy), sales or return.

How long does WooCommerce setup take?

A new store with a modest number of products can often be set up and tested in 6 to 10 weeks, once products, rules, accounts, content and approvals are ready. Larger data moves, custom code, selling in several countries, switching to HPOS and waiting on providers or reviews can stretch the plan to 10 to 12 weeks.

How is WooCommerce setup priced, and who looks after the store after launch?

The price depends on the number and quality of products, the risk of moving data, hosting, themes and plugins, providers, custom code, countries, connections to other systems, how deep testing goes and launch support. The proposal lists outside costs, and the handover names who owns updates, licenses, monitoring and problem handling.
