GoHighLevel Setup & Implementation Services

Turn GoHighLevel into a working sales and service process that your team can test, run and own.

We'll reply with a written proposal: the work, what we need from you and an estimated timeline.

Why HighLevel setups go wrong

A busy account can still lose leads, double-book staff and send customers the wrong follow-up.

We find the places where your real process, customer data, user permissions, calendar rules or automations don't match what the HighLevel screens seem to show.

  • The account was built before anyone agreed the process

Fields, stages, calendars and workflows use the tool's default settings, instead of the way your team actually checks, books, sells to and serves customers.

  • Contact data is duplicated or can't be trusted

Imports and merges create wrong records, missing consent, lost lead sources or clashing deals, which weakens every automation that comes after.

  • Customers get repeated or badly timed messages

Overlapping triggers (the events that start automations), re-entry settings and automatic retries create repeated messages, tasks or updates, and nobody is clearly in charge.

  • Bookings ignore when people are really free

Staff calendars, locations, rooms, equipment, time zones or how many customers a service can take aren't reflected in the time slots customers can pick.

  • A template was mistaken for a finished setup

Copied snapshots and workflows still need your business details, domains, permissions, messages, connections, testing and live monitoring.

  • The dashboard shows activity, not real results

New contacts, sent messages and moved stages are reported, without showing good-quality leads, completed bookings, agreed sales or automations that failed.

What is included

What our GoHighLevel setup services include: what we set up, connect, test and hand over.

Softscotch sets up GoHighLevel around the way your team sells, takes bookings, talks to customers and follows up. We map your process, set up accounts that you own, then build your contact fields, pipelines (the stages a lead moves through), forms, calendars, workflows (automated steps) and reports. We move agreed data and connect other tools in careful stages, test real customer journeys and hand over a working system. HighLevel subscription fees and phone, email, messaging, payment and other outside usage costs are separate unless your proposal includes them.

Your written proposal names the accounts, users, data, pipelines, pages, calendars, messaging channels, workflows, app connections, tests and training included.

Platform fit, accounts and ownership

We confirm HighLevel suits you, and map your agency account and sub-accounts, users, permissions, plans, billing, recovery access and the systems that should stay outside it.

Customer database fields, contacts and pipelines

We define contact fields, lead sources, duplicates, imports, customer statuses, deals, stages, owners, lead routing and response time goals.

Forms, pages and calendars

We set up agreed forms, surveys, funnels (step-by-step sales pages), booking pages, staff availability, locations, resources, confirmations, cancellations and thank-you steps.

Email, phone and messaging setup

We prepare what's needed for the agreed email, phone, text message or WhatsApp channels, plus approved templates, consent rules, opt-outs, routing and the costs of each channel.

Automations and team actions

We build triggers (what starts an automation), conditions, waits, tasks, alerts, messages, approvals, exceptions and recovery steps around your real customer process.

Moving data, connecting apps and snapshots

We move agreed data in stages, connect approved apps or APIs, check for duplicates and failures, and adapt reusable snapshots to your business details and access.

Testing, reporting, training and handover

We test typical customer journeys, launch in controlled stages, watch the live runs closely and hand over accounts, files, definitions, reports and notes on running the system.

Rules for changes after launch

We write down how your team should ask for and test changes after launch, who may edit live workflows, how to copy a workflow before changing it and how to undo a change, so the system stays reliable as your business grows.

Why Softscotch

We build one useful customer journey first, then grow it safely.

We start with your business process and make sure you own the account. You get a working flow early, and we test in stages before adding more records, messages or locations.

We check whether HighLevel fits first

The plan shows what HighLevel should handle, which of your existing systems stay, and where a different service or platform would be safer.

You see a working flow early

Once access, content and approvals are ready, we aim to have a lead, booking or follow-up journey ready to test in the first week.

Data changes happen in checked stages

Imports, duplicate decisions and other changes that are hard to undo use small test batches, your approval and before-and-after record counts.

Automations are tested like real customer journeys

Before a wider launch we check entry, timing, repeated events, missing data, opt-outs, errors, handovers between team members and final records.

Outside charges stay visible

Subscriptions, phone numbers, messages, email, registrations, apps, payments and other provider usage are listed separately, so there are no surprises.

Your team owns the finished setup

Accounts, access, data, source files, reports, training and recovery notes stay under your control, so you can take the system with you.

The work in detail

Everything behind a reliable GoHighLevel setup.

These checks cover accounts, data, sales stages, bookings, pages, customer messages, automations, app connections, reporting, user training and recovery.

Payments and refundsWe control products, prices, invoices, subscriptions, taxes, refunds, payment provider updates and matching payments to your accounts.
AI features that people controlWe set limits for Conversation AI, Voice AI, Reviews AI and AI build help: what they know, their mode, testing, handover to a person, permissions, costs and an emergency off switch.
White-label SaaS setupIf needed, we design white-label plans (HighLevel sold under your own brand), automatic account creation, snapshot products, permissions, resale billing, support and keeping each client's data apart.
Automatic failure testingIf needed, we test failures in accounts, data, workflows, messages, calendars, webhooks, snapshots, payments and AI using prepared test cases.
Platform and test evidence

We use your HighLevel account, real customer journeys and connected systems to prove the build works.

Checks can include account settings, workflow run logs and history, domain and channel setup checks (DNS), calendar syncing, exports of your old data, API records, tests in a web browser and the sales or service records that follow.

Seven practical checks

Our GoHighLevel audit: what we check before the first workflow goes live and before the build grows.

Each check ends with a clear setup decision, a test, an owner and an action, so you can see what is ready and what still depends on your team or an outside provider.

Check 01 · Fit and ownership

Should HighLevel run this process, and who owns the account?

We compare your real process, users, data, messaging channels, costs and connected systems with what the platform can do today.

A long "all-in-one" feature list doesn't prove the platform is right for you. This first check records that you own the account, what access we need, outside costs, what's not included and any system that should stay where it is.

Is the platform a good fit fitWe test your process, volume, data, messaging channels, security, reporting, connections to other tools, ownership needs and current tools against what HighLevel can and can't do today.
Accounts, plans and locations accountsWe list your agency settings, sub-accounts (one per business or location), subscriptions, Labs (HighLevel's early-access features), users, domains, email, phone, WhatsApp, billing, resale billing, snapshots (reusable account templates) and where one client's account ends and another begins.
Your real business process processWe name the buyer, the team, what starts the process, where the customer is in their journey, what a person must do, what can go wrong, the result you want and the reason this build should exist at all.
You own it, and you can recover it accessWe confirm you own the account, check user roles, give each person only the access they need, and set up account recovery, logins, single sign-on where your plan allows it, data exports, support contacts and access for future admins.
Subscriptions and usage costs costWe write down what you'll need to pay for: platform plans, usage, phone, email, WhatsApp, AI, apps, domains, payments and outside services. We don't promise what providers will charge in future.
What's included and what's separate limitsWe keep HighLevel setup separate from bigger projects such as CRM (customer database) design, marketing automation, custom integrations, sales funnels, appointment systems, messaging, review management, AI voice agents, reporting and websites.
Check 02 · Contacts and data

Can your customer records be moved in without losing who they are, where they came from or their permission to be contacted?

We define each important field and move a small sample batch first, before moving all your data.

Merging contacts, and some other data choices, are hard to undo. Before you approve, we check which record should be the main one, which details are kept, consent and Do Not Disturb (DND) settings, open deals, and that the number of records before and after the move matches.

Fields and record types fieldsWe define contacts, companies, opportunities (possible deals) and, where needed, custom record types, plus each field's type, allowed values, whether it is required, where it comes from, who may change it, how long it is kept and when it is retired.
Deciding on duplicate contacts matchWe set the details used to spot duplicates (like email or phone), review possible matches, set duplicate preferences, choose the main record, decide which values are kept, and check for false matches, consent, the effect on deals and any cases that are still unclear.
Changes that are hard to undo can't undoMerging contacts, changing the rules for spotting duplicates, changing unique fields and deleting record types only happen after you approve, with proof, a data export and a plan to recover if something goes wrong.
Moving data in stages data moveWe review and clean your old records, create the new fields first, move typical sample batches and keep the field mapping, problem records, import history and proof of the final switch-over.
Counting records before and after countsWe compare counts, ID numbers, required fields, links between records, deals, DND settings, notes, tasks and problem records between the old and new system, instead of assuming a finished upload means the job worked.
Permission and source history historyWe keep a record of how, when and why each contact, its source and its permission to be messaged entered the system, and who is allowed to change it.
Check 03 · Sales and booking process

Do your pipelines, lead routing and calendars match how your team really works?

We turn your sales stages, response time goals, staff availability and booking rules into clear settings that we can actually test.

A stage name or an open time slot isn't enough. We check what proves each status, who owns the next step, time zones, linked calendars, double bookings, locations, rooms, equipment and how many customers each service can handle.

Rules for customer status statusesWe define each contact and customer status, which moves between statuses are allowed, and what happens when someone comes back, needs a correction, is reopened, leaves or reaches a final status, with proof and an owner for each.
Pipeline and deal rules sales stagesWe define which pipeline fits, when a deal is created, what proves it can enter or leave a stage, multiple deals for one contact, deal value, owner, won, lost, reopened and corrected deals.
Lead routing and response times lead routingWe map who gets each lead, working hours, how many leads each person can take, absence, backup owners, reassignment, account clashes, escalation and confirmation that the receiving team accepted the lead.
Calendar type and availability calendarWe choose the right calendar type (personal, round-robin that shares bookings across staff, class, collective for group meetings, or service) and set users, schedules, time zones, length, gaps between bookings, booking forms and meeting places.
Staff, locations and resources resourcesWe set up services, staff, locations, rooms, equipment, capacity and current feature limits, so the times customers see reflect everything that needs to be free.
Booking and cancellation tests booking testsWe test free times, busy times, clashes with outside calendars, tricky time-zone cases, rescheduling, canceling, no-shows, double bookings, payments, staff absence and what then happens in the CRM.
Check 04 · What customers see and do

Can a customer fill in a form, book, get a confirmation and reach the right team?

We follow the agreed journey through forms, pages, calendars, email, phone, text messages (SMS) or WhatsApp.

A good-looking page can still lose where a lead came from, create duplicate contacts or send messages without the right permission. We check typical normal and failure cases from start to finish.

Forms and surveys formsWe define visible and hidden fields, field types, input checks, which fields are required or optional, proof of consent, spam protection, duplicate handling and where each answer is saved.
Funnels and booking pages pagesWe map each page's purpose, where visitors come from, the offer, proof, domain, mobile layout, ease of use for everyone, tracking, the form or booking action, error messages and the thank-you step.
Email setup emailWe check your own sending domain, email security records (SPF, DKIM and DMARC), the "from" name and address, unsubscribe, blocked addresses, test sends, provider errors and the owner. No one can promise every email reaches the inbox.
Phone and text message setup textsWe check who owns each number, whether it runs through LC Phone (HighLevel's built-in phone service) or Twilio, call forwarding, A2P 10DLC or other required registration for business texting, proof of opt-in, sender name and opt-out wording, DND, costs and what happens when a message fails.
WhatsApp setup WhatsAppWe check your subscription, Meta sign-up, number, message template type, language, personalized fields, approval status, WhatsApp's 24-hour reply window, opt-out and which template features HighLevel currently supports.
Testing the whole journey full testWe submit typical normal, duplicate, invalid, blocked, unavailable, error and recovery cases, then check the contact, conversation, appointment, deal, task and tracking data that each one creates.
Check 05 · How automations behave

Will each workflow run once, at the right time, on the right record?

We define who enters each workflow, when they can enter again, what each branch does and how a person takes over.

HighLevel settings, overlapping workflows, automatic retries and missing data can all change the result. We check the run history and the final records, rather than assuming a workflow that looks fine on screen actually worked.

What starts it and on which record startWe define the exact event that starts it, filters, previous values, which records qualify, what happens with missing data, where it came from and why a record should enter.
Rules for entering and re-entering entry rulesWe set first entry, what happens to records already in the workflow, when re-entry is allowed, exceptions for appointments or invoices, contacts with several deals, exits and who must never receive messages.
Branches, waits and time zones timingWe set what each decision is based on, what happens when information is unknown, whether to use the account's or the contact's time zone, when waits end, time limits, out-of-date information, where paths join up again and how each path finishes.
Messages, tasks and team approval actionsWe map messages, field updates, tasks, alerts, deals, webhooks (automatic messages sent to other systems), approvals, manual overrides, owners, knock-on effects and how to recover.
Stop actions happening twice no repeatsWe give each action a fixed ID, check the record's earlier state and put limits on processing, so retries, re-entry and overlapping workflows don't repeat important actions like messages or charges.
Run history and final records run logsBefore publishing and after launch, we check tests, run history, entry history, message links, errors, contacts waiting in a step and the final state of each record.
Check 06 · App connections and templates

Can connected tools and snapshots be updated without creating duplicates or losing work?

We write down what is copied, what is unique to your business and how data moves between HighLevel and each connected system.

Snapshots (reusable account templates) are a starting point, not a finished system for your business. API (secure links between software systems) and webhook connections need limited access, protection against duplicates, error handling and a way to compare records in both systems.

What the snapshot contains templateWe separate the source account, reusable parts, details unique to your business, passwords and keys, data left out, things it depends on, protected parts, version and which account it is meant for.
Loading and updating checks template updatesBefore each load, we review the chosen parts, clashes with your existing account, contacts waiting in workflows, draft pages, past snapshot loads, and what a refresh or push update will change.
App access and login keys app accessWe give apps only the access they need, install them under your ownership, store login keys (tokens) securely, renew and cancel them properly and watch who is using them.
API fields and limits data linksWe define record and field layouts, IDs, input checks, how large lists are fetched page by page, short-term and daily request limits, types of error, version changes and which system owns each piece of data.
Webhook security and duplicate protection webhooksWe check incoming webhooks using HighLevel's current security signature (the X-GHL-Signature header), keep each delivery's ID, check the data and design a queue that won't act twice, keeps things in order, retries and handles failed events.
Comparing and repairing records repairWe compare accepted events and records from the source system with HighLevel and other connected tools, sort records into missing, duplicate, delayed, rejected and conflicting, and run repairs or resend them.
Check 07 · Launch and handover

Can the build be launched, watched, fixed and run by your team?

We record exactly what is going live, test typical customer journeys, launch in careful stages and train the people on your team who will run it.

A demo that works once isn't a reliable everyday process. The final check covers users, versions, costs, live errors, recovery, written guides, data exports and who owns what after handover.

Go-live checklist go liveWe record the account, parts, versions, things it depends on, logins, domains, data, approvals, tests, the order things are switched on, how long we watch it and how to undo or fix it.
Workflow versions and recovery versionsWe use a careful draft-then-publish routine, saved versions, side-by-side comparisons and rules for restoring old versions, keeping in mind contacts already inside a workflow and how long HighLevel keeps history.
Broken connections and settings that drift breakagesWe watch for out-of-date fields, broken links, expired login keys, paused message templates, failed runs, contacts stuck waiting, accounts that no longer match their snapshot, permission changes and data that doesn't match its source.
Limits for AI tasks and people AI limitsWe set clear limits for AI Employee, Conversation AI, Voice AI and AI-assisted building: its task, what it knows, its mode, topics it must avoid, testing, handing over to a person, what it may do, cost and an emergency off switch.
Live monitoring and problems monitoringWe define how serious each problem is, monitoring, alerts, pausing, fixing, resending, restoring, telling people, reviewing afterwards, agreed upkeep times and retiring old parts.
Training your team and a clean exit handoverWe hand over your access, account parts, snapshots, field mappings, data, message and workflow details, reports, step-by-step guides, training, recovery steps, data exports and any open risks.
What changes

What changes: from scattered features to a customer process your team can run.

Before

Your HighLevel account has fields, pages and workflows, but your team can't explain who should enter them, what should happen next or who owns the result.

  • The software decides the processPipeline stages and calendar settings exist before your sales or service team agrees what each status and exception means.
  • Finished actions are trusted without checksImports, messages, tasks and stage changes aren't compared with the original record, the contact's permission, where they ended up or the business result.
  • Templates hide gaps for your businessSnapshots and copied workflows go live without your correct details, domains, users, messages, connections, tests or handover notes.
First flow working

One priority lead, booking or follow-up journey is set up and tested with the agreed data, messages, owners and exceptions.

  • The first customer journey is clearThe form or booking, customer record, stage, owner, message, task and expected next step all follow one agreed business process.
  • Normal and failure cases are testedDuplicate records, missing fields, opt-outs, calendar clashes, time zones, errors and how the team recovers are all checked before a wider launch.
  • Outside costs and approvals are visibleSubscriptions, phone, messages, email, registrations, apps, payments and provider reviews are shown next to the setup work, so you see the full picture.
Stable and handed over

Live workflow runs, errors, customer results, costs and owner actions are reviewed regularly, and your team can run or change the setup with confidence.

  • Workflow history explains what happenedYour team can follow a contact through the real workflow, spot an error and see the resulting record, message, booking or task.
  • Business results stay separate from activityNew records and sent messages aren't confused with good-quality leads, completed bookings, agreed sales or payments actually collected.
  • You can carry on without being locked inAccounts, data, files, versions, reports, recovery steps, training and open issues all stay under your control.

The connected growth engine

Marketing automation

Handles the wider customer journey across channels and your messaging plan, when HighLevel is just one platform in the plan.

CRM automation

Handles deeper customer data, customer status, lead routing and CRM design across several systems, when platform setup isn't the main thing you're buying.

Custom integrations

Handles reusable connector software, custom apps and complex data services beyond the agreed HighLevel connection.

Website and conversion work

Handles deeper research, copywriting, design, SEO, testing to win more leads and website development.

Appointment and messaging services

Handles standalone booking systems, inbox delivery and ongoing email, text message or WhatsApp campaign work.

Your team and specialist owners

Own the true business facts, payments, accounting, privacy, security, legal, regulated matters and final go-live decisions.

One connected scope. GoHighLevel Setup and Implementation Services is coordinated with the strategy, creative, experience, data and reporting it depends on, so responsibilities and handoffs stay visible in one written plan.

What to expect

How long GoHighLevel setup takes: a first working flow in week one, then build, launch and handover in stages.

Once we have account access, approved messages, your data and what each channel needs, we aim to have a first customer journey ready to test by the end of week one. Bigger data moves, registrations and app connections can make the full build take longer.

How we compare

How we compare with a typical GoHighLevel agency: more than templates, snapshots and switched-on features.

Softscotch maps your real process, protects customer data, tests each important journey, shows outside provider costs separately and leaves you with a system that is written down and easy to run.

The risk of using a different agency for everything
  • Assumes HighLevel should replace every system you use before checking it fits
  • Starts with a snapshot before mapping your real customer process
  • Creates fields and tags without clear meanings or owners
  • Imports and merges contacts without test batches or your approval
  • Builds pipeline stage names without rules for entering, moving and fixing deals
  • Publishes workflows without checking for repeated events, timing and errors
  • Connects apps without limiting their access or planning for failed data
  • Switches on messaging before consent, registration, content and costs are ready
  • Reports new contacts, sent messages and moved stages as business success
  • Leaves you relying on agency logins and automation logic nobody wrote down
vs
Softscotch
  • Checks platform fit, ownership, your existing systems and separate costs first
  • Maps one real lead, booking or follow-up journey before growing the build
  • Defines each important field, where it comes from, allowed values and owner
  • Uses test batches, duplicate reviews, record counts and your approval to move data
  • Defines customer statuses, proof for each stage, lead routing, owners and exceptions
  • Tests entry, re-entry, waits, time zones, opt-outs, errors and how the team recovers
  • Uses limited access, protection against duplicates, error queues and record checks in both systems
  • Keeps channel setup, provider approval, permission, usage fees and live running separate
  • Keeps set-up parts, tested runs, live handovers and good-quality leads separate
  • Hands over accounts you own, data, files, reports, training and recovery notes

Ethical, transparent, always on

One accountable team, strictly white-hat (only methods search engines and platforms allow), no shortcuts and no surprises. Support whenever you need it.

One plan, full-stack access

One Softscotch plan gives you access to the full service stack, coordinated around your priorities.

You do not need a separate agency or retainer for every channel. Your plan can draw from search, paid media, web, ecommerce, outreach, automation, lead generation, messaging, content, creative and operations. The agreed scope sets what is active, in what order and at what capacity.

Pricing approach

One price for everything, not a stack of separate retainers.

You get one price for your whole marketing, not a separate retainer for every service. SEO, paid ads, your website, automations, cold email and newsletters, we run all of it as a single scope, so you get the most result for what you pay. Agencies sell each of these on its own, so the invoice climbs whether or not that line drives a single lead.

Bought separately, service by service

A different agency or retainer for each service. The bill stacks up fast, and keeps climbing whether or not each one moves a single lead.

All of it, one scope

We run your whole marketing as one engagement, so you get the most result for what you pay, not a pile of disconnected invoices.

  • SEO: technical, on-page, content, local and AI search
  • Template-built pages (programmatic SEO), links from other websites (backlinks) and authority
  • CRO and landing pages
  • Paid ads across Google and Meta
  • Automations, cold email and newsletters
  • WordPress build, setup and ongoing care

GoHighLevel setup FAQs: questions business owners ask.

Clear answers about whether the platform fits, moving your data, calendars, automations, app connections, messaging costs, launch timing, ownership and what we can and can't guarantee.

Filter
What is included in GoHighLevel setup and implementation?

The work can include account and user setup, customer database (CRM) fields, contacts, imports, pipelines, forms, funnels, calendars, what's needed for email and phone, workflows (automations), app connections, reporting, testing, training, handover and rules for making changes after launch. Your proposal names the exact accounts, parts, volumes, provider costs, owners and what's not included.

Is GoHighLevel right for every business?

No. We compare your real process, users, data, messaging channels, security, reporting, app connections, costs and current systems with what HighLevel can do today. We may recommend a smaller build, keeping another system, or not moving to HighLevel at all.

How is this different from marketing automation or CRM consulting?

This service sets up a specific HighLevel system. Wider marketing automation decides how several channels and systems should work together. CRM consulting can redesign your customer data, customer statuses and lead routing across several platforms. Those bigger programs are separate unless they are named in your proposal.

Who owns the HighLevel account and connected assets?

You should own the agency account or sub-account, domains, email and phone identities, payment accounts, app connections, billing, recovery and live system logins. Softscotch only uses the access needed for the agreed build, and we write down how our access is removed when we finish.

Can you rebuild an existing HighLevel account?

Yes. First we list your fields, contacts, pipelines, calendars, pages, workflows, app connections, messages, users and reports. We keep what's useful, keep risky changes apart and rebuild in stages, so your existing customer journeys don't quietly break.

Can you move our contacts and deals into HighLevel?

Yes, as long as the old and new fields can be matched up. We create the required fields, test a typical batch, review matching and duplicates, check permissions and opt-outs, compare record counts and required records, and log any problems before moving everything.

How do you handle duplicate contacts?

We agree the details used to spot duplicates, review likely matches, choose the main record and decide which field values, permissions, deals, notes and tasks to keep. Merged contacts can be hard to separate again, so bulk merges need proof and your approval.

Do you set up pipelines and lead routing?

Yes. We define when a deal should be created, what each stage means, what proves it can move, the owner, response time goal, how many leads each person can take, the backup owner, rules for won or lost deals, when to reopen and how to correct mistakes.

Can you set up calendars for teams and locations?

Yes, where HighLevel's current features fit what you need. We set up the right calendar type, staff, time zones, linked calendars that block busy times, locations, rooms, equipment, service length, capacity, booking forms, reminders, rescheduling, cancellations and no-show handling, then book test appointments.

Do you build funnels, forms and booking pages?

We can build the agreed pages, forms, surveys, calendars and thank-you steps, with domains, mobile checks, ease of use for everyone, tracking and testing that everything works. Large websites, in-depth copywriting, brand design, SEO and tests to win more leads are separate unless listed.

Can you set up email, phone, text messages and WhatsApp?

We can set up what the platform needs, plus domains, phone routing, the details for required registrations, message templates, opt-out settings and routing. You own the decisions on permission to message and on content. Subscriptions, phone numbers, messages, calls, A2P 10DLC registration (required for business texting in the US), phone carrier, email and WhatsApp charges are separate unless included.

How do you test HighLevel workflows?

We test the starting record, filters, entry and re-entry, time zones, branches, waits, missing data, opt-outs, repeated events, contacts already inside, errors, team approval, exits and final records. We check the run logs, rather than treating a published workflow on screen as proof it works.

Do you create and load HighLevel snapshots?

Yes, when they save time. A snapshot is a reusable package of account parts (a template), not a complete setup for your business. We review what's in it, replace business-specific details and access, test for clashes and draft parts, record versions and check the account after loading or updating it.

Can you connect HighLevel to other tools?

The work can include supported built-in apps, Zapier, Make, webhooks or the HighLevel API (a secure link for other software). We decide which system owns each field, limit access, prevent anything being processed twice, watch for failures and compare records in both systems. Complex custom software is a separate integration project.

Can you set up HighLevel AI features?

In some cases. We agree the task, the approved material it learns from, topics it must avoid, when it hands over to a person, the actions it may take, what each channel needs, testing, costs, monitoring and an emergency off switch. We don't promise error-free customer service or AI that runs fully on its own.

How do you measure whether the setup works?

We keep these separate: setup finished, test passed, workflow ran live, team member accepted the handover and business result. Useful numbers can include response time, completed bookings, no-shows, good-quality leads, deals moving forward, payments collected, errors and how long recovery took.

How soon can the first workflow work, and what affects the full timeline?

Once access, fields, messages, data and approvals are ready, we aim to have a first lead, booking or follow-up flow ready to test by the end of week one. A wider build often continues for four to six weeks. Moving data, several locations, registrations, app connections, payments and slow approvals can make it take longer.

What costs extra, and do you guarantee leads or provider approval?

HighLevel subscriptions, phone numbers, messages, calls, A2P registration, email, WhatsApp, domains, apps, payment fees and custom development are separate unless listed. Providers decide on approvals and message delivery. We don't guarantee inbox delivery, phone number reputation, bookings, leads, sales, revenue or that any feature will always be available.
