Email Campaign Management Services

Send campaigns with a clear reason, an up-to-date audience and no last-minute surprises.

We'll reply with a written proposal: the work, what we need from you and an estimated timeline.

Where campaigns quietly go wrong

An email can look great, be approved and still be wrong when it goes out.

Before an email goes out, and can't be taken back, we check its purpose, exactly who will receive it, whether they agreed to hear from you, whether the offer is still true, the personalized parts, the links, the sender settings, the timing, how many other messages people are getting, how fast it is sent and how success will be measured.

  • The calendar is busy, but there's no real reason to send

Newsletters, launches, promotions and announcements get scheduled because there is a free slot in the calendar, not because a clear group of people needs a current message or offer.

  • The list goes out of date before sending

The list of recipients is fixed days before the send. By then it can include people who just bought, people who changed their preferences or people who no longer qualify, and it can miss contacts who now do qualify.

  • Facts change after the email is approved

Prices, stock, dates, locations, the order of products, claims, discount codes and landing pages can all change between the design review and the moment the email is delivered.

  • Personalized versions are never really checked

A clean standard preview can hide missing names, wrong products, old images, an unsupported language or region, broken sections and offers that contradict each other.

  • One big send causes problems elsewhere

A large send can clash with automated emails and other channels, harm your reputation with email providers, overload your website, stock, booking team or support team, and leave people who were skipped without the message.

  • The report rewards the wrong numbers

A campaign is called a success while ignoring email privacy features, clicks made by bots, the credit the platform gives itself, people who would have bought anyway, rejected leads, cancellations, returns and profit.

Scope

What our email campaign management services include.

Send newsletters, launches, promotions and announcements without finding out afterwards that the wrong people got it, the offer was out of date, a link was broken or a personalized version was wrong. Softscotch gives every campaign a clear purpose, writes and designs the email, checks who will receive it and what they will see, avoids sending too much at once and compares the response with real business results. You get a campaign plan (brief), a plan for the audience and where the facts come from, a ready-to-send email, a record of the live send and a report that helps you decide what to do next. Email software fees, sending costs, text messages (SMS), bigger design and photo projects, deep fixes to whether your emails reach the inbox (deliverability), legal advice and your wider email strategy are quoted separately.

The eight cards describe the campaign work we own, including a look at what your competitors send. Your proposal states how many campaigns, which software, which audiences, how much design work, which tests, who approves, the sending costs and how often we send.

Campaign strategy, calendar and starting point

We define each campaign's purpose, audience, the business event behind it, the mix of content and offers, how often you send, what it depends on and what counts as a good result. We also review your current sends, how they are produced, how they perform, the risks and where campaigns overlap.

Audience, permission and who may receive it

We map where each contact came from, which topics they signed up for, their consent, who they are, the rules for picking audience groups (segments), who is left out, who must never be emailed (suppression list), when the recipient list is fixed, where each person is in their customer journey and regional rules.

Offer, message and design

We create the campaign plan, the story, the proof, which products or content to feature, the offer, the call to action (CTA: the button or link you want people to click), the subject line and preview text, images, usage rights, translated versions, end dates and a record of approvals.

Aa

Templates, personalization and tracking

We create or adapt emails built from reusable blocks that work on any screen size. We set up content that changes per person with safe defaults when data is missing, links, UTM tags (tracking codes added to links), discount codes, app links that open the right screen, access for people with disabilities and a smooth path to the page each link opens.

Sender, timing, sending speed and final checks

We check the sender settings, one-click unsubscribe, rules for how many messages people get, whether each recipient still qualifies, local time zones, sending all at once or in batches, whether your website can handle the traffic, a first small test send, and how to pause or fix a send if something goes wrong.

Tests, credit for results and money

We design tests of subject lines, content, offers, audiences or timing, and holdouts (a group that deliberately doesn't get the email, to measure its real effect) where possible. We then compare genuine engagement, real results, the quality of revenue, costs and the limits of what we can prove.

Reporting, improving and upkeep

We report on every send with clear definitions and limits. We keep versions, check that content and audience groups are still current, track delivery by group, log incidents and decisions, plan the next tests and prepare handover notes.

{}

Competitor email review

We sign up for and study the emails your main competitors send: how often they send, the offers, stories and designs they use and the dates they focus on. This gives your calendar fresh ideas and shows where your campaigns can stand out, without copying anyone.

Why Softscotch

We manage the decisions and checks around every send, not just the design.

Who is on the list, whether the content is true, how the final email looks, the sender settings, how many messages people get, how tests are run and the quality of the results all stay visible. They don't get reduced to a calendar and an open-rate report.

Every campaign has a reason to exist

The calendar records who the campaign is for, what the content or offer is meant to do, what counts as a good result, what it depends on, when it's not a good fit and which other campaign or channel it must not repeat.

The audience is chosen at the right moment

We record whether recipients are fixed when the campaign is scheduled or updated at the time of sending. Then we recheck subscriptions, exclusions, the do-not-email list, customer status and whether each person still qualifies for the offer.

Approval covers every important version

Standard, group-specific, personalized and translated content, prices, products, discount codes, links, end dates and the sender name are all tested as the finished email, not guessed from the separate building blocks.

We plan the impact of a send before it goes out

Campaigns are coordinated with automated emails and other channels. We are clear about the volume, signals from email providers, what your website and team can handle, how batches go out, small test sends first, alerts and who has the power to pause.

Each test answers one business question

Tests of subject line, content, audience, offer and timing use a fixed way of splitting people into groups, a stated goal, warning limits and enough time for results to come in. Whether sending at all beats not sending is measured separately, using a group that gets no email.

What we learn lasts beyond the monthly report

Campaign plans, recipient rules, versions, approvals, tests, incidents, real results, limits and next decisions stay easy to find and easy to use for whoever runs the next campaign.

Basic to advanced

Everything needed to go from a campaign idea to a safe, checked send.

These 36 parts cover whether a campaign is the right fit, who is on the list, writing and design, building the email, sender settings, tests, money and safe use of automation.

Campaign fit, calendar and starting point
Is a campaign the right choice?Decide whether the need is best met by a newsletter, launch, promotion, announcement, educational or event campaign, an automated email series, another channel, a product update or not sending at all.
Where your campaigns stand todayList your campaigns, calendars, audiences, copy, designs, templates, send settings, performance, errors, costs, owners and the steps that slow production, with clear definitions.
Planning the calendarMap launches, seasons, content themes, business events, automated email journeys and other channels, so every send has its own purpose and enough time to produce it.
Agreeing what success and money meanBefore improving anything, define the customer action you want, what makes a good lead or order, customer status, how long results take to arrive, value, cost, profit, how credit is given and when to stop.
Software, access and readiness to sendCheck who owns the account, your plan, sending domains (the web address your emails come from), users, connections to other systems, billing, limits, test profiles, approvals, who can pause and backup arrangements.
Risks, claims and approvalsAgree the trusted source for each fact, sensitive data, offer and product restrictions, usage rights, accessibility, review for regulated industries, end dates, how serious each kind of problem is and who approves each send.
Audience, permission and data
What your customer data meansSet rules for customer identity, consent, profile fields, details of actions people took, dates and times, product ID numbers and which system wins when they disagree, before audience groups and personalized content rely on them.
Who is in, who is out and overlapsDefine who is included and excluded, customer and journey stage, how engagement is used, location rules, duplicate contacts and overlap with automated emails, sales and other campaigns.
Fixed list versus last-minute checksKeep the audience chosen at scheduling separate from the checks repeated just before sending, including subscription, do-not-email list, customer status, stock and offer rules.
One trusted record of permissionsLine up the topics people signed up for, their consent for each channel, full unsubscribes, spam complaints, bounced addresses, do-not-contact flags, how long data is kept and how quickly opt-outs reach every system.
Offer, message and design
Campaign plan and its purposeSpell out who it is for and where they are as a customer, the question they have, the content or sales goal, the angle, the proof, the call to action, where the link goes, what counts as a good result, safety limits and the end date.
Offers, products and facts that stay trueLink prices, discounts, codes, stock, products, dates, locations, claims, terms and content facts to current sources, each with a named owner.
Subject line, preview, story and call to actionMake sure what the inbox promises matches the email body, proof, featured products and one clear action, without fake urgency, hidden conditions or a link that lands somewhere unexpected.
Images, rights and translationsTrack images, logos, product photos, permission to use creator or customer content, image descriptions (alt text), languages, currencies, regional versions, approvals, end dates and replacements.
Making the changes
Checking personalized content when data is missingBefore sending, test what happens in every personalized version when names, products, images, prices, codes, account managers, locations or language settings are missing.
Reusable templates that work for everyoneBuild reusable blocks with real text (not text inside images), a clear layout that still works when images are blocked, logical reading order, readable colors, clear links and buttons, support for zooming and layouts that stack neatly on phones.
Links, tracking tags, codes and app linksCheck that every link goes to the right place, tracking tags, redirects, app links with a website backup, how discount codes are handed out, when they expire, repeated use and who owns the analytics.
A smooth path from email to pageCarry the exact promise, product, offer, stock, language and call to action from the email into a working page, form, app screen, booking or checkout.
Sender settings and final checks
Sender security and unsubscribe readinessCheck the approved sender and SPF, DKIM and DMARC (email security settings that prove your emails really come from you), the type of message, keeping marketing and service emails apart, a visible unsubscribe link, the required one-click unsubscribe settings and the do-not-email list.
Rules across all your channelsCoordinate campaigns, automated emails, text messages and other messages by urgency, preferences, how often people hear from you and customer status, and decide what happens when someone is skipped.
Timing, sending speed, test sends and capacityChoose your time zone or each recipient's local time, sending all at once or gradually, speed and batch limits, test inboxes and a small first group, how much your website and team can handle, alerts and who can pause.
Final checks and a plan for mistakesTest recipients, versions, email settings, how it displays, links, offers, codes, tracking, replies, landing pages and approvals. We also agree the steps to correct, apologize, pause and keep a record if something goes wrong.
Testing and improving
Subject line, preview and sender name testsTest one inbox decision with a fixed way of splitting people, honest versions, a stated result to judge by further down the line, warning limits, a set length and a stopping rule, instead of picking a winner from early opens.
Content, offer, audience and call-to-action testsCompare one meaningful change to the message or audience while keeping permission, eligibility, delivery, price, stock, landing page and how a sale is counted the same.
Send time and sending speed testsCompare sending at a fixed time, in local time, at a predicted best time or gradually, within what the software and data allow, while watching skipped people, email provider health, website load, delays and real results.
Holdout groupsWhere a steady "no email" comparison group is possible, measure how much extra the campaign or program really brought in, instead of giving email credit for every sale that happens after a send.
Measuring results and value
From planned list to delivered emailReport how many people were targeted, scheduled, eligible, excluded, on the do-not-email list, skipped, sent, accepted, delivered, bounced, complained, unsubscribed and failed, using the software's own definitions.
Reading opens and clicks honestlyTreat opens as a rough guide only, point out known effects of privacy features and bots, look into suspicious clicks and keep inbox activity separate from real customer actions.
Matching email to sales and customer recordsLink campaign and email IDs to replies, forms, bookings, sales pipeline, purchases, product sign-ups and customer status in your CRM (customer records system), while showing records that don't match and delays.
Checking the quality of revenueTake duplicate and rejected leads, existing customers, cancellations, returns, discounts, profit and repeat buying into account when reading the revenue credited to email.
What campaigns really addWhere possible, use holdout groups or fair group comparisons, and report the extra value, the effect of sending too much and the cost of missed chances separately from the credit the software gives itself.
Monitoring, change control and growing safely
Record of sources, versions and decisionsRecord plans, audience rules, content sources, images, offers, templates, tests, approvals, send settings, changes, results and next decisions.
End dates for content, offers and audiencesWatch for changes to products, stock, prices, codes, dates, landing pages, usage rights, audience rules, permissions and engagement before an email is reused or sent again.
Watching results by email provider and campaignUse Gmail's Feedback-ID (a tag that shows spam complaints by campaign) or other available tags and provider data to see results by sender, audience, campaign, source and volume, without pretending we can see exactly which emails landed in the inbox.
Safe use of AI in campaignsBase AI-written copy, designs and suggestions on approved sources, use as little personal data as possible, test for unsafe output and require a person to approve claims, audiences, offers and sends.
Automation with firm limitsLimit what predictive tools or AI agents can suggest or do, by permission, audience, content, offer, schedule, volume and the right to act outside your systems, with a full record, and the ability to revoke access, undo changes and switch it off.
Email software and checking tools

Your email software sends the campaign. Our checks protect the decision.

Klaviyo, HubSpot, Mailchimp, Customer.io, Braze, ActiveCampaign and other approved tools are examples, not partnerships. How each one handles audiences, scheduling, sending speed, testing, special email code and reporting depends on the product, your plan, your region and changes over time.

Campaign review

Our email campaign review: seven checks that show what can go wrong before, during and after a send.

Each check links the campaign's purpose to the people allowed to receive it, the current content, the final email as people will see it, the safety checks before sending and the next business decision.

Check 01 · Fit and calendar

Campaign purpose, calendar, starting point and workload check

We prove each send has its own clear purpose for the customer and the business before filling the production calendar.

A busy calendar can repeat what your automated emails already do, compete with sales or service messages and create rushed deadlines without giving customers anything useful.

Campaign purpose fitChoose newsletter, launch, promotion, announcement, education or event, and name the option of an automated series, another channel or not sending.

Campaign decision decideApprove whether to create it, combine it with another, turn it into an automated series, use another channel, delay it, retire it or not send it.
Check 02 · Audience and permission

Audience groups, the final list, do-not-email list and overlap check

We make sure the people meant to get the email are current, have given permission and can be clearly explained at the moment of sending.

A list or audience group doesn't stay still. Profiles, purchases, preferences, the do-not-email list, engagement and overlap with other emails can all change between scheduling and delivery.

Still allowed to receive it recheckBefore sending, recheck subscription, the do-not-email list, recent purchases or bookings, stock, the offer, region and anything happening in the business.
Too many messages and overlaps pressureMap automated emails, other campaigns, text messages, sales, service and product messages, then decide which comes first and what happens to people who are skipped.
Test profiles testTest with profiles that are eligible, not eligible, unsubscribed, on the do-not-email list, duplicated, brand-new customers, lapsed customers and people emailed recently.
Check 03 · Offer and message

Offer, content, featured products, proof and approval check

We check that every promise and every featured item will still be true when the person reads the email.

A campaign can be approved while the price, product, stock level, date, location, terms, discount code, claim, article or landing page quietly changes underneath it.

Campaign plan planDefine the audience's question, purpose, angle, proof, call to action, where the link goes, the result wanted, the end date and when not to send it.
Offer is true offerCheck price, discount, code, dates, limits, exclusions, stock, availability and terms with the people who own those facts.
Content and claims claimsCheck product, service, editorial, customer, creator and regulated claims, their sources, usage rights and approval dates.
What the inbox promises inboxMake sure the sender name, subject line and preview text match the email body, offer, proof and the page the link opens, without fake urgency.
Featured products productsCheck the order of products or content, whether they qualify, profit, stock, market, language, images, links and rules for swapping items that sell out.
End dates and sending expirySet cut-off times, then recheck facts, images, offers, discount codes and landing pages again right before sending.
Check 04 · Build and experience

Template, personalization, display, link and landing page check

We test the exact final versions people can receive, not only the draft text and the design file.

Personalized sections and the way different inboxes display emails can produce very different messages. A correct standard preview doesn't prove that every audience group, language, product and backup version works.

“

Smooth landing page landing pageCheck the product, offer, content, language, stock, that the page works, the form or checkout and that the sale or sign-up is tracked.
Check 05 · Sender and sending

Sender, timing, sending speed, capacity and problem plan check

Before a send that can't be taken back, we protect people's choices, your sender reputation and the teams who will handle the response.

A campaign can pass every design check and still fail because of email security settings, unsubscribes, an out-of-date list, a sudden jump in volume, a website that can't cope or nobody owning the decision to fix it.

Sender ready senderCheck the approved sender and reply-to address, SPF, DKIM and DMARC security settings, whether marketing and service emails are sent separately, domain settings (DNS) and email provider status.
Unsubscribe unsubscribeTest the required one-click unsubscribe settings, the visible unsubscribe link, topic and full opt-out choices, and how fast opt-outs reach every system.
Schedule scheduleCheck your account time zone and recipients' time zones, daylight saving changes, local sending windows, deadlines, time-sensitive content and the last moment a send can be stopped.
Sending speed and capacity pacingChoose to send all at once or gradually, the speed, batch size and a small first group. Test whether your website, stock, calendar, sales and support teams can cope, and set alerts.

If something goes wrong problemsAgree how to pause where possible, correct, apologize, share updates, remove people from future sends, keep records, tell the people involved and review what happened afterwards.
Check 06 · Tests and results

Tests, engagement, sales and money check

We keep three things apart: picking the best version, the credit a campaign gets and the extra business value it really added.

An open-rate "winner" can be created by privacy features, while a revenue "winner" can include customers who would have bought anyway, or orders that were later canceled and returned.

What the test decides testChoose one question about subject line, content, offer, audience, timing or sending speed, and state how people are split, the result to judge by, warning limits and how long to wait for results.
How a winner is picked winnerReview how people are split, group size, the software's automatic winner rules, stopping too early, how long sales are counted and winners that change after sending.
Is the engagement real? engagementExplain opens caused by privacy features, clicks made by bots or security scanners, how replies are sorted, link tracking and the software's definitions.
Linking to results resultConnect campaign and email IDs to your CRM, product, booking or sales records, and show how many records don't match and how long results take.
Quality of revenue qualityAdjust the numbers for duplicates, rejected leads, customer status, cancellations, returns, discounts, profit and repeat buying.
Real extra value real effectCheck whether a steady "no email" comparison group is possible, and keep results that were unavailable, negative or unclear instead of hiding them.
Check 07 · Upkeep and growth

Versions, end dates, monitoring, AI and handover check

We keep regular campaign production correct as audiences, facts, software and teams change.

Campaign work usually goes wrong slowly, not in one visible failure: through copied images, out-of-date audience groups, expired codes, lost approvals, changes at email providers and automation nobody reviews.

Record of sources and versions versionKeep versions of the plan, audience group, copy, design, offer, images, template, send settings, tests, approvals, results and decisions.
End dates expiryBefore reusing an email, check prices, stock, codes, dates, landing pages, claims, usage rights, audience groups, consent and engagement rules.

Spotting unusual results warningsWatch audience size, skips, volume, delivery, bounces, complaints, clicks, sales and website or team load, with warning limits that each have an owner.
AI safeguards AIBase AI-written content and suggestions on approved sources, use as little personal data as possible and require a person to approve claims, offers, audiences and sends.
Handover handoverHand over live settings, templates, calendars, sources, tests, reports, incidents, access and the triggers for refreshing or retiring emails, each with an owner.
What changes

From filling a calendar to campaigns with a clear purpose and a checked send.

Before

The calendar says an email must go out, but nobody has confirmed who should receive it, whether the offer is still current or how the send will affect other messages customers get.

  • Every slot needs a campaignA date is booked first and a topic is made up later, which leads to repetitive emails, weak reasons to send and rushed approval.
  • One preview stands in for everyoneThe standard preview is approved while personalized products, prices, codes, languages, missing details and backup versions go untested.
  • Software totals are the final wordOpens and revenue credited by the software are reported without considering privacy features, security scanners, lead quality, customer status, returns, profit or a "no email" comparison group.
Changes

Softscotch gives each send one purpose, checks the audience and the facts, tests every important version and sends the campaign only after sender, message-volume and capacity checks.

  • Each calendar slot has its own purposeEvery campaign states who it is for, what the content or offer is meant to do, what counts as a good result, what it depends on, its end date and whether not sending would be better.
  • It's clear who gets itBefore sending, we check whether the list was fixed at scheduling or at send time, plus exclusions, the do-not-email list, recent customer actions and clashes with other messages.
  • Approval covers the final emailFinished versions, personalization, links, codes, sender settings, landing pages, timing and live test emails all pass final checks.
After

You can see who was allowed to receive the email, what was delivered, how customers responded, which results were accepted as real and what the next campaign should change.

  • Each test answers one questionTests of subject line, content, audience, offer and timing keep a record of how people were split, warning limits, how long sales took and results that were unclear.
  • Revenue is checked against real business recordsYour CRM, product and sales records reveal rejected leads, people who would have bought anyway, cancellations, returns, discounts and profit.
  • Every reuse gets a freshness checkAudience groups, facts, images, offers, links, approvals, software settings and automated suggestions each have an owner, an end date and a way to undo changes.
How your business works

Email campaigns for your type of business.

Our careful way of producing campaigns stays the same. What changes by industry is permission rules, how audiences are picked, what claims are allowed, how fresh the content must be, timing, expert review and what counts as a good result.

  • Work on sending domain, DNS (domain settings), sender reputation and deeper deliverability fixes
  • Work with owners of products, prices, stock, offers, content, usage rights and claims
  • Work with your website, app, booking, sales, support and operations teams on capacity
  • Work with privacy, legal, regulatory, accessibility and security reviewers
  • Work on CRM, sales, analytics, finance, profit and holdout group decisions
You review and sign off

Your business keeps the final say on facts, permissions and business decisions.

  • Approve calendar priorities, audience decisions, when not to send and the scope
  • Confirm permission to contact people, that you are legally allowed to use their data and regional rules
  • Confirm that product, price, stock, offer, claim, date and content details are true
  • Approve the versions customers will see, the sender name and sending times
  • Define what counts as a good result, customer or lead status, values and money
  • Keep final control over accounts, contracts, software, sending, privacy, compliance and business results
How it fits together

How an email campaign works: the audience, offer, message and send settings must all agree.

The system connects each campaign's place in the calendar, permission to email, the exact list at send time, true content, personalization, how the email displays, links, sender settings, how many messages people get, sending speed, delivery, real results and what we learn.

What to expect

Your email campaign timeline, and the full growth plan.

We first agree the rules for your data and email permissions. Then, once your software connections and content are ready, we aim to send a priority campaign or automated email series in the first two weeks. Learning and wider email programs follow from real results. This work sits inside the six-month Softscotch growth plan shown below.

Our full growth plan (all services together), month by month

Month 1

Foundation and review

We review your whole website, where you rank and your competitors, agree how the site should be organized, and set up hosting, analytics (visitor tracking) and your GoHighLevel lead system. The first agreed pages start going live.

KPI pages live
Month 2

Build and launch

The site is built or rebuilt. Main, service and industry pages go live with on-page SEO, website labels and technical fixes. Your Google Business Profile is improved and lead follow-up automations are switched on.

KPI pages in Google
Month 3

Early rankings, paid ads start

More pages built from templates (programmatic pages) start going live, paid ads and email follow-ups are switched on for early leads, and Google adds your pages to its results as the first rankings usually appear.

KPI search terms ranking
Month 4

Momentum builds

Rankings often start climbing, visits from free search begin to rise, ad spending is tuned to the return it brings (ROAS, return on ad spend), and groups of related articles and links from other sites build your reputation with Google.

KPI visits from search
Month 5

Results start to show

Main search terms can move closer to page one, the first leads from free search often arrive, AI tools may begin to mention you, and testing improvements to your pages (CRO, conversion rate optimization) helps more visitors get in touch.

KPI leads from search
Month 6

Growth builds on itself

Pages that are working are protected and improved, template pages bring in visitors searching for very specific terms, and SEO, ads, email and automation work together to bring steadier leads and sales. Timing varies by market and competition, and no ranking is guaranteed.

KPI leads and sales
How we compare

How we compare with a typical email campaign agency: we control what gets sent, not just what gets designed.

The difference shows in checking the exact list at send time, confirming offers are still valid, checking the final email, limiting how many messages people get, sending to a small group first, setting up fair tests, checking the quality of results and being ready to fix mistakes.

The risk of using a different agency for everything
  • Fills a weekly or monthly calendar before giving each send its own clear purpose for the customer
  • Approves an audience group days early without deciding whether the list is fixed at scheduling or at send time
  • Sends out-of-date prices, products, codes, dates or claims because approval and the facts at send time aren't linked
  • Reviews one standard preview while personalized, translated and backup versions go untested
  • Copies templates without rechecking links, tracking tags, app links, replies, accessibility and landing pages
  • Thinks frequency limits are enough even when skipped people, automated emails and other channels aren't coordinated
  • Sends to everyone at once without thinking about sender reputation, website, stock, bookings, sales and support capacity
  • Picks A/B test winners from early opens, without a fixed way of splitting people, a real result to judge by, waiting time or warning limits
  • Reports the software's revenue figure without customer status, rejected leads, cancellations, returns, discounts and profit
  • Lets AI-written content, send-time predictions and automated suggestions go out without checking sources or limiting actions
vs
Softscotch
  • Agrees each campaign's purpose, audience, desired result, what it depends on, a better alternative if it doesn't fit, and when to stop, first
  • Records when the list is fixed and rechecks permission, the do-not-email list, customer status and offer eligibility
  • Links every price, offer and fact to a current source, an end date, a rule for rechecking it and an owner
  • Previews and tests every important audience group, product, language, personalized part and safe backup version
  • Checks the finished emails as people see them, links, tracking, codes, replies, pages, forms, app screens and checkout
  • Coordinates how many messages people get across campaigns and channels, and makes clear decisions on who is skipped, delayed or put first
  • Sends to a small group first or in approved stages, with capacity limits, live monitoring and written steps to pause and correct
  • Tests one decision at a time, with a stated way of splitting people, results, warning limits and care not to claim more than the test proves
  • Checks delivery against CRM, product or sales quality and shows the limits of the credit given to email
  • Limits AI and predictive tools to approved facts, permission, audience, offer and volume, with a person deciding what gets sent

Ethical, transparent, always on

One accountable team, strictly white-hat (only methods search engines and platforms allow), no shortcuts and no surprises. Support whenever you need it.

One plan, full-stack access

One Softscotch plan gives you access to the full service stack, coordinated around your priorities.

You do not need a separate agency or retainer for every channel. Your plan can draw from search, paid media, web, ecommerce, outreach, automation, lead generation, messaging, content, creative and operations. The agreed scope sets what is active, in what order and at what capacity.

Pricing approach

One price for everything, not a stack of separate retainers.

You get one price for your whole marketing, not a separate retainer for every service. SEO, paid ads, your website, automations, cold email and newsletters, we run all of it as a single scope, so you get the most result for what you pay. Agencies sell each of these on its own, so the invoice climbs whether or not that line drives a single lead.

Bought separately, service by service

A different agency or retainer for each service. The bill stacks up fast, and keeps climbing whether or not each one moves a single lead.

We run your whole marketing as one engagement, so you get the most result for what you pay, not a pile of disconnected invoices.

Questions, answered

Email campaign management FAQs: what to know before you hand over your email campaigns.

These answers cover what is included and what isn't, types of campaign, how often to send, email software, audiences, writing and design, text messages, sender rules, special inbox features, AI, measurement, guarantees, timing and pricing.

Filter
What is included in email campaign management services?

The work can include a review of your campaigns and calendar, a look at competitors' emails, strategy, choosing audience groups, copywriting, subject lines and preview text, design, templates, personalization, links and tracking, sender and recipient checks, scheduling, sending speed, quality checks, tests, sending, reporting and ongoing improvement. Your proposal states how many campaigns, which software and channels, how much design, which translated versions, tests, approvals and how often we send.

How is an email campaign different from a drip sequence?

An email campaign is usually a one-off or calendar-based email sent to a group of eligible people, such as a newsletter, launch, promotion, announcement, event or content update. A drip sequence is an automated series that runs for each person after they do something, reach a date or change status, and it can wait, take different paths and stop over time. Our Drip Sequence Services handle those automated series; this service handles scheduled campaigns.

How is this different from Email Strategy or Email Deliverability?

Email Strategy plans your wider email program, which software to use, your audience and channel approach and your program roadmap. Email Deliverability handles deeper fixes to email security settings, rebuilding sender reputation, finding out why providers block you and fixing sending systems. Campaign management runs the agreed calendar and sends. It checks that your sender setup is ready and passes specialist problems to the right team, rather than claiming to do every related service.

Which campaign types can you manage?

Common types include newsletters, product and service launches, promotions, announcements, editorial or educational emails, events, seasonal campaigns, surveys and customer or account updates that count as campaigns. We decide what each message is for before sending. Automated series, cold emails to people who haven't signed up, order and receipt emails (transactional emails) and legally required notices can need different owners and checks.

How many email campaigns should we send each month?

There is no single right number. It depends on what subscribers signed up to receive, how often you have useful, current news, how often your customers buy or use your product, your other campaigns and automated emails, your sender reputation, how much you can produce and the complaints and results you actually see. We build a calendar around messages that each have a clear purpose and evidence about how much is too much, not a fixed industry quota.

Which email platforms do you support?

We can work in approved platforms such as Klaviyo, HubSpot, Mailchimp, Customer.io, Braze, ActiveCampaign and similar email or CRM systems, when access and our experience fit. Features for fixing the recipient list, local-time sending, gradual sending, testing, personalized content and reporting differ by plan and change over time. Your proposal names the exact software, its limits, license costs and any move to new software.

Who receives a campaign that was scheduled in advance?

That depends on the software and the setting chosen. Klaviyo's current help guides, for example, let you fix the recipient list when the campaign is scheduled or update it just before it sends. That choice can change who qualifies, how big the audience is and the cost. We write down the decision and recheck subscriptions, the do-not-email list, customer status, stock, the offer and other emails before sending.

How do you choose campaign audiences?

We start with what the message is for and where the customer is, then use only relevant, trustworthy data such as the topics people signed up for, their stage, customer status, product or content interest, region, job role and approved engagement rules. Every audience group has rules for who is in, who is out, the do-not-email list, overlap, when the list is fixed and when it expires. We don't buy lists, guess sensitive personal details or assume the biggest possible audience is the best one.

Do you write and design the campaign emails?

Yes, when it is included. We can write the campaign plan, subject line and preview text, main copy and call to action, choose products or content and design an agreed number of emails from reusable blocks. We can also adapt your existing designs. Bigger brand, illustration, photography, animation, specialist email coding and template library projects can be quoted separately. Every final version is still checked for display, accessibility, links and landing pages.

Can the same campaign include SMS or other channels?

Yes, when your proposal includes an approved campaign across several channels and each person has given permission for that channel, with the right sender and timing controls. Permission to email does not automatically mean permission to text. Growing a text message list and standalone text broadcasts belong to SMS Campaigns and Broadcasts, while wider ongoing coordination belongs to Email and SMS Marketing or Marketing Automation.

Do you handle email authentication and one-click unsubscribe?

Yes, as checks that must pass before sending. We check the sender and reply-to address, SPF, DKIM and DMARC (email security settings that prove your emails really come from you), the visible unsubscribe link, the required one-click unsubscribe settings, preferences and the do-not-email list. Gmail and Yahoo publish extra rules for bulk senders and newsletters. Deep repairs to sender reputation, warming up new senders, finding out why you are blocked and fixing sending systems belong to Email Deliverability unless they are clearly included.

Can you add Gmail Promotions tab annotations or inbox actions?

Sometimes. Google supports extras in the Gmail Promotions tab, such as images, deals and offer end dates, added with special email code. But Gmail's quality checks and limits on how often they appear decide whether they actually show. Other Gmail inbox buttons need registration with Google, security settings and a suitable use, and are generally not a shortcut for bulk promotional email. We only add supported code when your software, sender, type of campaign and testing allow it, and we can't promise it will be displayed.

Can AI write, design or improve our campaigns?

AI can help with research, alternative versions, summaries, image ideas and approved suggestions when it makes the work better. We base its output on your current product and brand information, use as little personal data as possible, don't allow unproven claims or guesses about sensitive personal details, test personalized versions and require a person to approve the audience, offer, content, timing and send. We don't claim to have our own special AI, and we never let an AI agent contact your customers without clear permission.

Are open rates still useful for campaign reporting?

They are a rough guide, not a final answer. Apple says its Mail Privacy Protection can stop senders from seeing whether an email was opened, and image loading, security tools and bots can also distort engagement numbers. We report the software's definition and focus on genuine clicks, replies, bookings, purchases, product sign-ups, accepted leads and other results you have agreed matter.

How do you run A/B tests and campaign holdouts?

A/B tests compare versions, such as subject line, content, offer, audience or timing, with one stated way of splitting people and one result to judge by. A winner between two emailed versions doesn't prove that sending beat not sending. Where there is enough volume and time, the software allows it and it is fair to customers, we can use a steady holdout group (people who don't get the email) or another fair comparison. We keep improvement, credit for sales and proof of real extra value separate.

Can you guarantee open rates, inbox placement, revenue or ROI?

No. Permission, email provider filtering, customer demand, how the software behaves, data quality, offers, products, websites, sales follow-up, competitors and customer decisions are outside any agency's control. We can commit to the agreed research, production, safety checks, quality checks, tests and reporting, and show you what changed, but we can't guarantee delivery, engagement, sales, revenue, return on investment (ROI) or extra growth.

How long does it take to set up campaign management?

When access to your email software, an approved sender, audience rules, current content and decision makers are ready, the first useful thing you get is a campaign opportunity plan within three business days. The audience and facts plan usually follows by day five, with a campaign ready to send in week one and a careful first send in weeks one to two. New sender setup, complex audience groups, personalized product blocks, design work, several countries or approval in regulated industries make it take longer.

How much do email campaign management services cost?

Our fee reflects how many campaigns you send and how often, the number of audience groups, writing and design, templates and reusable blocks, personalized content, translated versions, software and channels, sender and data work, how much approval is needed, sends, tests, reporting and ongoing improvement. Email software fees, sending costs, text messages, data engineering, deep deliverability fixes, legal review and bigger design projects are listed separately unless clearly included.
