Email Design Services & HTML Templates

Get email templates your audience can read and your team can reuse without breaking them.

We'll reply with a written proposal: the work, what we need from you and an estimated timeline.

Hidden production problems

A beautiful mockup can still turn into a fragile email system.

Before calling a design ready to use, we check how email apps behave, real text, personalized data, how easy it is to edit, accessibility, the delivered HTML and upkeep.

  • The design file ignores the inbox

A mockup that looks perfect in a web browser reaches an email app that removes styles, changes colors, blocks images, swaps fonts, stacks columns differently or uses a workplace display engine (like older Outlook) that nobody tested.

  • Image-heavy layouts lose the message

Headlines, prices, proof and buttons are baked into pictures, so blocked images, slow connections, zoom, translation and screen readers remove the information a customer needs.

  • One flexible template becomes a blank page

Anyone can change widths, spacing, colors, fonts, blocks and order, which brings back production delays and drifting brand rules instead of safe reuse.

  • Personalized content is only tested when everything goes right

Missing names, missing images, long product names, zero or too many items, out-of-date prices, the wrong event details and right-to-left text can break both the layout and the meaning.

  • The preview isn't the email people receive

Build tools, extra code added by your email software, rewritten styles, changed links, tracking, how the email is packaged and live content can all change the code after the approved preview.

  • Shared blocks change with no plan for the impact

A change to a brand setting, shared block, master template or email software can affect drafts and live emails without a version, a re-check, a small first test, a way to undo, a plan to retire old versions or an owner.

Scope

What our email design services include.

Give your team email templates that hold up in real inboxes, when customer data is missing and through everyday editing. Softscotch turns your approved brand, content and data needs into a limited library of reusable building blocks (modules), sturdy HTML (the code emails are built with), safe settings in your email software and a tested handover, checked in the email apps your audience actually uses. You get a review of where your emails stand today, email-safe design rules, your most important building blocks, proof of how the delivered emails really look and a guide for the people who build your emails. Campaign strategy, copywriting, sending live campaigns, fixing whether emails reach the inbox (deliverability) and legal advice are quoted separately, and no one can promise an email will look exactly the same in every inbox.

The eight cards describe the design and build work we own. Your proposal names the types of email, building blocks, email software, email apps, data situations, tests, what your team can edit and upkeep.

Where your templates and production stand today

We list your types of email, existing templates and building blocks, brand and content sources, how emails are produced, users, email software, email app evidence, personalized data, faults, owners and upkeep risk.

Order of information and brand rules for email

We define what the customer needs to decide, the order of real text, proof and action patterns, email-safe colors, fonts, spacing, buttons, images, icons, light and dark mode behavior, content limits and exceptions.

Sturdy HTML that works on any screen

We design and build the approved source files, build tool, table and column system, styles, screen-size rules, stacking on phones, fonts, images, plain text, backups for each email app and an HTML size limit.

Building block library and editor rules

We create reusable header, main banner, text, product, proof, offer, article, event, call-to-action, preferences and footer blocks, with required fields, versions, limits, editing rights and tests for mistakes.

Personalized content, products and translation

We set up customer, event and product catalog data, show-or-hide rules, lists, backups, end dates, long, empty and too-much content, plus rules for languages, right-to-left text, currency, dates, images, links and sensitive data.

Accessibility, dark mode and checks across email apps

We test structure, image descriptions, contrast, clear links, tap areas, reading order, zoom, blocked images, dark mode, fonts, motion, HTML and image size, and how the final email looks in typical email apps.

Launch, guides and upkeep

We keep versions of source files and email software builds, check the delivered email, links and tracking, launch approved changes in stages, keep re-check evidence, train your team and hand over access, step-by-step guides, retirement plans and review ownership.

Inbox preview and sender details

We design how each email looks in the inbox before it is opened: how the sender name, subject line and preview text (the short line shown after the subject) appear, with a backup when preview text is missing, so the first impression matches the email.

Why Softscotch

We design the email and the system that keeps it usable.

The order of information, brand rules, sturdy HTML, editor limits, backups for personalized content, accessibility, checks on the final email and ownership stay connected, from the first brief through to handover.

The list of supported email apps is agreed before design approval

Evidence about your audience, email apps, devices, light and dark mode, images, fonts, accessibility, languages and how critical each email is defines what full, simpler and excluded behavior means.

Key information survives when decoration fails

The key order of information, facts and action stay available through well-structured HTML, useful image descriptions, safe font backups, versions that work with images blocked and a useful plain text version.

Every building block has clear rules

Fields, limits, versions, data, editing rights, backups, allowed order, mistake tests, how it appears in your email software and its owner are written down, not guessed from a screenshot.

Personalized data is tested in every situation

Missing, empty, long, badly formatted, zero, maximum, too many, expired, translated and right-to-left values are all tested before a reusable email can launch.

Checks follow the real sending path

The source, build tool output, email software content, safe live test, delivered email, tracking changes, size, accessibility and typical email app views stay connected.

The design system survives handover

Ownership of source files and email software, versions, test data, re-check evidence, small first use, undo, training, upkeep, retiring old templates and rules for AI are all part of what we deliver.

Basic to advanced

Everything needed to turn a design idea into a reusable email system.

These 36 parts cover what your emails and email apps need, HTML, building blocks, data situations, accessibility, checks on delivered emails, launch, upkeep and safe use of automation.

Strategy, brief and starting point
Right fit and map of email typesDecide whether you need a new design system, an HTML rebuild, blocks native to your email software or a mix, a repair, a move to new software or no template change at all; sort marketing, automated journey, transactional and service emails by job and importance.
Where your templates stand todayList source files, templates in your email software, building blocks, duplicates, scheduled emails that depend on them, users, build time, how often specialists step in, faults, email app evidence, personalized data, ownership and the risk of retiring them.
List of supported email appsBefore design starts, define the email apps you're aiming for, how they handle dark mode and images, and which interactive features they support, using your audience data, email software data and how critical each email is.
Order of content and accurate sourcesMap the approved sender details, preview text, headings, body, proof, offer or status, action, landing page, footer, claims, products, prices, dates, languages and who owns each source.
Brand rules for emailTurn your wider brand rules into colors, fonts, spacing, widths, buttons, borders, backgrounds, images, icons and light and dark choices that email apps support, with named exceptions.
Sign-off, limits and upkeep planThe scope names the templates, building blocks, email software, email apps, data and language situations, accessibility goal, tests, editing rights, what's excluded, approvals, launch, response times and who retires old templates.
Structure, source files and sturdiness
Table-based building blocksBuild sturdy sections with controlled stacking on phones, spacing and backups for email apps that display code differently, using maintained source files and output tested in real email apps.
Templates for each type of emailShare one stable frame and set of blocks, while protecting the different information order, data, urgency, legal text, preferences and error situations of campaign, automated, transactional and service emails.
Real text that survives blocked imagesKeep the order of information, offer or status and action clear when images, web fonts or advanced styling don't load, without hiding filler text or key facts inside pictures.
Matching HTML and plain text versionsThe live sending path must provide a readable plain text version of each email, with the same key information and action, links in a sensible order and no leftover template code showing.
Brand settings, building blocks and editing
Building block and brand settings libraryKeep versions of approved building blocks, content limits, editable fields and retirement rules inside your email software, with source ownership and how updates spread written down.
Content rules for each blockDefine each block's job, required and optional fields, characters, items, image shape and description rules, links, versions, what it depends on, empty, error and too-long situations, and sign-off tests.
What can be edited in your email softwareOpen up only the text, image, link, version, show-or-hide and ordering options your team needs, and protect the structure and required elements using your email software's own tools.
Product and personalized block patternsBuild reusable cards, lists and notices around trusted product IDs, images, titles, prices, currencies, stock, offers, end dates, landing pages and safe backups, rather than perfect sample content.
Screen sizes and accessible use
Stacking on phones and longer textTest narrow screens, columns, order, alignment, spacing, long web addresses, font backups, zoom, enlarged text, longer translated text and content spilling sideways, without boxes of fixed height.
Email accessibility checksTest proper headings, image descriptions (alt text), contrast, reading order, links, buttons and zoom across typical email apps, plus versions with images blocked and in plain text, and accepted exceptions.
Buttons and links that are easy to useKeep the main and secondary actions (calls to action) clearly ranked, use link text that says where it goes, provide sturdy button and text link backups, tap areas big enough for fingers, good spacing and working, visible destinations.
Translation and right-to-left layoutsSet the language and text direction where supported, and test left-to-right and right-to-left text, Chinese, Japanese and Korean characters, long and short copy, dates, numbers, prices, currencies, legal text, images and landing pages for each language.
How email apps display your email
Holding up in dark modeTest colors changed automatically by the email app and colors set by us, logos, see-through images, backgrounds, borders, icons, contrast and differences between apps that can't be avoided, without promising full control everywhere.
Font backupsChoose standard backup fonts that email apps support, compare width, weight, letter height, line breaks and order of information when custom fonts fail, and stop text being cut off or the layout depending on one exact size.
Images, sharp screens and animation backupsSet the format, dimensions, display size, compression, image description, background, first animation frame, reduced motion handling, slow and blocked loading and how long each image is kept, for every visual.
Backups for backgrounds, borders and advanced stylingDesign a useful basic version for email apps that ignore screen-size rules, background images, rounded corners, blend effects or other styling, adding app-specific fixes only when the agreed list of apps justifies them.
Data and function checks before sending
Rules for customer, event and transactional dataBefore adding data to an email, map each placeholder to the right campaign, automated email, event, journey or system connection, its source, type, permitted use, availability, owner and test data.
Testing show-or-hide rules and listsTest true, false, missing, empty, badly formatted, zero, one, typical, maximum, too many, duplicate and unordered cases for every rule and list, within your email software's limits.
Placeholder and link checksCheck default values for personalization, personalized blocks, tracking tags, unsubscribe and landing pages using realistic and broken data, including a safe live delivery test where previews can't show everything.
Fresh product data and end datesCheck the source and age of product, stock, price, currency, offer, image and link data, decide what happens when it's out of date or unavailable, and stop an expired or unsupported item from showing as if it were current.
Production, launch and measuring
Email software, plan and access readinessBefore agreeing the scope, check accounts you own, user roles, account recovery, billing, editor and code features, templates, shared content, personalization code, system connections, test modes and your email software's current limits.
Source, build tool and email software matchKeep versions of the master source and compare the built HTML with what is stored in your email software, rewritten styles, wrappers, copied blocks and editor changes before the email is sent.
Checking the delivered email in email appsCheck the final delivered HTML, plain text, personalized output, links and tracking after your email software has changed them, and capture dated views from typical email apps and accepted differences.
Gmail cut-off and size limitsSet and test careful limits for final HTML size, images and outside requests, duplicate device-only blocks, loading and failure behavior, security certificates and the risk of Gmail cutting off long emails, using the real delivered output.
Visual re-checks, small first use and undoKeep the approved source and screenshots, sort out which differences matter, launch with a safe, limited first use where possible and identify affected emails, stop rules, fixes and undo steps before wider use.
Upkeep, controlled growth and advanced work
Ease of use and mistake testingAsk typical team members to put together normal and difficult emails, measure build time and how often they need help, and test editing, copying, hiding, reordering, duplicating, long and wrong content before handover.
Life cycle of brand settings, blocks and templatesKeep versions of source files and email software assets, approvals and what they depend on; set rules for how updates spread, the effect on drafts and scheduled emails, moving to new versions, retiring, archiving and removing old ones.
Upkeep, unnoticed changes and problem ownershipReview triggers cover changes to brand, email apps, email software, build tools, data, accessibility and legal rules, plus response times, alerts, evidence, fixes, undo and trained owners.
Interactive email, only when it fitsUse AMP for Email or other supported interactive features only with a clear reason, a valid and secure build, sender and server requirements met, email apps that support it and a complete basic HTML and plain text backup.
Build tools and AI with clear rulesAllow layouts, code, images, draft image descriptions and checks made from structured rules or with AI help only from approved sources, with automatic checks, as little data as possible, human approval, versions, a full record, undo, access removal and an off switch.
Design, build and checking tools

The tools change with your email software. The proof we need doesn't.

Figma, the editors built into email software, Mailchimp's template language, Klaviyo's universal content, MJML, SendGrid dynamic templates, Customer.io, Litmus (an email testing tool) and guides to which email apps support which features each see a different stage. None of them proves the final customer experience on its own.

Template review

Our email template audit: seven checks that show the real design and production limits.

Each check links the design to the code, how the editor behaves, live data, email apps, accessibility, launch evidence and a clear decision on who looks after it.

Check 01 | Brief and current templates

Messages, templates and how you produce emails today

We define what the emails must help a customer do, and what your team must be able to build safely.

A polished design file in Figma (a design tool) is not the same as a working template. The check starts with your types of email, the real production work, who owns the source files, your email software's limits and the evidence needed to approve a reusable system.

Types of email messagesList promotional campaigns, newsletters, automated customer journey emails, product alerts, receipts, account emails, service notices and any other versions you need, by purpose and how important they are.
Current templates templatesMap current templates, building blocks, editors, source files, duplicate versions, owners, how often each is used, faults, scheduled emails and the risk of retiring them.
What the customer needs to decide decideBefore any visual design starts, define the order of information, the action, proof, offer or status each type of email must get across.
Brand and content sources sourcesIdentify approved logos, colors, fonts, images, icons, claims, product and price facts, legal footer text, language versions and who owns each source.
How work flows today workflowWatch how briefs, design, copy, images, data, reviews, building in the email software, previews, tests, sending and changes move through your current team.
Scope and sign-off scopeName the templates, building blocks, email software, email apps, versions, who can edit what, tests, handover, upkeep and related campaign, copywriting and deliverability work.
Check 02 | Audience and support

Email apps, devices, light and dark mode, and accessibility check

We build for the email apps and devices your readers really use, instead of claiming one design looks identical everywhere.

Email apps (like Gmail, Outlook and Apple Mail) support features differently and can change colors, layout, images and styles. So the list of supported apps is based on audience evidence, how important each email is and agreed simpler behavior where features aren't supported.

Supported email apps list email appsRank email apps, versions, devices, webmail and mobile apps using your audience and email software data, and mark which features are required, which can show a simpler version and which aren't supported.
Small screens and zoom phonesTest narrow screens, columns stacking on phones, reading order, enlarged text, long copy, buttons, links, spacing, content spilling sideways and things shown only on certain devices.
When images are blocked blockedConfirm the sender, order of information, offer or status, action and key facts still make sense when images and web fonts don't load.
Light and dark mode darkCheck how each email app changes colors, see-through images, logos, borders, icons and contrast in dark mode, using evidence for each app instead of assuming one dark mode rule.
Accessibility goal accessibilityReview proper headings, useful image descriptions (alt text), logical reading order, contrast, clear link wording, tap areas big enough for fingers, zoom, plain text versions and agreed checks with assistive tools like screen readers.
Language and text direction languagesBefore fixing the size of each building block, identify languages, right-to-left scripts (like Arabic or Hebrew), languages with complex characters, date, number and currency formats, longer translated text, and image, link and legal text versions.
Check 03 | Structure and code

Source files, screen-friendly HTML and email format check

We choose the simplest setup that is easy to maintain and still works in the agreed email apps and your sending software.

Layouts that work in a web browser don't automatically work in email. Hand-coded tables, MJML (a simpler code language that converts into email HTML) or similar tools, and the drag-and-drop builder in your email software each have different trade-offs for source files, output, testing and handover.

How templates are built sourceChoose maintained HTML, MJML or another approved source, building blocks native to your email software or a documented mix, based on how exact the design must be, how easy it is to edit, developer effort and ownership.
Table-based building blocks tablesCheck the outer frame, rows, columns, stacking on phones, spacing, alignment, backgrounds, special handling for Outlook and backup behavior for reusable sections.
Styling and backups for each app stylesReview styles written into the code (CSS), which styling rules each app supports, screen-size rules, reset styles, app-specific fixes and a useful basic version when a feature is ignored.
Fonts and longer text fontsTest standard and custom font backups, line spacing, font weight, line breaks, real text, long web addresses, narrow columns and translated copy, without boxes of fixed height that cut text off.
HTML and plain text versions plain textCheck that your sending software creates a useful plain text version of each email that gives the same key information and action as the designed HTML version.
Code size limit sizeMeasure the built and delivered HTML, repeated styles, duplicate phone-only sections, notes in the code, changes added by tracking and the risk of Gmail cutting off long emails, against a careful size limit for the project.
Check 04 | Building blocks and editor

Brand settings, building blocks and email editor check

We give the people building your emails useful freedom, without turning every campaign into an uncontrolled blank page.

A library of building blocks only works when each block has a job, clear content rules, limits on what can be edited, a backup, a version in your email software and a person who looks after it.

Brand settings (design tokens) settingsTurn approved email-safe colors, fonts, spacing, widths, borders, rounded corners, buttons, images and dark mode backups into named settings, each with an owner.
List of building blocks blocksDefine the main banner, text, image, product, proof, offer, article, event, call-to-action button, divider, spacer, header, preferences and footer blocks needed for each type of email.
Content rules rulesSet required and optional fields, character and item limits, image shapes, image description rules, links, versions, the data each block relies on and what happens when content is empty or too long.
What can be edited editingLock the structural code and open up only the agreed text, image, link, style and ordering options, using your email software's own blocks, shared content features or template language.
Testing for mistakes misuseBuild normal, minimum, maximum, empty, repeated, reordered, hidden, wrong and copied versions to see how a non-technical team member can use the system, or break it.
Versions and updates versionWrite down whether changing a shared block updates every email that uses it, needs to be unlinked or is copied into each email, and how drafts, scheduled sends and retired versions are protected.
Check 05 | Personalized content

Personalization, products, show-or-hide rules and translation check

We test every important data situation, instead of previewing one perfect customer and one complete product.

Customer, event, product and language data can differ by type of email and by email software. A template needs clear rules for values that are missing, out of date, too long, badly formatted or too many.

{}
Where each piece of data comes from dataMap every customer, event, journey, transactional and product catalog field to the email it appears in, its data type, source, owner and permitted use.
Backup rules backupsDecide whether to show a default, leave it out, use another block or stop the send when a value is missing, empty, badly formatted, unsafe or not allowed to be used.
Show-or-hide rules and lists logicTest both sides of every show-or-hide rule, and lists with zero, one, a typical number, the maximum and too many items, nested details, order, duplicates and your email software's limits.
Accurate products and content productsBefore showing a product card, check the product ID, title, image, price, "was" price, currency, stock, offer, end date, link and how fresh the data is.
Translated versions languagesTest language and text direction, long and short copy, Chinese, Japanese and Korean characters and right-to-left scripts, date, number, price and currency formats, plurals and links and images for each language.
Privacy and data exposure privacyKeep sensitive details out of visible content, image descriptions, image web addresses, link tracking, tracking fields, test data and outside design or AI tools, unless clearly approved.
Check 06 | Display and function

Delivered email, display, accessibility and size check

We test the email people actually receive, not only the design file or the editor screen.

Your email software can rewrite styles, wrap the code, change links, add tracking and fill in personalized content after the designer's version was approved. Final sign-off needs evidence from a delivered email.

Does the delivered email match? matchCompare the master source, the built HTML, what is stored in your email software, the preview and the final delivered email after styles, wrappers, tracking and personalized content are added.
Screenshots from email apps screenshotsCapture the approved set of light mode, dark mode, desktop, phone and older or workplace email apps, with the date, app version, test email and accepted differences.
Personal details and link checks final checkUse realistic data and check placeholders like first name (merge tags), show-or-hide rules, links, redirects, tracking tags, preferences, unsubscribe, "view in browser" and landing pages in a test that is safe to run live.
Accessibility checks accessibilityCheck the code structure and the reading order people see, image descriptions, contrast, links, buttons, zoom and typical screen reader or text-only use, with the limits clearly stated.
Email size and image loading sizeMeasure the final HTML size, the risk of Gmail cutting the email off, image dimensions and file sizes, loading, blocked images, security certificates, caching and what happens when outside images load slowly or fail.
Backups for advanced features backupCheck the first frame of animations, reduced motion settings where supported, background images, web fonts, interactive or AMP versions, and full basic HTML and plain text backups.
Check 07 | Launch and upkeep

Versions, launch, re-checks, handover and AI rules check

We keep your email system reliable after the first campaign, and after the person who built it has left the project.

Shared templates can affect many live and scheduled emails. Launch evidence, ownership, monitoring and retiring old templates are part of what we deliver, not optional paperwork.

Launch record recordRecord the source and email software versions, brand settings, building blocks, supported email apps, test data, images, links, approvals, tests, exceptions and remaining risk.
Small first use and undo first useWhere possible, first send to your own team, a preview list or a limited group, and agree how to stop, restore, correct and find every affected email before wider use.
Visual re-checks re-checkKeep the approved screenshots and compare them after important changes to source files, build tools, email software, brand settings or email apps, with a named person deciding which differences matter, instead of accepting every small change blindly.
Guides and training handoverHand over the catalog of building blocks, field limits, test data, build steps, how to use your email software, a quality checklist, known differences, who to contact about problems and access that you control.
Upkeep and retiring templates upkeepSet triggers for a review when email apps, software, brand, products, legal rules, accessibility, building blocks or source files change, plus response times, retiring old versions and who owns the archive.
AI with clear rules AILimit AI-made designs, code, images and draft image descriptions to approved inputs, with automatic checks, human review, saved versions, as little access as possible, undo and an off switch.
What changes

From a fragile mockup to reusable building blocks tested through your real sending software.

Before

Your team has a polished mockup or one flexible template, but every new send needs a specialist to fix it, and it can break when inboxes, data or editing conditions change.

  • The mockup is the only specificationLimits from inboxes, email software, data, accessibility and the editor only show up after the design is approved, forcing a late redesign or fragile code.
  • One flexible template does everythingUnlimited styles and editable areas let each person create a new layout, break the brand rules and cause display faults.
  • The preview is treated as proofMissing values, final link changes, blocked images, dark mode, Gmail cutting off long emails and differences between real email apps stay hidden until the email is delivered.
Changes

Softscotch agrees which email apps and data matter, turns your brand into email-safe rules, builds limited building blocks and tests the result through your actual sending software.

  • The content decides which block to useThe email's purpose, order of information, proof and action decide which approved pattern to use, instead of forcing every campaign into one visual shell.
  • Editors change only the safe fieldsText, images, links, versions and allowed ordering are opened up on purpose, while structure, styles and required elements stay protected.
  • Sign-off is based on the delivered emailThe final personalized output, the delivered email, links, size, images, accessibility and typical email app views are checked together.
After

You have a reusable template library, known backups for each email app, a guide for your team, evidence from re-checks and owners for updates, fixes and retiring old templates.

  • Shared changes have an impact planBefore a shared block, build tool or style update goes live, we find the drafts and live emails it affects and keep a version to go back to.
  • Differences between email apps stay visibleNew display evidence updates the list of supported email apps and accepted backups, instead of bringing back a promise that emails look identical everywhere.
  • The system teaches the next personBlock instructions, sample data, build rules, known exceptions and upkeep triggers survive changes in your team and suppliers.

These columns separate our template design and HTML work from decisions that belong to others: campaigns, copy, email software, product, deliverability, accessibility, legal, privacy, security and operations.

We do the work

The agreed email design, HTML, email software setup and production quality system.

  • Review your types of email, current templates, how emails are produced, email app evidence and existing faults
  • Turn approved brand and content rules into email-safe brand settings, information order and specifications for each block
  • Design and build templates that work on any screen, building blocks, HTML or approved MJML source, and the versions in your email software
  • Set up backups for personalized content, products, languages, images, fonts, dark mode, accessibility and features that aren't supported
  • Run final checks on the source, the delivered email, links, placeholders, size, accessibility and typical email apps
  • Deliver versions, launch evidence, a building block guide, test data, training, upkeep and handover
We coordinate

The things that sit outside the template and email editor.

  • Work with the owners of campaigns, automated journeys, copy, content, offers, translation and landing pages
  • Work with the owners of brand, graphic design, photography, illustration, icons and image production
  • Work with the owners of your email software, CRM, online store, product, transactional email connections (APIs), product catalog and engineering
  • Work with the owners of deliverability, sender settings, tracking, preferences, unsubscribe and analytics
  • Work with the owners of accessibility, privacy, legal, compliance, security and regulated content
  • Work with customer support, operations, sales and product owners on critical results and problems
You review and sign off

Your business keeps the final say on brand, content, data and risk.

  • Approve brand rules, order of content, the purpose of each email, claims, offers, proof and required disclosures
  • Confirm your audience, which email apps come first, languages, accessibility goal and accepted simpler behavior
  • Own the accuracy of customer, event, product, price, stock, language, landing page and legal footer data
  • Keep ownership of email software, domains, source code, images, admin access, billing, account recovery and security
  • Approve use of personal data, sensitive fields, interactive features, AI tools and specialist exceptions
  • Accept the final versions, known differences between email apps, upkeep costs, launch risk and final business decisions
How it fits together

How email design works: source files, building blocks, data and real inbox evidence, all connected.

The system connects the list of supported email apps, brand settings, HTML that works on any screen, editor rules, personalized content, accessibility, checks on the delivered email, re-checks, training and upkeep.

What to expect

Your email design timeline, and the full growth plan.

Over a first six-week cycle, email design moves from evidence and limits to an approved design system that is ready to build and use. How ready your content is, the number of review rounds and your email software's limits decide the final handover date. This work sits inside the six-month Softscotch growth plan shown below.

Email design, from brief to handover

Days 1–3

Where your templates stand today

List your types of email, templates, email software, source files, building blocks, images, data, the people who build emails, how emails are produced, scheduled emails that depend on them, faults and owners.

KPI Template starting point
Week 1

Email-safe brand and content rules

Map the order of information, real text, actions, proof, product and service facts, colors, fonts, spacing, images, dark mode backups, content limits and approvals.

KPI Approved design rules
Weeks 1–2

Building your most important templates and blocks

Build and document the approved header, main banner, text, image, product, proof, offer, article, event, call-to-action, preferences and footer blocks, with rules for safe editing.

KPI Reusable block library
Weeks 2–4

Testing the delivered email

Compare the source, built output, email software content and final delivered email, then test links, tracking, preferences, personalized data, plain text, HTML size, images and anything loaded from outside.

KPI Delivered email evidence
Weeks 4–6

Careful first use

Use the templates once in an approved, limited way, check the final output and what happens next, keep screenshots to compare against, sort differences and confirm fixes and undo work.

KPI First-use decision
Week 6

Handover to your team and next decision

Hand over source files, access, building blocks, design rules, sample data, tests, evidence, known limits, training, response times, upkeep, retiring old templates and decisions on related work.

Our full growth plan (all services together), month by month

Month 1

Foundation and review

We review your whole website, where you rank and your competitors, agree how the site should be organized, and set up hosting, analytics (visitor tracking) and your GoHighLevel lead system. The first agreed pages start going live.

KPI pages live
Month 2

Build and launch

The site is built or rebuilt. Main, service and industry pages go live with on-page SEO, website labels and technical fixes. Your Google Business Profile is improved and lead follow-up automations are switched on.

KPI pages in Google
Month 3

Early rankings, paid ads start

More pages built from templates (programmatic pages) start going live, paid ads and email follow-ups are switched on for early leads, and Google adds your pages to its results as the first rankings usually appear.

KPI search terms ranking
Month 4

Momentum builds

Rankings often start climbing, visits from free search begin to rise, ad spending is tuned to the return it brings (ROAS, return on ad spend), and groups of related articles and links from other sites build your reputation with Google.

KPI visits from search
Month 5

Results start to show

Main search terms can move closer to page one, the first leads from free search often arrive, AI tools may begin to mention you, and testing improvements to your pages (CRO, conversion rate optimization) helps more visitors get in touch.

KPI leads from search
Month 6

Growth builds on itself

Pages that are working are protected and improved, template pages bring in visitors searching for very specific terms, and SEO, ads, email and automation work together to bring steadier leads and sales. Timing varies by market and competition, and no ranking is guaranteed.

KPI leads and sales
How we compare

How we compare with a typical email design agency: our emails hold up with real email apps, real data and real teams.

The difference shows in an agreed list of supported email apps, real text that holds up, building blocks with clear limits, test data for every situation, checking that the delivered email matches, accessibility evidence, size limits and upkeep with a named owner.

The risk of using a different agency for everything
  • Treats a Figma design or a set of cut-up images as the full email specification
  • Promises pixel-perfect display in every inbox without an agreed list of supported email apps
  • Calls one desktop and one phone preview a test across email apps
  • Creates one highly editable template that lets every campaign drift away from the system
  • Puts text and buttons inside images, so they disappear when images are blocked
  • Checks one perfect customer profile while missing data, lists, long copy and out-of-date products go untested
  • Calls an email "dark mode ready" as if every email app changed colors the same way
  • Judges accessibility on image descriptions and contrast alone, without checking structure, reading order, zoom or real email apps
  • Approves the source HTML before the email software rewrites styles and links, adds tracking and makes other changes at sending time
  • Hands over files without versions, block limits, tests for your team, plans for retiring templates or an owner for upkeep
vs
Softscotch
  • Starts from your types of email, what the customer needs to decide, your email software, email app evidence and how you produce emails
  • Defines full, simpler and unsupported behavior for each email app, feature and level of importance
  • Tests the source, the built code, the email software version, live data, the final delivered email and typical inbox views as separate steps
  • Builds limited building blocks with a clear job, fields, versions, limits, backups and editing rights
  • Keeps the key information, facts and action in real text, useful image descriptions and plain text versions
  • Tests missing, empty, long, badly formatted, zero, maximum, too many, translated and expired product data
  • Designs emails that hold up in light and dark mode while writing down the limits of each email app
  • Tests proper structure, image descriptions, color contrast, clear links, tap area size, reading order and zoom
  • Checks final links, tracking, personalized content, size, Gmail cut-off, images and accessibility after delivery
  • Hands over source files, brand settings, building blocks, test data, evidence, training, re-checks, retirement plans and named owners

Ethical, transparent, always on

One accountable team, strictly white-hat (only methods search engines and platforms allow), no shortcuts and no surprises. Support whenever you need it.

One plan, full-stack access

One Softscotch plan gives you access to the full service stack, coordinated around your priorities.

You do not need a separate agency or retainer for every channel. Your plan can draw from search, paid media, web, ecommerce, outreach, automation, lead generation, messaging, content, creative and operations. The agreed scope sets what is active, in what order and at what capacity.

Pricing approach

One price for everything, not a stack of separate retainers.

You get one price for your whole marketing, not a separate retainer for every service. SEO, paid ads, your website, automations, cold email and newsletters, we run all of it as a single scope, so you get the most result for what you pay. Agencies sell each of these on its own, so the invoice climbs whether or not that line drives a single lead.

Bought separately, service by service

A different agency or retainer for each service. The bill stacks up fast, and keeps climbing whether or not each one moves a single lead.

Questions, answered

Email design services FAQs: what to know before hiring an email design specialist.

These answers cover what's included, HTML, email software, building blocks, differences between inboxes, dark mode, accessibility, personalized content, testing, ownership, interactive email, timing, pricing and measuring results.

Filter
What is included in email design services?

The work can include a review of your templates and how you produce emails, a list of supported email apps, how emails look in the inbox before they are opened, the order of information, email-safe brand settings, HTML that works on any screen, a library of building blocks in your email software, personalized and product versions, translation, accessibility, display and function checks, HTML and image size limits, versions of source files and templates, training, handover and upkeep. Your proposal names the exact types of email, building blocks, email software, email apps, data situations and ongoing support.

Is this email design, HTML development or both?

It can be either or both. Some teams need an approved design and block specification for their own developer. Others need the source code, built HTML, blocks made in their email software or a mix, plus checks on the delivered email. We keep design approval separate from build approval, so a polished mockup is never mistaken for an email that's ready to send.

Which email platforms can you build templates for?

We can plan work using the email software's own tools, custom HTML or a mix, for systems such as Klaviyo, Mailchimp, Customer.io, Braze, HubSpot, SendGrid and other email or transactional email platforms. Features, plans, editors, template languages, how shared content updates and system connections (APIs) all change over time. We check your current account and the latest documentation before promising a feature, and naming a platform doesn't mean we're its partner.

Should we use custom HTML, MJML or the ESP drag-and-drop editor?

It depends on how exact the design must be, which email apps you support, how much blocks are reused, your team's skills, who owns the source files, your email software's limits, personalized data and how much upkeep you can handle. Custom HTML, or HTML built with a tool like MJML, gives more control over structure but needs a developer and someone to own re-checks. Drag-and-drop builders in your email software (ESP) make day-to-day editing easier but can limit the code and how changes spread. A mix can work well when the boundaries are clear.

How many templates and modules do we need?

There is no useful standard number. We first map your different types of email and what the content needs to do, then reuse building blocks (modules) across promotions, newsletters, automated journeys, product, event, receipt, alert and service emails wherever the same rules truly fit. The proposal separates the basic frame, building blocks, complete templates, language versions and transactional versions, so the quantities can be compared fairly.

Will the email look identical in every inbox?

No. Email apps, their versions, user settings, screen size, image loading, fonts and security tools can all change how an email looks. We agree a list of supported email apps, define acceptable simpler behavior and test a typical set. We can commit to the agreed evidence and fixes, not to identical pixels in every inbox we haven't seen.

Can you make a template fully dark-mode compatible?

Dark mode isn't one single thing. Some email apps follow the color instructions in the code, some change colors themselves and some give you very little control. We choose colors, logos, see-through images, borders and contrast that hold up, test the agreed set of email apps and write down the differences that can't be avoided. We don't sell dark mode compatibility as a simple yes-or-no guarantee for every inbox.

Do you make emails accessible and legally compliant?

We can build to an agreed accessibility goal based on WCAG (the international web accessibility guidelines) and adapted for email, including real text, useful image descriptions, structure, reading order, contrast, clear links, tap area size, zoom, blocked images and plain text, then test typical ways people use them. Support differs between email apps, and this work isn't a legal opinion or a certificate of full compliance. The accessibility and legal owners you authorize approve the goal and any exceptions.

Do you build image-only or fully sliced emails?

We usually keep the key information, facts and actions in real text and HTML, because images can be blocked, slow, changed by the email app or unreadable for people using screen readers. Cut-up images can suit limited artwork when the email still works without them, files are kept small, image descriptions are useful and the agreed email apps accept the trade-off. We don't hide filler text to make up for an image-heavy design.

Can templates include personalization, dynamic products and conditional blocks?

Yes, when your email software and data support them. We map each customer, event, product and language value to where it's used, its source, type, backup and owner, then test missing, long, badly formatted, zero, typical, maximum, too many and expired values. A template can't make an unreliable product feed, a wrong price or unsafe data trustworthy just by styling it.

How do you test merge tags, links and live data?

We use realistic test data for customers, events, products and languages, previews in your email software and safe live tests where needed. We check show-or-hide rules, lists, defaults, links, redirects, tracking tags, preferences, unsubscribe, "view in browser", landing pages and the final delivered email. A preview may not show every live placeholder (merge tag), discount code, tracking or link behavior, so we write down how sign-off will work.

Do you include a plain-text version?

We check that your sending software creates a useful plain text version with the key information and action, or name the person responsible for it. Under the official email standards, an email can carry the same content in more than one format, such as designed HTML and plain text. Text created automatically by your email software can still need review, because menus, tracking, personalized values and visual order may not translate well.

Can you build interactive or AMP emails?

Only when it fits. AMP for Email (a format that lets people take actions inside the email) needs email apps that support it, an extra valid version of the email, sender registration with Google for Gmail, properly secured sending, supported components, secure connections, validation and a complete basic HTML or plain text backup. Interactive tricks built with styling code (kinetic CSS) also only work in some email apps. We only quote for these when the value to customers justifies the engineering, security, privacy and upkeep costs.

Who owns the source files and platform templates?

The proposal states how templates are built, where the files are stored, the build tool, images, templates in your email software, your accounts and any outside licenses. Your accounts, domains, data and the final approved work stay under your control. We give you access and a full handover, without claiming a special Softscotch email builder or taking permanent ownership of your sending system.

What does rendering QA actually include?

Rendering QA means checking how your email really displays. It can include checking the source and build tool output, previews in your email software, realistic data, the final delivered email, desktop and phone, light and dark mode, blocked images, web font and animation backups, HTML and image size limits, links, tracking, accessibility and screenshots in the agreed set of email apps. The list of apps, versions and accepted differences are part of the evidence.

How long does an email design system take?

When example emails, approved brand sources, email software access, audience and email app data, data fields and decision makers are ready, the first useful thing you get is a review of your templates and production within three business days. Email-safe design rules usually follow in week one, your most important building blocks in weeks one to two, testing of delivered emails in weeks two to four and a careful first use by weeks four to six. Systems with several brands, several languages, transactional emails or a lot of personalized content take longer.

How much do email design services cost?

Our fee reflects your types of email, complete templates and building blocks, how complex the design and HTML are, email software, the list of email apps, personalized and product versions, languages, accessibility goal, how much display testing is needed, source and build tool work, setup, training and upkeep. Email software, testing tools, fonts, stock or custom images, translation, legal, accessibility specialist, platform and interactive email costs stay separate unless clearly included.

How do you measure whether the new email design works?

We measure time to build an email, how often blocks are reused, how often a specialist has to step in, coverage of fields and data situations, display and accessibility faults, link and placeholder failures, HTML and image size, faults after changes, time to fix and how easily your team uses it. Campaign results can be analyzed when the brief and a fair test allow it, but revenue credited to an email, or a change in clicks, doesn't on its own prove the template caused the result, and we don't guarantee performance.
