Website Maintenance Services
Website maintenance services that keep your site safe, fast, backed up and working, so you can get on with running your business.
We'll reply with a written proposal: the work, what we need from you and an estimated timeline.
Signs your website needs maintenance
Websites rarely fail all at once. They slowly fall behind: updates pile up, a form stops sending, a renewal is missed or a plugin gets hacked. By the time a customer tells you, you may have lost calls or orders for weeks. These are the six warning signs we see most often.
Updates keep piling up
Your dashboard shows a long list of waiting updates. Nobody runs them because last time an update broke the site, so the software gets older and less safe every month.
It was hacked, or you're worried it will be
Old plugins (add-ons) and weak passwords are the most common way in. You may see strange pages, spam links, warnings in Google or a hosting company shutting the site down.
Forms and buttons quietly stopped working
A contact form sends to an old email address, a booking link is broken or the checkout fails, and you only find out when a customer complains or the inquiries dry up.
It's slow, or it goes down
Pages take a long time to load, or the site is sometimes offline and nobody notices for hours. Visitors leave, and Google's speed measures (Core Web Vitals) mark it as a poor experience.
A renewal was missed
The SSL certificate (the padlock that shows the site is secure) expired, or the domain or hosting nearly lapsed, and browsers started warning visitors to stay away.
Nobody owns the job
The person who built the site has moved on, no one knows the logins or where backups are, and small edits sit on a to-do list for months.
What our website maintenance services include
Website maintenance is the regular care a website needs after it goes live: updating the software it runs on, taking backups, checking security, fixing broken parts, making small edits and keeping it fast. Softscotch offers website maintenance services for small and growing US businesses on WordPress, Shopify and other platforms. We test every update before it reaches your live site, keep backups we have actually tried restoring, watch for downtime and hacks, and send you a short monthly report in plain English. You keep ownership of the domain, hosting and every login. We also build websites, so we know how they break and how to keep them running.
Eight areas of care cover the software, the backups, security, uptime and speed, the parts customers use, renewals and a monthly report. Your care plan spells out how often each task happens, how much editing time is included, how urgent fixes are handled and any outside costs.
Tested core, plugin and theme updates
We update the main software (core), plugins (add-ons) and theme (the design layer) on a test copy first, check the key pages and forms, then update the live site and keep a way to roll back.
Backups and restore tests
We set up regular automatic backups kept away from your hosting account, and test-restore them from time to time, so we know your site can actually be brought back if something goes wrong.
Security monitoring and malware cleanup
We watch for hacking attempts, unsafe plugins and malware (harmful code planted on your site), tighten logins and settings, and clean up and secure the site if it's ever hacked.
Uptime monitoring and speed checks
Automated checks visit your site at regular intervals and alert us if it goes down (uptime monitoring). We also check page speed on phones and fix the common causes of slow pages.
Broken links, forms and checkout
We test contact forms, booking links, call buttons and checkout, scan for broken links and fix what's broken, so customers can always reach you or buy from you.
Small content edits
Send us small changes, such as new hours, a staff photo, a price list or a blog post, and we make them. Your plan states how much editing time is included each month.
SSL, domain and hosting renewals
We track when your SSL certificate, domain and hosting are due to renew and remind you in good time, so nothing expires by surprise. The accounts stay in your name.
Accessibility, SEO health and monthly reports
We run regular accessibility and SEO health checks using Google Search Console (Google's free tool for site owners), flag problems early and send a plain-English report every month.
Why business owners choose our website maintenance company
Good website maintenance is quiet. Updates are tested before they go live, backups are proven to work, problems are caught before customers notice, and you get a clear record of what was done. We also build websites, so we look after yours the way we look after our own.
Every update tested first
We test updates on a copy of your site before they touch the live one, so a bad update doesn't take your site down in the middle of a working day.
Backups we've actually restored
A backup is only useful if it works. We keep copies away from your hosting account and test-restore them, so recovery is a plan, not a hope.
We build websites too
We have a real website design portfolio, so we understand how sites are put together, what tends to break and how to fix it properly instead of patching over it.
You own everything, always
Your domain, hosting, website files and every login stay in your name. If you ever leave us, you take the whole site with you, with no exit fees and no hostage situations.
Plain-English reports
Every month you see what we updated, what we fixed, what we found and what needs your decision, without having to read technical logs.
We check what happens after the click
A working website only matters if inquiries reach you. We test forms, call buttons and booking links regularly and make sure each lead still lands in the right inbox or CRM.
Our free website health check: 7 things we check first
Send us your website address and we'll check how well your site is being looked after today. Each check shows what we found, why it matters and what we would do about it. Sometimes the honest answer is that a few one-off fixes are all you need.
Updates and software
We check the versions of your platform, plugins, apps and theme, and how long it has been since anything was updated.
Out-of-date software is the most common reason small business sites get hacked. Updating everything at once without testing is the most common reason they break.
Backups and recovery
We look at how your site is backed up today, how often, where the copies are kept and whether anyone has ever tested restoring one.
Many owners find their only backups are stored on the same hosting account as the site. If that account is hacked or closed, the backups go with it.
Security and hacks
We scan your site for signs of malware and check the common ways hackers get in, such as weak logins and unsafe add-ons.
No website can be made impossible to hack. Good maintenance makes it much harder, spots problems early and has a clear plan for cleaning up if it happens.
Uptime and speed
We check whether anything is watching for downtime today and test how quickly your main pages load on a typical phone.
A speed score is a guide, not the goal. We care about how quickly a real visitor can read the page and tap the button.
Forms, links and content
We test the forms, buttons and links a customer would use, and look for pages that are broken or out of date.
We often find forms that send to an old email address or straight to spam. A fast, secure site that loses inquiries helps no one.
Accessibility and SEO health
We check key pages against the WCAG 2.2 AA accessibility guidelines and look at your site's health in Google Search Console.
Accessibility helps every visitor. We report what we tested. We don't give legal advice or promise you'll never receive a complaint, and maintenance can't guarantee rankings.
Renewals and ownership
We check who owns your domain, hosting and key accounts, and when each one is due to renew.
Many owners discover during this check that their domain or hosting is in an old designer's name. We help you get control back before we take over the care.
What changes when your website is properly maintained
First we record the state of your site today, who owns each account and what needs fixing urgently.
- Starting pointSoftware versions, backups, security, uptime, speed and forms are checked, so you can see what improves.
- Keys and accountsDomain, hosting, website admin, analytics and any old agency access are listed and moved into your name if needed.
- Urgent fixesAnything risky, such as a broken form, an expiring renewal or signs of malware, is flagged and fixed first.
In the first weeks we take a fresh backup, bring the software up to date safely and switch on monitoring.
- Safe catch-up updatesOverdue updates are tested on a copy of your site, then applied to the live site in a careful order with a backup ready.
- Backups that workAutomatic backups are stored away from your hosting account, and one is test-restored to prove it works.
- Monitoring switched onUptime alerts, security scans and form tests are set up, so problems are caught early instead of reported by customers.
After setup, your site gets regular care on a set routine, with a short report so you always know where things stand.
- Regular routineUpdates, backups, security scans, speed checks and form tests happen on schedule, without you having to ask.
- Edits handledSmall content changes you send are made within the editing time in your plan, and bigger jobs are quoted first.
- Clear reportEach month you see what was done, what we found, what's due to renew and what we suggest improving next.
Website maintenance for small businesses, contractors, law firms and online stores
A plumber can't afford a broken call button at 7am. A law firm's intake form must keep working and stay private. An online store loses money every minute checkout is down. We shape the care plan around what your site does for your business and what would hurt most if it stopped.
Website maintenance for small businesses
Owners need a site that stays safe, works on phones and can be updated quickly, without learning the technical side.
General contractors and construction companies
Quote forms and project galleries must keep working, and licensing and insurance details must stay current.
Home services and trades
Customers often search in a hurry on their phone. A broken call button or slow page sends them to a competitor.
Roofing companies
After a storm, traffic jumps and the site must stay up, load fast and show current inspection and claim information.
HVAC and plumbing businesses
Emergency call buttons, booking tools and seasonal offers need to work and stay current all year.
Website maintenance for law firms
Intake forms must keep working and stay secure, and page wording must follow lawyer advertising rules (ABA Model Rules 7.1 to 7.3 and your state bar). We work with your firm on any changes to claims or disclaimers.
Website maintenance for nonprofits
Donation pages, event pages and volunteer forms must keep working, often looked after by busy staff or volunteers. We also manage Google Ad Grants for eligible nonprofits.
Clinics and healthcare practices
Patient privacy rules (HIPAA) affect forms, booking tools and tracking on health pages. We work with your compliance team so updates and new tools don't expose patient details.
Real estate agents and brokerages
Listing feeds, agent profiles and area pages need regular updates, and wording must follow Fair Housing rules. We work with your broker or compliance contact on anything sensitive.
Insurance agencies
Product page changes may need carrier approval and must follow state insurance rules. Quote forms that lead to calls or texts need proper consent under the TCPA (the US law on calls and texts).
Online stores
Every minute checkout is broken costs sales. Store apps, payment tools and product data need careful, tested updates.
B2B and professional services
Buyers research for weeks and judge you on detail. Old case details, broken downloads or a slow site cost trust.
Who does what in your care plan
Your care plan lists what Softscotch looks after, which outside companies we deal with for you, and what stays with you, such as owning the accounts, paying renewals and approving bigger changes. Clear roles mean nothing falls through the cracks.

How we take over your website maintenance
Most sites move onto a care plan within the first two to four weeks, once we have the logins and a named contact. We start with a full health check and a fresh backup, fix anything urgent, then settle into a regular monthly routine. Sites with a lot of overdue updates, a past hack or custom code can take longer to settle.

Foundation and review
We review your whole website, where you rank and your competitors, agree how the site should be organized, and set up hosting, analytics (visitor tracking) and your GoHighLevel lead system. The first agreed pages start going live.
KPI pages liveBuild and launch
The site is built or rebuilt. Main, service and industry pages go live with on-page SEO, website labels and technical fixes. Your Google Business Profile is improved and lead follow-up automations are switched on.
KPI pages in GoogleEarly rankings, paid ads start
More pages built from templates (programmatic pages) start going live, paid ads and email follow-ups are switched on for early leads, and Google adds your pages to its results as the first rankings usually appear.
KPI search terms rankingMomentum builds
Rankings often start climbing, visits from free search begin to rise, ad spending is tuned to the return it brings (ROAS, return on ad spend), and groups of related articles and links from other sites build your reputation with Google.
KPI visits from searchResults start to show
Main search terms can move closer to page one, the first leads from free search often arrive, AI tools may begin to mention you, and testing improvements to your pages (CRO, conversion rate optimization) helps more visitors get in touch.
KPI leads from searchGrowth builds on itself
Pages that are working are protected and improved, template pages bring in visitors searching for very specific terms, and SEO, ads, email and automation work together to bring steadier leads and sales. Timing varies by market and competition, and no ranking is guaranteed.
KPI leads and salesHow to choose a website maintenance company
Before you sign up for any website maintenance plan, ask how updates are tested, where backups are kept and whether they've been restored, what happens if the site is hacked, how fast urgent problems are handled, how much editing time is included and who owns the accounts. The list below shows common warning signs and what a good provider should offer instead.
- Runs every update straight on the live site and hopes for the best
- Says "we take backups" but has never tried restoring one
- Keeps backups only on the same hosting account as the site
- Charges extra or walks away when the site gets hacked
- Gives no clear answer on how fast urgent problems are handled
- Includes "unlimited edits" with no clear limit or timeline
- Never checks whether forms, booking or checkout still work
- Lets SSL, domain or hosting renewals lapse without warning
- Holds your domain or hosting in the agency's own name
- Sends no reports, so you can't tell what you're paying for
- Tests updates on a copy of your site before the live one
- Test-restores backups so we know recovery actually works
- Stores backups away from your hosting account
- Includes security monitoring and a clear plan for hacked sites
- Agrees response times for urgent problems in your care plan
- States how much editing time is included and how bigger jobs are quoted
- Tests forms, call buttons, booking and checkout regularly
- Tracks renewal dates and reminds you well before they're due
- Keeps your domain, hosting, site and every login in your name
- Sends a plain-English report of what was done every month

Website maintenance FAQs
These answers cover what website maintenance is, what's included, cost, care plan levels, WordPress and Shopify, hacked sites, urgent fixes, backups, content edits, ownership, doing it yourself and how to choose a provider.
What are website maintenance services, and what's included with Softscotch?
Website maintenance is the ongoing care a site needs after it goes live. With Softscotch, it can include tested core, plugin and theme updates, backups with restore tests, security monitoring and malware cleanup, uptime monitoring, speed checks, broken link and form fixes, small content edits, SSL, domain and hosting renewal tracking, accessibility and SEO health checks and a monthly report. Your care plan lists exactly what's included and how often.
How much does website maintenance cost?
It depends mostly on the platform, the size of the site, the number of plugins or apps, whether it takes payments or bookings, how often it's checked, how much editing time you want and how quickly urgent problems must be handled. A small brochure site costs less to look after than a busy online store or a site with custom features. Outside costs, such as hosting, your domain, paid plugins or a Shopify plan, are separate. Request a quote and we'll send a scoped care plan.
What's the difference between website maintenance plans?
Care plans usually step up in three ways: how often updates and checks happen, how much editing time is included and how fast urgent problems are handled. A basic plan suits a simple site that rarely changes. A middle plan adds more editing time and more frequent checks. A higher plan suits online stores and busy sites that need faster response and closer monitoring. We suggest a level after the free health check.
Do you maintain WordPress, Shopify and other platforms?
Yes. WordPress needs the most hands-on care, because you or your host look after the core software, plugins, theme, backups and security. Shopify handles the core software, hosting and security itself, so maintenance focuses on apps, theme updates, checkout tests, speed and content. For other platforms, such as Squarespace, Wix, Webflow or custom-built sites, we check what we can access and tell you honestly what we can look after.
What happens if my website is hacked?
If a site on our care plan is hacked, we take it offline or limit the damage where needed, find and remove the harmful code, close the way in, change passwords, ask Google to remove any warnings and restore from a clean backup if that's quicker and safer. If your site was hacked before you joined, we can clean it up as a one-off job first. No site can be made impossible to hack, but good maintenance makes it much less likely.
How quickly do you respond to urgent problems?
Urgent problems, such as the site being down, hacked or unable to take orders, are handled before routine work. Your care plan states how quickly we respond to urgent problems and to normal requests, and how to reach us. Higher plans include faster response for sites where downtime costs the most, such as online stores.
How often should a website be maintained?
Most business sites need some care every month. Security updates should go on soon after they're released, backups should run at least weekly or daily for busy sites, and uptime should be checked automatically all the time. Forms, speed and links are worth testing monthly. Sites that change often or take orders need more frequent care.
Do website maintenance services include content updates?
Yes, small ones. Your plan includes a set amount of editing time each month for changes such as new hours, prices, photos, staff bios or blog posts. Bigger jobs, such as new pages, a new section or a redesign, are quoted separately before we start, so there are no surprise bills.
Will I still own my website and logins?
Yes. Your domain, hosting account, website files, admin logins, Google Analytics and Search Console stay in your name, and Softscotch is added only as a user. If you ever leave, you remove our access and keep everything. If an old designer holds any of your accounts, we help you move them into your name first.
Can I maintain my website myself instead of hiring someone?
You can, especially for a small, simple site. You'll need to run and test updates, keep off-site backups and test them, watch for security problems, check forms and links, track renewals and fix whatever breaks. Many owners start this way and hire help when the time, risk or stress gets too high, or after an update breaks something. A care plan makes sense when your site brings in real business and you'd rather not handle it yourself.
Do you look after websites built by another company?
Yes. We start with a free health check and a full backup, then review how the site was built before taking over the care. If the site is very out of date or fragile, we'll tell you honestly whether fixing it or rebuilding it makes more sense.
Can website maintenance help with speed and SEO?
It helps protect them. Regular care keeps pages loading fast, fixes broken links and errors Google reports, keeps the site secure so it isn't flagged as unsafe and catches problems before they hurt your visibility. It doesn't guarantee rankings, which also depend on your content, competition and reputation. For deeper work, we offer speed optimization and technical SEO as separate services.
What's in the free website health check?
Send us your website address and we'll check seven things: updates and software, backups and recovery, security, uptime and speed, forms, links and content, accessibility and SEO health, and renewals and ownership. You get a plain-English summary of what's working, what's at risk and what care plan level would suit you. There's no obligation to hire us.
How do I choose the right website maintenance company?
Ask how updates are tested, where backups are stored and when they were last restored, what happens if the site is hacked, how fast urgent problems are handled and how much editing time is included. Make sure the domain, hosting and logins stay in your name, and that you'll get a regular report. Be careful with very cheap plans that don't say what they include, and with anyone who guarantees your site can never be hacked or never go down.
